1 OBJECTIVE This manual wants to teach you how to start using the KdG. The first time you especially have got to pay attention during the activation 1. You will also read more about the Initial Password you have received. And you will learn how to personally change your password and other settings for your. De chapters 5 and 6 are identical to two chapters out of the manual Student Network. They contain highly important information about your password. Your first ICT steps at KdG will start with your or with the Student Network. It s your choice. This is why the information about the passwords is given twice. This manual is especially meant for beginning students, but also for experienced students in order to freshen up the information concerning passwords, how to change passwords or what you have got to do if you have forgotten your password 2 INTRODUCTION At http://www.microsoft.com/liveatedu/new-student-email.aspx you can find a lot of background information about this free hosting of Student Mail by Microsoft. www.kdg.be The KdG Live Mail has of course got a number of special aspects. You will use your KdG E-mail for all your college related communication: to fellow students, administrative staff, tutors, counselors, As a student you are even obligated to send all your college related e-mails with this KdG E-mail Address. The only thing you need for using your Student Mail is an Internet Connection that allows you to surf to: https://www.outlook.com/student.kdg.be 3 PROBLEMS? 4 YOUR PERSONAL E-MAIL ADDRESS Your User Name is identical to your KdG E-mail Address. This usually takes on the form: firstname.surname@student.kdg.be But usually doesn t mean always (deviations are possible): so check your Registration Pass for the correct formation of your e-mail address. You will have received this pass during your first inscription. Your KdG Student Address will also have been sent to your private e-mail address after your inscription. 5 YOUR INITIAL PASSWORD On the same Registration Pass (and in the Registration E-mail sent to your private mail address) you will not only find the correct e-mail address but also your Initial Password (Dutch: initieel paswoord). Attention: you will only receive one initial password but it will grant you access to two different worlds. (They are in fact two different passwords but they will initially have got the same form : they look identical.) On the one hand there is the access to your. On the other hand there is the access to the network containing: computers on campus the electronic learning environment Blackboard the Time Table Site E-student Services the Wireless Network Attention: both worlds will NOT be synchronised: If you change the password for your, it will not be changed for your access to the network etc. And vice versa: If you change the password within the network environment, the alteration won t synchronise with the e-mail environment. If you want to activate your for the first time you will have to use the initial password from you registration pass. You will on the other hand immediately be obligated to change that password into a personally chosen password. Just to be clear: At that given moment you will actually still have got two passwords, but they now differ in form: the chosen password for your and the (still) Initial Password for the network. It would of course be better to also personalise the remaining initial password for the network. This is not obligated but it is the safest thing to do. If you would prefer it, you could still choose for the same password as the one for your. This however is not entirely safe. Remember though that they still differ in content, they will not synchronise. 6 HOW TO CREATE A SAFE PASSWORD A password is only useful when it s safe, meaning it has to be hard to decipher (even by a machine that can try out thousands of possibilities per second.) This is why a personal password has got to follow certain criteria: You have got to use 8 signs (preferably more). You ve also got to use at least 3 of the following 4 options: o at least 1 capital letter o at least 1 lower-case letter o at least 1 digit o at least one special sign such as space or _ @ # $ + - = % * ~!?., : ; ( ) < > Your own name (or a part of it) or your date of birth shouldn t be a part of your password. (6 signs will be sufficient for your e-mail address s password. This would however be signed as a weak password. It is much better to choose a more complex password.) Attention: passwords are capital sensitive. Meaning that the position of capital and lowercase letters should always be identical. Meaningless combinations are safe but also difficult to remember. A phrase on the other hand is quite easy to remember. Start with the first letters of the words and put in a few small changes to end up with a safe password. For example: This is a very good computer for me and I like it! T=avgc4m+ILi! Don t stick to the same password for too long. It is safer to regularly change it. Definitely change your password with the slightest suspicion of anyone knowing it. On top of that, be extra careful when you insert your identity and password on a public computer. You never know how they have been set up or which information will be left behind It is strictly prohibited to write down your password or to pass it on. 7 HOW TO ACTIVATE YOUR KDG STUDENT E-MAIL? 7.2 Then have to change your initial password Fill in your initial password from your Registration Pass (or Registration E-mail) in the first part. In the second part you will identically have to fill in your personally selected password twice. You can see how safe your new password is at that moment. Make sure your qualification is strong. You might want to reread chapter 6: How to create a safe password. It is best to tick Make my password expire every 72 days. This way you won t use the same password for too long. At the right top corner you can see under which name you have been signed in. (first name and surname) At the end you can sign out by clicking the matching button. 8 MANAGE YOUR ACCOUNT DATA At the same place as before, you can find your Account Data underneath the button Options. On the right you can choose between a number of tasks. For example: Change your password. 8.1 Changing your password at your own initiative. Whether you choose Change your password through the Options of your or directly go to your Account Data at https://account.live.com through a browser (Internet Explorer,Firefox, ),you will always be directed to this Account Overview. To continue changing your password, click Change. In the new window you will be able to insert your new password. The Old password is the personally selected password you are currently using. Type in the new password and retype it identically to confirm. This will be the password you will have to use from now on. KDG_ICT_HAND_Studentenmail_v2.2 27-01-2012 9 out of 16

Important: Remember that changing your s password doesn t influence your password for the different sections of the KdG Network. They will not be synchronised, remember? (See chapter 5) 8.2 To add an alternate E-mail Address On your Account Overview you can find Account security. Click Manage next to Security info. You will get the option to add an alternate E-mail Address. This will help you if you would ever forget your password! It is unfortunately not possible to insert your Mobile Phone Number. This is meant for the option Get a single use code to sign in with when you sign in. Because you are not able to insert a Mobile Phone Number, you can t choose this option. 8.3 Reset your password It can happen to anyone: forgetting your password! Click Can t access your account? At the Login Screen. After choosing I forgot my password, you can click Reset your password. KDG_ICT_HAND_Studentenmail_v2.2 27-01-2012 11 out of 16

8.3.1 Ask for a reset password Insert your Mail Address (Windows Live ID) and type the letters or digits that you see in the picture. These symbols are formed strangely because they shouldn t be readable by a machine. If you are not completely sure which letters or digits they are, the two arrows will give you a new picture. Just click it. If you click the speaker, you will hear a range of numbers you will have to fill in. In the next phase you will have to choose a way to reset your password. We have chosen for the e-mail option. This is only possible when you ve added an alternative password (see chapter 8.2). If you don t insert an alternative Mail Address, the mail could only be sent to your Address, which you can t enter. You see? KDG_ICT_HAND_Studentenmail_v2.2 27-01-2012 12 out of 16

As you can see, a link will be sent to the E-mail Addresses that are known in this application. The reply e-mail will not contain a new password, only a link. 8.3.2 The actual Password Reset You will almost instantly receive a mail in all of the Mail Boxes that were added to your account. Click the link that is suited for you. A pop-up screen will appear in which you can insert your new password. 8.4 Reset password with a secret question Another way to reset the password you have forgotten is through a secret question. First of all you need to add a secret question and a matching secret answer to your account data, so you can use it if necessary. 8.4.1 Set up a secret question By now you know the Account Overview at https://account.live.com/ as seen in chapter 8. More specifically, you already know the sections Account Security and Security Info as seen in chapter 8.2. Click Manage next to Security Info and focus on the part Security question. Click Change. There is a list to select a question from. You can insert your personal secret answer. Remember this answer. 8.4.2 Use your secret question After indicating you have forgotten your password at the login screen, the procedure for the secret question will start the same way as mentioned in chapters 8.3 and 8.3.1 (where you asked for a link). Type Symbols from picture Now you can choose to work with your secret question instead of receiving a link in your mailbox. 9 HELP! If you are having trouble signing in on Outlook Live and you can t fix it by using the information in this manual, you can get a new initial password at your college s campus: GEZ: Student Administration or library HEB: Service Desk or STIP IWT: Student Office SAW: Student Administration DLO: Front Desk (Pothoekstraat and Oude Steenweg) and Student Office (just Pothoekstraat) ABK:Library Here you will receive a new password. It will take a while before you can use this password for your. If it however is not working the next day, you should definitely re-address the person you ve received it from. You ll need to bring your Student Card in order to receive a new password. This way noone can pretend to be you and steal your password. 10 SECURITY TIPS You might not find it amusing if one of your tutors receives a hate mail sent by your e- mail address. Or when you can t read the final exam assignment because someone changed your password. You ve just read a number of security tips in this manual, but because of the high importance Microsoft also hands out some tips: Create a strong personal password: Create a password that consists at least eight signs. Don t use User Names, real names or names of companies. Don t use complete words. Make sure your new password is completely different from any previous passwords and use separate passwords for all your accounts. Use a combination of capital letters and lower-case letters, digits and symbols (such as!, #, *). Install the most recent updates for your Operating System. Most Operating Systems offer free updates to improve securities and performances. Because updates are so important for your computer s safety, it is highly recommended to make your computer install those updates and patches automatically. Microsoft or KdG will never e-mail you to ask for your password. So NEVER reply e- mails that ask for any personal data. Even if they are allegedly sent by Microsoft or KdG. Pay attention when you log in to public computers or through non-secured Wireless Networks. If you often work on public computers or through non-secured Wireless Networks, you might want to set up your account to always use HTTPS. To use HTTPS you ll have to change your settings. Make it easy to take back control of your account. By adding data to reset your account, it will be easier to take back control of your account when it has been hacked.
