Page 1 Summary: The (SAC-MAT) System allows committees to record, view, and summarize and print various committees meetings by using a web browser. The system is designed to allow each school to keep track of its SAC membership and track attendance. Prerequisites: You will need to use one of the following two browsers: 1. Internet explorer (PC only) 2. Firefox (PC and MAC) 3. Page 2 You will then see the following: Select the Online SAC Composition Form to get to the new SAC-MAT system. You will be taken to the membership screen for your school. The membership screen is the default starting place of the SAC-MAT system. You may access other screens like the attendance or sign-in sheet from this screen. Page 2 of 8 SAC MAT user manual Oct 1

Page 4 Navigating Screens: The SAC-MAT system uses a simple menu of buttons that appear on the top part of the screen to navigate between screens. All you have to do is click the menu button to get the desired screen. Please note that you must click the save button before navigating to another screen. Otherwise your changes will not be kept. Membership Screen: Important Note: Figure-1 When someone holds more than one position you must click on the Copy button next their name to add another position on SAC for that member. You will then select the additional position held on SAC from the pull-down menu and enter the original date the SAC member was added to the SAC. If you click on the button Add Member it will treat the entry as another person on SAC and count them twice. The committee membership screen allows you to add, delete, and copy members. Once you click on the edit you will see a screen that looks like this. If you discover that a member s name is misspelled, you will need to delete that entry and re-enter that person completely. At this time, there is no other way to correct a spelling error. Page 4 of 8 SAC MAT user manual Oct 1
Page 5 Figure-2 Note that once you are done editing you must select the Update at the bottom of the edit screen to save the changes. When adding a new record click the Add member button and the edit area will open with a blank record. To save the new record click on the update link, just like the edit. When deleting records you will be asked to confirm the delete before it occurs. Once records are deleted they cannot be recovered. Figure-3 Page 5 of 8 SAC MAT user manual Oct 1
Page 6 Committee Attendance: The attendance screen can be reached by clicking on the attendance menu button on the top part of the screen. You will see the attendance screen, just like figure-4. Please note that you must select the proper date and time before starting to document attendance. Once you ve clicked all the members that attended the meeting, click on the Save Button to save your work. If you enter meeting attendance and later realize you must correct the information for that meeting, go to the Attendance Summary screen, click on the meeting to be edited, deselect attendance for each person and then click on the Save Button. A meeting with no one selected results in the deletion of this meeting; next you will have to re-enter the attendance for that meeting. (At this time, there is no other way to correct attendance entry errors once you saved the meeting attendance.) Figure-4 Page 6 of 8 SAC MAT user manual Oct 1
Page 7 Sign in Sheet(s): The sign in sheet program allows you to print out an attendance sheet that the customers can use to sign in their attendance at meetings-- see Figure 5 Figure-5 Two methods exist to print out the sign-in sheet. The first is to use the browser to print the screen by clicking the file menu and then choosing print. The second method will use adobe PDF to print out the sign-in sheet. You can print sign-in sheets for the SAC members as well as sign-in sheets for Guests at the meeting. These are the official sign-in sheets that all SACs should use at their meetings. Page 8 Report Menu: The Report Menu allows access to your SAC Attendance Report (provides a summary of committee participation for each meeting held) and SAC Composition Report. To get to the report, click the reports button menu at the top part of any screen. Note: In the SAC Attendance Report menu, meetings that did not meet the quorum requirement are highlighted in red; green indicates the requirement was met. You can print the report by going to the browser print menu option. Help Link: The SAC Attendance-Membership system also includes a help manual should you get stuck.
