AAM Web Interface Carroll University Information Technology Services The Avaya aura messaging system has multiple features that you may want to take advantage of including; Email notification, SMS text message notification, call Attendant selection, Reach Me, Notify Me, My Phone and more. All of these options can be easily configured from a web page interface. To set these options, open IE (Firefox and Google Chrome sometimes have issues with this page) and go to https://vmail.carrollu.edu:7443/user/login Note: you may get a security warning, click on, "Continue To This Website." Logging In Mailbox Number: Enter your 4 digit voice mail box number Messaging Password: Enter your voice mail box password (New system default is 369369) Main Screen After you log in, you will see Log Out in the upper right hand corner, and menu options down the left hand side where you can set up the options
General Tab Messaging Access Number This is the number to access voice mail from. Internal: 7653 External: 262-524-7653 Account Information Mailbox: Your voice mail box number Extension: Your phone extensions Additional extensions: Additional numbers (such as faxes), associated with your telephone Time Zone and Languages Select a time zone from the drop down list. This setting affects: 1. The date and time announcement played when you listen to a message 2. The Reach Me schedule 3. The Notify Me schedule You can also change the preferred language you want for voice mails. This will change: 1. The language for the voice prompts you hear when calling in to voice mail 2. The language used on your Web Preferences page Mobile Phone or Pager Enter in format 2625553333; no dashes or spaces. Used for the following features: 1. Notify Me 2. Reach Me forwarding number 3. When using the Play on Phone, Voice Reply, Voice Forward, and all Sender in Outlook Fax If you receive faxes in your voice mail box, enter the e-mail address here that they should be forwarded to. Play on Phone When using Play on Phone, Voice Reply, Voice Forward, and Call Sender. On the Messaging toolbar in Outlook, by default, a window is displayed that prompts you what phone to use for these features. The options available on the prompt are: 1. Use this phone: If the same phone selected is always used for Play on Phone, Voice Reply, Voice Forward, and Call Sender, the window stops prompting you to choose a
phone. If you choose another phone, you must enter the new phone number (any phone number format ting is acceptable) 2. Ask me which phone to use: Restores the default setting where the system will prompt you each time. Attendant Sets where your calls should go when someone presses 0 during your voice mail message. 1. Default attendant (operator): System default this will cause your calls to do nothing when this option is selected. This is how the previous voice mail system functioned on campus. 2. Personal attendant/assistant: Enter the extension you would like the calls to be sent to. Reach Me Preferences Caller Categories Options for Call Handling differ depending on how you chose to categorize your users. If you select to distinguish between priority callers and other callers you must define call handling for both categories. 1. Treat all callers the same: All callers will receive the same voice mail experience. 2. Distinguish between priority.: Callers from on campus who have a voice mail box will be handled differently based on settings in the next section down the screen Call Handling This is where you will define what happens to the callers when they go to your voice mail. There are separate sections for Priority callers and Other callers, however, the options behave the same. 1. Forward calls to the Reach Me numbers below: Sends calls to the phone number you define in the later section a. Before forwarding, ask callers.: You can have the callers record their name, which will be announced to you so you can screen the call when it rings your cell phone. 2. Go to voice mail: Goes directly to voice mail
Reach Me Numbers The numbers where calls should be routed if you enable the options under the call handling section above 1. First: You can either select the number you specified on the General option screen, or you can define a different number. 2. After x rings: You can select the various options of sending it to a different phone number or to voice mail. Reach Me Schedule You can set up a Reach Me schedule if you only want calls forwarded during a certain time period. By default, Reach Me forwards calls at all times. To enable, check the box and set the times. Notify Me Preferences The Notify Me preferences allow you to set notification when you receive a new voice mail. You can get notifications by text, phone call, or e-mail. Phone Notifications When you check this box, you can have notifications sent to your phone when you get a voice mail. By default the numbers listed will be the number you listed on the General tab. You can select text message or phone call. You need to select your cell provider from the drop down list
as well for it to work properly. If you mark the box for Important Messages, you will only get notifications when someone marks the voice mail as High Importance. Email Notification If you enable this option, you will receive notification that you have a voice mail message in the e-mail address you provide. If you check the box to include the recording, you will get a COPY of the voice mail message in your Inbox. IMPORTANT: When you play the message via your Inbox, it will NOT turn off your message light on your phone or mark the message as played. My Phone Preferences This is where you will adjust your preferences that are used when you dial into voice mail using the telephone. Message Playback Order When reviewing messages using the phone, you can change the order in which you hear messages. By default, messages are played starting with the newest message. You can set the message playback order independently for unread, read, and saved messages. Message Playback Speed You can set the default playback speed for the messages when you are listening to them. Voice Recognition for Addressing You are able to configure if you want to use voice recognition and/or the keypad to address messages. 1. Using voice or keypad: Allows you to use both voice recognition and the telephone keypad to select voice message recipients. 2. Using keypad only: Allows you to use only the telephone keypad to select voice message recipients.
Personal Lists Preferences The Personal Lists screen allows you to create personal distribution lists (up to 89 lists) to send one message to many voicemail users (up to 99 users). 1. Select a list from the drop down menu and select Edit to edit an existing list 2. Click the Add New List button to create a new list 3. Select a list from the drop down menu and click the Delete button to delete an existing list Password This is where you can go to change your voice mail password
