No. 1213933A01 Memo 4 of 25 DATE: August 21, 1995 TO: Motorola Suppliers Subject: Motorola Receiving ar Code Specification Dear Valued Supplier, In August of 1990, we mailed a package to all of our production suppliers announcing that Motorola will be using ar Code Specification EIA-556 (Electronic Industries Association) as our Corporate standard for receiving. EIA revised their spec and released revision A in September 1992. The Motorola ar Code Council has elected to update our Spec to reflect the changes made by EIA. This revised specification supersedes all other receiving bar code specifications for Motorola. Enhancements include: The option to print labels in a new vertical format vs. the existing horizontal format. Using the vertical format, bar code symbols are printed in a picket fence rather than ladder mode resulting in better print quality. Although both formats are acceptable to Motorola, the vertical format is now preferred. Requirements for our non-production suppliers. Intermediate packaging requirements. We believe this document clearly defines our receiving bar code requirements for all suppliers and we appreciate your cooperation in the program. Thank you for your continued support. 5 of 25 Introduction Definitions This specification describes Motorola, Inc. guidelines for its suppliers to print and apply labels, on intermediate and shipping containers, and packing lists. The label requirements contained in this document are Motorola, Inc. s interpretation of the latest versions of the following standards: Electronic Industries Association Outer Shipping Container ar Code Label Standard (EIA 556-A); Product Package ar Code Label Standard for Non-Retail Applications (PN 33497]); and the American National Standard Data Application Identifiers for Material Handling (ANSI/MH 10.8.2 M-199x), which is a Data Identifier guideline. For example Q for quantity or P for part number. Rails, foams, reels, bundles, or bags of a single product; and boxes, cartons, bags, or other packages used to contain them. Normally one or more intermediate packages will be bundled to make a shipping pack. A card, strip of paper, etc. marked and attached to an object to indicate its nature, contents, ownership, destination, etc. ar codes oriented with respect to the longer side of a label. A package or shipping container/final container that is of sufficient strength to be used in commerce for packing, storing, and transporting products. Mutually agreed upon supplier identification code. Suppliers are encouraged to approach Motorola to arrive at a mutually defined supplier code (i.e., UCC, EIA, Duns, etc.). NOTE: A plus sign (+) is required as a delimiter in all package ID fields unless the supplier is using a UCC supplier code. There shall be leading and trailing quiet zones of no less than 0.25 (6.35 mm) before and after each bar code used on a label. Physical characteristics of label Label material Adhesive types Environmental considerations Recyclability Paper shall be white in color with black printing. Pressure sensitive or gummed dried. Application shall be wrinkle-free. These labels are intended for indoor use. Exposure to direct sunlight, rain, and high humidity may seriously affect the scanability of the label. 9 of 25 ar Code Label Requirements There are four different types of labels described in this document: intermediate container labels, shipping labels, packing list labels, and outerpack labels. These labels are described in detail in the following four sections. This section is intended to graphically describe the labels required for each type of purchase order. P.O. with single line item P.O. with multiple line items Purchase orders with single line items require a (4S) Packing List Label for each shipment, (3S) Shipping Label for each carton, and Intermediate Container Labels for each intermediate container. Purchase orders with multiple line items require a (5S) Outerpack Label, (4S) Packing List Label for each line item in the shipment, (3S) Shipping Label for each carton, and Intermediate Container Labels for each intermediate container. 10 of 25 Intermediate Container Label Description Function Dimensions Reuse / recyclability Placement Minimum bar coded data elements This label should be affixed to all intermediate containers and this data is used for tracking purposes. It may be used by both the supplier and the customer. Label size will depend on data required and size of container. Human readable characters shall be a minimum of 0.1 inches (2.54 mm) high. Minimum bar code symbol height shall be 0.25 inches (6.35 mm). Label material and adhesive should not prohibit recyclability of the substrate. This may be a requirement for certain packaging applications in certain countries. The ends of boxes and ammo packs, sides of reels opposite sprocket holes, reel bags, tops of tray sleeves, reel boxes, and bundles. Data Identifier (P) (1T) or Title Customer part number Trace code Definition Customer part number. Traceability number assigned by the supplier to identify/trace a unique group of entities (e.g., lot number, batch number, etc.). The use of (1T) is preferred over the use of (9D). Recommended label size is 4 X 6.5 inches. Human readable characters shall be a minimum of 0.2 inches (5 mm) high. Minimum bar code symbol height shall be 0.5 inches (13 mm). EIA s vertical format is preferred due to print quality. Label material and adhesive should not prohibit recyclability of the substrate. This may be a requirement for certain packaging applications in certain countries. 22 of 25 Common ar Code Label Defects Many Motorola operations are on a Pay Per Receipt program. ar code labels are needed so the carton and packing list information can be scanned for automated receiving and payment purposes. If labels are missing or not in conformance, payments may be delayed, and suppliers could be penalized for quality violations. Motorola Quality Defects ar Code defects include errors or inaccuracies in both the bar-coded and human readable portions of the label, and non-conformance to the standard of any kind. Penalties for quality defects may vary by Group/Sector. It is therefore important for suppliers to understand what Motorola may consider to be a bar code defect. Title - the name used to identify the data. Data - the data in the bar code field. ar code label. (Q) Quantity: 1000 Human readable field. ar Code field. Leading quiet zone. (0.25 minimum before bar code) Trailing quiet zone. (0.25 minimum after bar code) THINGS TO KNOW AOUT THIS SAMPLE This is a sample code 39, also known as a code 3 of 9, bar code label. Use of the extended character set is not required for this application. When scanned with a bar code reader the user will see Q1000 as the de-coded data. Code 39 uses the Asterisk (*) which is the symbology s start and stop code. The asterisk s are not shown in this example but they are in the bar code symbol. The start and stop code is a required part of code 39 and they are put in the bar code automatically when off the shelf (purchased) bar code software is used to print bar codes. The length of the bar code symbol increases as the number of data characters increases. Normally a 4 inch wide label can accommodate 22 characters of data - this includes quiet zones and start and stop codes. The quiet zone is an area that is free of any marks.
