RFP SCHEDULE REVISED It is anticipated that the selection of a firm will be completed with the goal of seeking approval from the ESUSD Board of Education at their regularly scheduled meeting Tuesday June 28th, 2016. Answers to Questions Part 2: Question 1: Page 10, Paragraph 3 mentions Option 1 Total section of the bid form, but there is no section labeled that way in the document. Please clarify this requirement and/or provide a revised bid form to include Option 1. There is no Option 1 requirement disregard. Question 2: Page 3 Introduction states the district has elected to install, license, implement, and support in house or Private VoIP services (IP Telephony.) Will this require a Managed Services Agreement (MSA)? If yes, please clarify which items in Section 9 PARTS Equipment should be included in the MSA. The district will support the completed system in house. No ongoing Managed Services Agreement is requested. Question 3: Page 25 Equipment Removal states that we must dispose of all decommissioned equipment including any and all E waste and/or special handling of electronics and/or disposal fees. During the mandatory bidder s meeting, it was stated that it will be handled by Verizon and El Segundo USD. Please provide written confirmation. This statement only relates to district owned decommissioned equipment. The Verizon VoIP equipment (switches, handsets, UPSs, will be handled by Verizon. The district can clarify equipment during the planning and survey phase. Question 4: Does El Segundo USD already have a Telecom circuit for the VoIP project at the correct capacity, or, will we need to include a price for a circuit from a Telecom provider? If we need to price it, please provide specifications. The district has ordered the installation of two (2) T 1 PRI circuits from AT&T. Question 5: Is there any customized UCCX scripts and voice prompts we need to extract out (from existing Verizon VoIP system) for the newly built UCCX? Keep in mind that UCCX script(s) will be outsource to third party depending on what the requirements are.
No scripts or information will be available from Verizon. The district will designate a staff member whom will provide the speaking voice for Contact Center and Auto Attendants. Question 6: If El Segundo USD has auto attendant setup within Unity Connection, do we need to extract (from existing Verizon VoIP system) that out for the newly built Unity Connection? No data will be extracted from the current Verizon VoIP service. Question 7: Is there any specific reason to not use the existing dial plan? (if El Segundo USD considers modifying from the existing dial plan, it would be easier.) The district will keep to the current dial plan except for small exceptions that will be discussed during the planning phase. The changes will be less than 1% impact on the overall dial plan. Question 8: For E911 without SRST on the remote site, how does the remote site end user call 911 when the WAN link is down? The district understands and acknowledges that no remote site redundancy will exist in the case of a loss of WAN connectivity. The remote sites will utilize designated emergency PSTN lines and cell phone services. Question 9: Is there any specific requirement for E911? A standard installation is required. The district will provide location names and will seek advice from the Vendor during the planning phase. Question 10: Does the existing E911 setup map each phone to a room or to a proximity for PSAP? Building and Room numbers/names will be provided by the district for each extension. Question 11: For the ALI (E911 Automatic Location Information) database mapping, usually the school district will provide the information to the carrier. Is that the case for El Segundo USD? Yes. The district will seek advice and assistance from the Vendor if needed. Question 12:
Regarding Paging Service on Page 20 of the RFP, what does El Segundo USD expect the vendor to do for synchronizing with AD and call processor directory service? It is expected that the Informacast Paging services should synchronize with the district s active directory services. The specifics of these features and functions should be part of the project planning phase. There is no required integration between Bogen Public Address systems and the Informacast paging capability which will be strictly scoped to newly implemented IP phones, although all potential integration capabilities should be proposed by Vendor. Question 13: Does El Segundo USD have Bogen paging system at remote sites? Yes. Question 14: If remote sites have Bogen paging system, it requires a voice capability router to support the Bogen paging system. Does the remote sites have a voice capability router to support Bogen paging system? The district requests the Vendor assess the equipment and propose their best design for integration between the new call processing system and each sites legacy Bogen paging system. The Vendor may propose their most cost effective solution utilizing routers, analog telephone adapter (ATA) or IP Handset to solve this design requirement. The district staff should be able to call to any site Bogen system and activate all the current capabilities of voice and or signal paging. Question 15: How many phones are at the district office? 37 Question 16: What is the length of YELLOW patch cables required for the VoIP installation in MDF/IDFs? You can take measurements during the initial planning phase. Likely not in excess of 6 feet, but more likely 3 feet. Question 17: Does El Segundo USD need to implement SRST at any location?
No. There will be no redundancy or remote survivability beyond the system s fail over functionality. Question 18: For the ISR 4351 router conference bridge configuration, we need to know: How many conference sessions are needed? Not more than two. How many participants (people) per conference session? (The participants per session are 8, 16, 32, and 64 max) Not more than 8 per session.
