1 Before the Day Checklist Check that you are eligible to graduate 5 Clear your debts Any debt must be reduced to under 100 by 18 November 2015 in order for a student to a end a December 2015 ceremony, and the debt must be cleared completely in order for a student to receive their parchment. You must have successfully completed your course by 18 November 2015 and not owe the university more than 100. For informa on on how to check or pay off a debt visit: h p://www.ncl.ac.uk/congrega ons/ceremonies/finance.php 2 If you want to attend 6 Hire your Gown Students who are eligible to a end the December 2015 ceremonies will be sent an email containing log in details and a link to the applica on form in September 2015 Register by Friday 9 October 2015 to guarantee a place for you and up to 2 guests: h ps://apps.ncl.ac.uk/congrega onapplica ons/login.aspx All candidates must wear the Newcastle University academic dress (gown) for their ceremony, which can be either bought or hired from the University Robemakers, Gray & Son of Durham. You will be sent details of the cket release dates once you have registered to a end your ceremony. Extra guest ckets for the Banque ng Hall* cost 15 and include: Entry to the Congrega on Ceremony Entry to the post ceremony recep on Financial Assistance We are pleased to offer a Congrega ons Package, which covers the cost of academic dress and include a photography bundle, to any students who are eligible for financial assistance via the Hardship Fund or the Financial Assistance Fund. During the 10 working days before the ceremony, no pre orders can be taken, but you can order on the day by visi ng the sales desk in The Venue, Students' Union. 3 4
Accommodation General Information For informa on on accommoda on in Newcastle and discounted rates visit: h p://www.ncl.ac.uk/congrega ons/ceremonies/accommoda on.php Children Children are welcome to a end the gradua on ceremonies; but they must be under the direct supervision of an adult who should remove them from the venue if they become restless, in order not to disrupt proceedings. Children over the age of 5 will need their own cket. Children under 5 will not need a cket if they will be si ng on the knee of a guest. Please be aware that the ceremonies take place in the Civic Centre, which is a 3 minute walk from the main Newcastle University Campus. All other ac vity (e.g. gown hire, photography, post ceremony recep ons) will be based on the Newcastle University Campus. There are a number of catering outlets across Newcastle University Campus which are marked on the map on the last page of this guide. Light refreshments will also be served at the postceremony recep on. ATM There are two Barclays Bank ATM machines located at the front of the campus near Campus Coffee and one Santander ATM Machine located inside the Students Union Building. From8am 30mins before 30mins before During After On the Day Timetable Collect your Tickets and Gown You can collect your ckets and gown any me from 8am on the day of your ceremony. We recommend that you arrive at least 1hr30mins before the start of your ceremony to allow for queues. Don t forget to bring: Student Card or ID Camera Gown Hire Confirmation Safety Pins to secure your gown (if applicable) Graduates to enter the Banqueting Hall Civic Centre Graduates and guests should make their way across the park to the Civic Centre where the ceremony takes place. Graduates will then be separated from guests and seated alphabe cally by Course and Last Name. Guests may take their seats Civic Centre Doors will open and guests may take their seats in the Banque ng Hall and for the Live Screening. Marshals will be on hand to direct guests to the correct venue. All guests should be seated no later than 10 minutes before the start of the ceremony. During the Ceremony Civic Centre The ceremony will last for approximately 1hr. Graduates and guests will be asked to stand as the academic procession enters the hall. During the ceremony graduates will be called to the stage in order of their school, award and surname: A Marshal will guide the graduate to the stage When prompted the graduate will step onto the stage to be hooded The graduates name will be read out and they will cross the stage to shake the hand of the presiding officer. If a graduate does not wish to shake hands (for example for religious reasons), they should carry a programme booklet in both hands when they approach the stage. A photograph will be taken of the graduate as they cross the stage The graduate will return to their seat to enjoy the rest of the ceremony At the end of each ceremony a new graduate selected to act as Student Orator will give a speech, reflec ng on their me as a student at Newcastle University. Post-Ceremony Reception Newcastle University Campus A er the ceremony graduates and guests will be invited back to the Newcastle University Campus to enjoy a recep on (please check your cket for details of your Before 7.30pm Before 7.30pm Collect your Parchment If you have not already received it you should collect your Parchment from the Basement of the Students Union between 10am 7.30pm. Remember to keep it safe as you will need to use it as proof of your studies. Return your Gown Please remember to return your gown to the Gown Hire Desk before 7.30pm. Optional Photography Ede & Ravenscro will be welcoming candidates, family and friends into their photography studios located in the Students Union between 8.00am 7.30pm every day during the Congrega ons. You can also purchase your award photograph (taken on stage) from the Students Union to take home with you. University Merchandise During the Congrega ons period the Union Shop will have a stand selling Newcastle University memorabilia including so toys, e clips and mugs. DVD of your Ceremony Lindisfarne Room, King s Road Centre A DVD of each gradua on ceremony can be purchased from Achievement TV, priced 25 including postage and packing.
