WHAT IS BOABEE? Boabee is an app for smartphone or tablet that you can use on your stand to capture all the essential information on your potential customers. What does that mean exactly? / You receive all the contact details of your potential customer by simply scanning his visitor s badge. / Next you can select the documentation that is relevant for him and send it to him on the spot. / If you should wish more information on your prospect, you can add specific info that is relevant to your business. / After the event, your sales team can get started immediately with the collected information. Events are a great marketing tool for every company. Time after time they offer an excellent opportunity to provide (potential) customers a unique look at your activities and products. USE THE POTENTIAL OF YOUR EVENT AND COLLECT INFO The event is just the beginning. Afterwards it is time to fully use the potential of the contact details you have collected. Before your sales team can get started, you first have to structure all the collected information. STOP! DO NOT LOSE VALUABLE TIME Take it up a notch and use Boabee: immediately after the event you possess all the detailed prospect info digitally, ready to upload in your system. 01 PREPARATION A/ LOG IN TO THE DASHBOARD / You will receive an e-mail about Boabee from the event organizer. / Click the link to the Boabee dashboard and log in. / Are you new to Boabee? Then first register. / Now you can get started! / Important: you can always log in via https://cloud.boabee.com B/ UPLOAD YOUR DOCUMENTATION / Go to the tab Upload info to share. / Make folders to structure your documentation. / Put your documentation into the folders. C/ DRAFT YOUR SALES INFO QUESTIONS / Go to the tab Define sales questions. / Make a new questionnaire. / Add questions to the list. / Choose per question: - whether or not it is obligatory. - the possible answers if you want a list box. E/ INSTALL THE APP / Go to the App Store / Play Store and download the Boabee app. / Start the app and fill out your user name and password. / Choose the app setup for this event. / The app will download all the information to your device now. This can take a while. / You can now get started! D/ BRING EVERYTHING TOGETHER / Go to the tab Manage your campaigns. / Add a new campaign, e.g. Brussels Motor Show. / Fill in the invitation key from your Boabee mail. / Add at least one app setup to your campaign. In this app setup you decide which folders and which questionnaire you want to use in the app and which e-mail template you want to send your documentation with. You can also add multiple app setups for separate parts, e.g. City cars, Standard-size cars, Luxury cars.
02 THE EVENT COLLECT INFO, SHARE INFO Are you talking to an interesting visitor? Would you like his contact details? Do you want to send him information? Or would you like to write down extra details? Activate Boabee at the right time. Press the button Add prospect. SHARE: it is also an option to select documentation you wish to send to your visitor. He will receive an e-mail as soon as you are ready. INFO: use your own sales info questions to add extra details of your visitor. Short and powerful. And highly useful. IDENTIFY: scan the badge of your visitor, that way his contact details will appear immediately in your Boabee report. He does not have a badge? Then you can add his details manually.
03 AFTER THE EVENT LAUNCH YOUR SALES / Log in to the dashboard. / Go to the tab Manage your campaigns. / A few moments later the report appears in the list. / Your sales team can now get started with excellent prospect information! / Select your campaign and click Report.
TIPS & QUESTIONS / How many questions can I add? There are no restrictions. However, to work efficiently on the stand, it is advisable to use between 4 and 6 questions at the most, and maximum one question with an open text box. / Are obligatory questions a good idea? Avoid labelling questions as obligatory, unless they are relevant. Obligatory questions you cannot answer make your job more difficult! / What is the info section in your dashboard for? On the right on each screen, the dashboard contains an area with useful tips. There you will, amongst other things, learn how to set up and upload web links. This is useful to share your company website, specific product pages, YouTube films and much more with your visitors. Definitely check it out! The separate parts also result in a more structured reporting. / Can you wait to install the app until at the event itself? In theory yes, but we do not recommend it. There might be a Wi-Fi connection at the event, but at times a stable connection cannot be guaranteed. Your app will download all your documentation, for which a stable connection is required. We advise downloading the app beforehand. / Can you use the app without badges? Definitely. Next to scanning badges, you can manually add contact details to the app. / Do you have any other questions? Do not hesitate to send an e-mail to support@boabee.com. We will help you as soon as possible. / When do I use multiple app setups? If you employ several representatives at the event to promote different aspects of your products or services, it might be interesting to add separate app setups. That way you can limit the documentation to what is relevant for your representative.
