Motivation The standard process of SAP Plant Maintenance (PM) and Customer Service (CS) allows to document maintenance or service related events as a notification. Usually the follow-up document work order is only created in case the processor decides to conduct further cost-related activities (i.e. send out a technician and fix a malfunction). Our solution is applicable for cases where the follow up process is standardized as in following examples: Every notification is followed up by an work order. The malfunction codes, documented on the notification, are predefining (1:1) a work order task list. The used task list is derivable and varies only by organization (i.e. plant) unit or process (notification / order type / error codes). Probably the whole process is triggered by an external system and the ECC is expected to generate a standardized work demand for the dispatching tool. 5

Create manually a PM/CS Notification The user creates a PM/CS notification in order to document the event and saves the notification as usual. The status messages implies that the follow up document order was created 8
Automatically Created Work Order The work order was created automatically (TA IW32) 9
Predefined Order Operations The order operation tab-rider was populated automatically with tasks from a task-list predefined in a z-table. 10
Use Cases as example internal dispatching Creating work orders automatically with predefined task lists offers many possibilities: Create PM/CS Notification Create PM/CS Work Order Dispatch Work Order automatically A notification/work order is triggered by an event (i.e. interface) and generates based on an indicator (code group/code) automatically a fully populated work order (predefined operational steps applicable for the specific event case). Since the work order appears directly in the planning tool of the dispatcher (i.e. MRS), it can be immediately scheduled. That way the service technician can start with the execution only seconds after the event happened. 11
Use Cases as example external dispatching Creating work orders automatically with predefined task lists offers many possibilities: Create PM/CS Notification Create PM/CS Work Order Create a Purchase Requisition Create a Purchase Order automatically A work notification/work order is executed by an external service provider, with as less as possible process steps in PM/CS. In that case the task list is predefined with control key PM03. This will cause the process not only to create the work order, but also the next follow up document purchase requisition. The purchase requisition is followed up by the purchasing department into a purchase order. The requested external services can be specified within the task list in as service pack. 12
Process Assign External Processing In case of external processing the internal control key PM01 is changed to an external control key i.e. PM03. 13
Backend Process Assign External Processing In order to specify, which services are requested from the ESP, services out of a framework contract are referenced in the work order. 14
Backend Process Create Purchase Order In the next step on order save the system creates automatically a purchase requisition, which indicates to the purchasing department the external service demand. 15
