1 Overview COINS OA uses the values contained in the Security List and Code in Employee Security to define whether an employee can be accessed in OA or not. Previously, if an employee was not included in the Security List or Code, you could not view or access anything about that employee. Payroll Employee Security has now been improved for the US market so that Timesheet Security Types and Timecard Rate Security Types are now available for use during Timesheet Entry. These security types control whether users: (1) can enter timesheets for specific employees, and (2) can see rates on timecards during entry for specific employees. 2 Configuration A new PR/TSSECURE parameter determines whether Timesheet Entry functions will use the standard Employee Security or the enhanced Timesheet/Timecard Rate Security. Parameter PR/TSSECURE Description Use Timesheet Security Types and Timecard Rate Security Types [US] If this parameter is set to Yes, the security list provided for Timesheet Security and Timecard Rate Security is used in all Timesheet Entry functions and replaces the Employee Security List. If this parameter is set to No, standard Employee Security applies and you only have access to employees listed in the Employee Security List and Code during Timesheet Entry. 3 Screen and Processing Changes 3.1 HR Lookup Codes Two lookup code types, Timecard Rate Security Types and Timesheet Security Types, are now available in Human Resources > HR Maintenance > Lookup Codes, as shown in Figure 1. Figure 1: HR Lookup Codes 3.2 PR Employee Security Two columns, Timesheet Security List and Timecard Rate Security List, are now available in Payroll > Company Setup > Employee Security, as shown in Figure 2. These columns can be populated with a can-do list 1 of lookup codes of Timesheet Security Types and Timecard Rate Security Types that you are allowed to access when entering transactions. 1 A can-do list uses wildcards to omit or include certain values. If a column is blank, all records can be accessed. Figure 2: PR Employee Security 3.3 PR Employee Maintenance Timesheet Security Type and Timecard Rate Security Type fields are now available in Payroll > Employee Maintenance in the new Timesheet and Rate Security box on the Other tab, as shown in Figure 3. You can use the lookup button to populate these fields with Timesheet Security and Timecard Rate Security Types. These new fields are mandatory, and each employee s record must be updated to contain a non-blank value. NOTE: Employee Bulk Update may be used to populate the values. Field Definitions Timesheet Security Type A Timesheet Security type defines which employee's timecards in the timesheet you are allowed to access when entering transactions. A blank value is not allowed. Timecard Rate Security Type A Timecard Rate Security type defines which employee's timecard rate, amounts (regular, overtime and double), and gross you are allowed to access when entering transactions. A blank value is not allowed. 3.4 Security System NOTE: With this enhancement, users can be allowed to enter/update Timesheets for employees to whom they generally do not have access. The Timesheet Security and Timecard Rate Security functionality only affects the following Payroll functions: Timesheets, Timesheets by Employee, and Timesheets by Job. Reports and Inquiries are not affected by Timesheet Security and Timecard Rate Security. As the current user, you can view: An employee s record if the Employee Timesheet Security Type is in your Timesheet Security List. Otherwise, the employee s record is hidden from view. An employee s Timecard Rate if the Timecard Rate Security Type is in your Timecard Rate Security List. Otherwise, the employee s timecard rate is hidden from view.
