UNIVERSITY OF LEICESTER 3 1. What are product categories? Product categories are unique reference numbers that are assigned to products and services we buy. Every product or service you buy has a code, for example: paper falls under the code 14000000, desks 56000000, test tube 41121700. 2. Why are product categories important? They are important because they let us see what we are buying to a detailed level. Currently we can see easily what we spend with any supplier but it is then difficult to see what items we are buying from that supplier or across a range of suppliers. These categories codes assist with reporting spend by product/ service type and this information can then be used to ensure we get the best price for the items we buy through using the information to tender for contracts by types of products. This will help us drive down the price of what we buy and allow departments to use their budgets better. Product categories also identify products which require a lab safety supervisor to assess the goods we are buying to ensure they will be used safely. 3. When do I need to select a product category? When buying from our catalogue, the product category is picked automatically and buyers do not need to do anything. When ordering items that are not on a catalogue, buyers need to add a product category into their order. How to do this is covered in Smarter Purchasing User Guide for Buyers and Approvers in section 3.8 Buying Non Catalogue Items. List of product categories There are over 80,000 different product categories that could be used. However, we have reduced this list down to a more manageable 210 for users based on what the University buys. All categories that you could select are in Appendix A.

Help to find the product category you need Within Smarter Purchasing User Guide for Buyers and Approvers in section 3.8 Buying Non Catalogue Items we explain how to search for products and service categories using a key word. To help with this we have included below some short words/ prefixes that can be used to search for commonly bought items. What to enter in the search box Chem* Medical* Lab* IT* Drug* Office* Travel* What you will find services which you could select for any chemicals or gases that you wish to buy. services for medical equipment and supplies services which you could select for anything you wish to buy for use in labs (excluding chemicals, drugs, gases which can be found by other short words). services which you could select for IT Equipment, consumables or services. services which you could select for all drugs and medicines. services which you could select relating to office stationary and equipment. services which you could select for travel costs car, rail, air, taxis, etc. When you use these short codes for search you will get a list of all product categories relating to this type of expenditure and you will then need to select the match/ or closest match to what you are ordering.
