Release Highlights The key areas covered in this release are: CCH Email Filing improvements to the filing of emails created offline when File on send is active. CCH Bulk Scanning we have added a new utility for users who receive large quantities of paper documents. Software Enhancements Bulk Scanning We have added a new facility that enables users to process large quantities of scanned documents. It consists of two parts, the CCH Document Importer, which is available via the Professional Services Team, and the CCH Scan Profiler, a new Home Page control which allows you to review and profile the documents added to the Pending library using the Document Importer. Please contact your Account Manager for further details. Email Filing Display Options A new option has been added which allows you to sort your Favourite Contacts by Code rather than Name. Filing Options A new option, Enable folder monitoring has been added. This will enable a user to easily deactivate folder monitoring if they are planning to be offline for a significant number of days, rather than having to remove and re-add folders to the monitored list. If this option is deactivated then the user will no longer be prompted to file sent emails when they next login to Outlook. Single Add Document Window on opening Outlook Changes have been made so that when you send emails from other devices, if you have Send and File switched on, you will get a single Add Document window listing all of the emails that you have sent. Note: If you have a number of emails to be filed, but either you don t wish to file one of them, or alternatively you are not sure where the email should be filed, single rows can be highlighted and deleted from the grid, leaving the remainder to be correctly profiled. Once all the documents have been profiled and filed you can go direct to your Sent Items folder and use the Outlook preview to identify where the remaining unclassified emails should be filed. Minimise Email Filing Navigation Pane You can now minimise/maximise the navigation pane using the / buttons. 4 CCH DOCUMENT MANAGEMENT 2014.3 SERVICE PACK
System - Maintenance Maintenance > Security > Task Permissions CCH Central has introduced a new Task Permission, #Employee #Complete own task only. Where this permission is set for a user they will not be able to complete or delete any tasks that are not specifically assigned to them. Quality Improvements The following quality issues have been resolved in Document Management 2014.3SP. Email Filing ITS/53537: Monitored folder processing The monitored folders should only be actively processed/monitored when the option File Email on Send, and the same option of inbound emails are ticked. Currently they are processed regardless. ITS/53536: Monitor user s own Inbox and Sent items Currently all folders are monitored for users and this can create performance issues. We need to only monitor the users own account not additional accounts they have. However if they do want to add additional accounts to be monitored then they can. ITS/53535: Outlook crashes after opening if the left hand navigation menu is minimised If a user minimises the Outlook navigation menu, thus making the CCH Email Filing plugin not visible, prior to closing Outlook. The next time Outlook is opened it will immediately crash. ITS/53521: Outlook crashes if opened in Calendar view When Outlook is opened in Calendar view with the CCH Email Filing active it crashes. ITS/52815: Configuration option for Description field 2014.1 introduced the automatic population of the Description field with the file name or subject of the email being filed. Request for this feature to be disabled and the description field left blank. A configuration key has been added, DMEmailFilingPopulateDescription. A value of 0, will mean no description is set for an email. A value of 1, will populate the Description field with the email subject. If the key does not exist, the value is considered to be 0. Known Issues The following are known issues: Document Centre ITS/52464: Unable to start a workflow for an existing document created from a template 2013.4 If a document has been created within Document Management, and a workflow was not started at the time of creation there is currently no way to start a workflow for the document. ITS/52261: If a supplier is opened from the Global Document Centre, contact record is incorrectly opened 2013.3 When a supplier is opened from the Global Document Centre the supplier record should be opened, not the contact record. ITS/52071: Deleting documents with an active task fails without warning 2013.3 A warning message should be displayed if an attempt to delete a document which still has an active task associated. Email Filing ITS/53585: Matching for Sent items is looking at From field instead of To field 2014.3 When you are in the Outlook Sent Items folder and you have an email selected, the Matched for should be looking at the email address in the To field but is looking in the From field. ITS/53122: Click on Client to list documents shows emails in inline edit mode 2014.2 Outlook 2013 with only a Hotmail account (no Exchange account). In some circumstances click on a Client to retrieve the documents shows emails in inline edit mode. ITS/52794: No matches appearing in Email Filing if an employee is an associate 2014.1 If an employee is associated to a client or contact, no matches are shown in Email Filing. ITS/52755: Unable to check the keep checked out checkbox on Add Document from Email Filing 2014.1 When the Add Document window is opened from within Email Filing the Leave Checked Out checkbox is disabled. 6 CCH DOCUMENT MANAGEMENT 2014.3 SERVICE PACK
Pending Library Edit Details on Home Page 2014.1 Improvements have been made to the Edit Details window, but this does not currently support multiple contacts. To reassign to multiple contacts the user will need to go to the Properties panel in the Document Centre. Changing Library to Client in Global Documents 2014.1 When changing the library in the Global Document Centre from Pending to Client, the Document Contacts window does not pop up automatically. Hints and Tips Best Practice: CCH Email Filing In order to best utilise Email Filing it is worth spending some time ensuring that you have email addresses, where known, entered in Central for all your clients. These email addresses should be set up on the person that they pertain to, and the Central Associations used to link that person to the relevant organisations. If you are going to be out for a period of time, with no direct link to your office environment, you should consider unticking the folder monitoring option. If this option is de-activated then you will not be prompted to file sent emails when you next login to Outlook. You should instead review your Sent Items folder and file any emails directly from there. If the nature of your role means that you do not need to file many of your emails in CCH Document Management, you may find it easier to use drag and drop from your Sent Items folder, or double click in the Filing Details pane at the bottom of the Outlook preview area, rather than activating File on send. 8 CCH DOCUMENT MANAGEMENT 2014.3 SERVICE PACK
