Guide What is Lync? Microsoft Lync is an enterprise-ready unified communications platform. Unified communication is the integration of telephone, instant messaging, video conferencing, and desktop collaboration into a single platform. It is built to fully integrate with Microsoft Office. The Microsoft Lync 2010 desktop is available for Windows and Mac. Mobile versions are available for Windows Phone, iphone/ipad and Android devices. With Lync users can: 1. Make a phone call. 2. Check Voice Mail. 3.. 4. Send an Instant Message. 5. Start or join an audio, video, or web conference. What are the CX600 telephone interface features? 1. Graphic Display Shows information about calls, messages, time, date, and other relevant data and allows you to enter commands and select contacts through the touch screen. 2. Presence Status Indicator Indicates your presence state. 3. Microphone Mute Key Mutes local audio during calls so that others cannot hear you. 4. Volume Key Use to adjust the volume of the handset, speakerphone, and headset speaker, and ringer if not in a call. 5. Headset Key Allows you to place and receive calls through an optionally connected headset. 6. Speakerphone Key Allows for hands-free communication during calls. 7. Speaker For ringer and hands-free audio output. 8. Hookswitch and Handset Cradle 9. Dial Pad These 12 keys provide the 10 digits, the 26 alphabetic characters, and special characters available in context-sensitive applications. How can I access my phone settings? To access the phone settings: 1. Menu. 2. Then select Settings. 3. Select the setting you want to change. How can I access the general Help on my phone? To access the general Help: 1. From the Menu. 2. Then select Help. 1

How do I move my old phone service to my new Lync CX700 Telephone? The Lync phone is a new telephone system for the University of Houston. In order to use your Lync phone you need to transfer the service from your Rolm or Cisco phone to your new Lync phone. To Forward service from a Rolm Phone 1. Pick-up the handset, press # 9. 2. Enter 996574and your 5 digit extension. 3. Hang-up the phone. 4. Unplug the network cable from the PC to the new telephone in the LAN port. Take provided network cable, plug into PC port of the new telephone and the PC. To Forward service from a Cisco Phone 1. Pick-up the handset, press CFwdALL on the phone. 2. Enter 79 and your 5 digit extension. 3. Hang-up the phone. 4. Unplug the network cable that runs from the wall to your Cisco phone. 5. Plug that same network cable into your new telephone. 6. Login to your new telephone. Note: Take network cables plugged into Cisco phone and plug into your new telephone. How many PINS are there? There are four types of PINS that will need to be set up. 1. Lync Phone PIN 2. Phone Unlock PIN 3. Voicemail PIN 4. Conference PIN 2

How do I set my PINS? PIN #1: Lync Phone PIN Your new Lync phone requires you to log in. It identifies you and your personal preferences. **You can log into any Lync phone and be recognized. Before using your Lync phone, you will need to set up a personal identification number (PIN). This will allow you to secure your phone and keep others from accessing sensitive information. To create a PIN: 1. In an internet browser go to dialin.central.uh.edu. 2. Click Sign-in and choose Language. 3. Click the Sign in button then enter your CougarNet username and password. 4. Following the criteria on the PIN management screen, enter your PIN in the fields provided. Note: If you forget your PIN, you can reset it using the same steps listed above. PIN #2: Phone Unlock PIN The Phone Unlock PIN is set and changed on the phone only. To create a PIN: 1. On the phone click Menu. 2. Then select Settings. 3. Then select unlock pin to change it. 4. Type in your PIN. 5. Click Next. 6. Type in your PIN again. 7. Click Next. 8. Re-enter your PIN. 9. Click Done. 3

PIN #3: Voicemail PIN There are two ways to set your Voicemail PIN: 1. The Voicemail PIN is setup and changed by accessing the Voicemail at 713-743-6111. 2. Or you can set it in Outlook in Manage Voicemail. Option 1: Calling 713-743-6111 To reset Voicemail PIN: 1. Go to email.uh.edu on Internet explorer (only) 2. Log into your email. 3. Go to options then Voicemail. 4. Click the reset button. 5. Check your inbox to see the new reset PIN in your email. 6. Go to 713-743-6111 (3-6111) or on your Lync Client access Voicemail to reset your PIN. Option 2: Outlook 1. Open Outlook. 2. Go to File. 3. Click Manage Voice Mail. 4. Choose correct settings in Voice Mail section. PIN #4: Conference PIN The conference PIN is accessed through the following options: 1. dialin.central.uh.edu. 2. Online meeting in outlook. Option 1: dialin.central.uh.edu. To create a PIN: 1. In an internet browser go to dialin.central.uh.edu. 2. Click Sign-in and choose Language. 3. Click the Sign in button then enter your CougarNet username and password. 4. Following the criteria on the PIN management screen, enter your PIN in the fields provided to change your Conference ID. Note: If you forget your PIN, you can reset it using the same steps listed above. Option 2: Online Meeting in Outlook 1. Open your Meeting in your Calendar. 2. 4

How do I sign in to my telephone? Now that you have your PIN, you can log into your telephone to access your voice mail and other features without the need to log in again. There is also an automatic lock phone feature in place which secures your phone when you are away from your desk. You can still make and receive calls but you must unlock the phone using your PIN to check your voice mail. *Reminder you can sign into any Lync phone to receive calls as well as check your voice mail. To login to your telephone: 1. On the Welcome Screen press No. 2. Enter your 5 digit extension (not your PIN), press Next. 3. Enter your PIN, press Sign-in. 4. Press Done and you are now logged into your telephone. How do I sign out of my telephone? Signing out of your Lync phone prevents people from accessing your voice mail while you are away from your phone. UIT recommends signing out of your phone if you are going to be away from your office for extended periods or if logging into a phone that is not under your direct control, for example a phone in another office. 1. Press the Menu button. 2. Select Switch User. 3. Select Yes. How do I place a call? To make a call choose one of two options: 1. Dial a 5-digit campus extension. 2. Dial a 10-digit off-campus number. *You no longer need to use a 9 or 1 to dial off campus. Long distance calls will still require a long distance code. How do I answer a call? Choose one of four options: 1. Lift Handset. 2. Press the Answer button. 3. Press the Speakerphone. 4. Press the Headset button. How do I put a call on hold? To put a call on Hold: 1. During a call, press the Hold button. To retrieve a call from Hold: 1. Press the Resume button. 5

How do I transfer a call? To Transfer a call: 1. While on a call, select the Menu button. 2. Select Transfer directly to. 3. Enter a number or select a contact. If selecting a contact then you have the option of choosing the contacts phone number or doing a direct Lync call by selecting the blue circle. 4. Press Transfer. How do I record my voicemail greeting? To record your voice mail greeting: 1. On the Home screen, select Voice Mail. 2. Press Call Voice Mail. 3. Say Personal Options. Follow the instructions for recording a voice mail greeting. How do I check my Voicemail off campus? Note: To check your voice mail from off-campus dial: 713-743-6111. Enter your voice mailbox extension and your PIN. How do I host a conference call? To place a conference call: 1. Call your first participant. 2. From the In Call screen select Menu, then select Add Others. 3. Enter a phone number or select a contact and then select Add. To add more participants, repeat this procedure. How do I join a meeting from the calendar? To join a meeting: 1. Calendar icon. 2. From the screen, choose the meeting you want to join, and then select Join. 6

How do I connect the telephone to the computer? (for Windows only) The Lync phone will support a direct connection with Microsoft Exchange to allow you to use advanced features on the Lync phone itself. *A Lync phone is not required to use the features with the Lync Client. This is accomplished through a USB connection through the phone. Complete the following steps to connect your telephone device to the computer. 1. Connect the handset cord to the handset. 2. Connect other end of handset cord to the phone, located on the side of the phone. 3. Connect network cable to the LAN port on phone, and connect other end to network jack. 4. Connect network cable to the LAN port on phone, and connect other end to network jack. 5. Connect second network cable to PC port on phone and connect other end to network port on Computer. 6. Connect phone to computer with USB cable. 7. Connect the power supply to phone and plug device into a power outlet. The display screen lights up when the phone starts. How do I connect my telephone device? (for MAC only) Complete the following steps to connect your telephone device: 1. Connect the handset cord to the handset. 2. Connect other end of handset cord to the phone, located on the side of the phone. 3. Connect network cable to the LAN port on phone, and connect other end to network jack. 4. Connect network cable to the LAN port on phone, and connect other end to network jack. 5. Connect second network cable to PC port on phone and connect other end to network port on Computer. 6. Unplug the phone from power source. 2. Plug power source back in. 3. Hold down 4 and 6 while the phone is rebooting for ten seconds. 4. When prompted to restore phone to default setting press yes. 7
