Introduction The information in this document needs to be read in conjunction with the accompanying document The University of Queensland Supervisor Procedure Manual. In 2015, the Medicine in Society rotation requires students to undertake a written examination at 8.00am (AEST) on the Thursday of Debriefing Week (Week 8). The written examination is a 90 minute (with an additional 10 minutes perusal), closed book examination consisting of short answer and/or multiple choice questions relevant to the student s experience in rural practice. Students undertaking the Medicine in Society examination while undertaking their clinical placement overseas are personally responsible for the following: 1. Sourcing and booking an approved venue to sit for the examination 2. Nominating a suitably qualified person to act as their examination Invigilator 3. Paying for all costs associated with hiring an examination venue including payment for the Invigilator 4. Ensuring that their examination Invigilator signs the Invigilator Contract and returns it to the Student Coordinator prior to the examination schedule date. Are you qualified to act as an examination Invigilator? A person currently holding a position of authority or responsibility is qualified to act as an examination Invigilator. Positions may include (but are not limited) to the following: School teacher/ principal Librarian Member of the clergy Bank officer Law enforcement officer Clerk of the court Others may be considered subject to consent by Head of Discipline Rural & Remote Medicine. Although, the Head of Discipline Rural & Remote Medicine does have the discretion to decide who is appropriate to undertake this role, relatives of students taking the exams, work colleagues or educators who prepared the students for the exam cannot act as an Invigilator. Roles and responsibilities of Examination Invigilators The major responsibilities of each examination Invigilator are to provide students with the opportunity to demonstrate their medical competence under fair and uniform testing conditions, and to ensure the integrity of the examination process. It is important that the administration of this examination be consistent and fair and abides by the University of Queensland rules and policies. The Invigilator must have no other work commitments during the examination. In particular, the Invigilator must not be on-call. Included in this document Appendix 1) is a template to use in the situation of the student commencing the examination paper and then not being able to complete the paper due to ill health or some other matter. Additionally, if a situation arises during the examination period, the Invigilator s Incident Report form can be used to document the incident (Appendix 2). Invigilator Guidelines The accompanying document The University of Queensland Supervisor Procedure Manual provides information to help ensure the security, fair administration and integrity of the examination. Information of relevance to you in The University of Queensland Supervisor Procedure Manual is detailed from pages 4 10. This document provides information about: Defining the parameters for exam security. Making sure the exam is administered under comparable conditions in each examination centre. Making sure students are well supervised during the examination. Avoiding any disturbances during the administration of the examination. Important Information to Note If you feel that you cannot supervise the exam given these guidelines, please decline the student s request. If you feel that you can accept this responsibility please sign the Invigilator Contract at the end of this document. Signing the contract indicates that you agree to adhere to the guidelines. CHECKLIST FOR INVIGILATORS: Read The University of Queensland - Supervisor Procedure Manual and make yourself aware of the Invigilators Rules and Regulations. Sign and return the Invigilator Contract to the Student Coordinator 21 days before the examination date. Advise the Student Coordinator of your contact details on the prescribed form 21 days before the examination date. Ensure that you have access to use a high resolution colour printer to print out the examination paper. There are a number of colour photos used in the examination paper and if the quality of the printed examination paper is not of a high quality this may disadvantage the student when answering that particular question. Faxing or scanning/email the examination paper immediately upon student s completion to the Student Coordinator. MEDICINE IN SOCIETY WRITTEN EXAMINATION INVIGILATOR CONTRACT Please fax your signed agreement to the Student Coordinator (+61 7 4633 9701) 21 days before the examination date. Please keep a copy of this document for your records. Note that the student will not be able to undertake the examination until this form is duly signed and has been returned to Student Coordinator at least 21 days prior to the examination date. Invigilator Contract In signing this form I undertake that I will follow diligently the examination procedures as detailed in the written information provided. I hereby confirm that I will not be on call during the examination. I confirm that I will substantiate the identity of the student with photographic ID at the start of the examination, observe the student at all times and not attempt to disrupt and/or print and save the examination paper in any form. Excepting the student in the room, I will not allow any person other than an authorised invigilator of the test to have access to, look at, or be informed about any examination material. I confirm that I will maintain the strictest ethical and professional behaviour concerning the security and confidentiality about the content and conduct of the examination, including the related privacy issues.
