Introduction BEAR DataShare is part of the Birmingham Environment for Academic Research; a set of services designed to support the University s researchers. The service is available to researchers where it provides a mechanism for sharing (up to 20 GB), of data with identified collaborators both on and off campus. There are two methods in using the software Web based Application ( client ) based See the User Guide for further information about the service. This document is a guide to installing and setting up the application ( client ) Installation Guide v1.9 Page 4 26

Installing BEAR DataShare The installation will depend on whether you have University of Birmingham managed desktop / laptop / device A non-university / personal desktop / laptop / device The main difference is the lack of administrator privileges on University managed devices, so the client can be installed via the Software Centre. Windows installation Getting the Client on to a managed device If you have a University managed device then you will need to install the client from the Application Catalogue from our Software Centre, either copy and paste the link into your browser or press the hover over the link below and press the CTRL key and the link below. https://uob-sccm-dp2.adf.bham.ac.uk/cmapplicationcatalog/#/softwarecatalog You may see a warning message about Silverlight needs permission to run, to enable this select the url bar in the browser ( Internet Explorer ) and select the jigsaw piece with the red cross on it. Then select either always allow or run all plugins this time. You will then see the screenshot below Installation Guide v1.9 Page 5 26

Once you highlight the client BEAR DataShare, you can select the INSTALL button on the bottom right hand side of the webpage. This will install start an installation and give you the following informational message Once you click yes you will the following message pop-up In your system tray The main window on the Software Centre will report Installation Guide v1.9 Page 6 26

Once the application is installed you will see the following dialogue box Your device may or may not then request a reboot is required. Getting the Client on a non-university managed device Pre-requisites: Admin account required to install To get the BEAR DataShare client open a web browser and enter the following address; https://beardatashare.bham.ac.uk Installation Guide v1.9 Page 7 26

Select the link Download Clients from the existing window. Select the appropriate download for your device. Upon selecting the link a File Download - Security Warning will appear, choose Run or save the file locally and run. Another Internet Explorer Security Warning may appear select Run. The setup for BEAR DataShare will now begin, select I Agree on the initial License Agreement screen. On the Installation type screen leave the default of Automatic and select next Installation Guide v1.9 Page 9 26

Allow the setup to extract and install files Select Finish completing the installation Installation Guide v1.9 Page 10 26

NOTE : It is essential to reboot your PC to complete the installation. Configuring BEAR DataShare Now BEAR DataShare is installed, go to Start, All Programs, BEAR DataShare, and select BEAR DataShare. You may see the following screen. If you see the above then you will need to enter your university credentials, so please select No User account configured This will prompt you for your details On the Activation screen enter your domain username. Enter your password and select Next Activation should complete successfully and then BEAR DataShare logs in. Installation Guide v1.9 Page 13 26

Application icons and buttons described 1. Folder list - shows all available and synchronized folders. 2. Synchronized folder - click on the folder to view more information about it. 3. Available folder - click on the folder to synchronize it locally. 4. Status and last check - shows you if your folders are synchronized and when the status was last checked. 5. User account - shows the username the client was activated with. 6. Quota bar - shows how much space is still available online. 7. Auxiliary menu: a. Show / Hide Folders - Shows or hides the folder list. b. Web - Takes you to the user account folder list in the cloud. c. Explore - Takes you to the default folder path using your default file browser (e.g. Windows Explorer on Windows). d. Pause - Lets you pause all checking and synchronization activities. e. Preferences - Lets you configure the client settings. Installation Guide v1.9 Page 14 26

Creating your base folder Now the client is installed we are ready to start using BEAR DataShare. By default BEAR DataShare creates a folder within you windows user profile, e.g. C:\users\user_name\DataShares On Windows 7 and later BEAR DataShare will appear as a Favourites destination This default folder can be used to synchronise and store information with BEAR DataShare. However you may already have existing folders which you wish to use. To select existing or create new folders within the BEAR DataShare application select Show Folders and an option to Create Folder will become visible On this new window Choose Directory select or create the local folders which you wish to use with power folder. Once you have setup your folders select OK A new Folder Configuration Wizard will appear and notify that setup was successful. Installation Guide v1.9 Page 16 26

Select Finish completing the setup. BEAR DataShare will now synchronise these folders and files with the BEAR DataShare server, this may take some time depending on the files that are to be uploaded. Further information on creating more folders and how to share is in the User Guide. Installation Guide v1.9 Page 17 26

MAC Client Install Pre-requisites : Admin account required to install To get the BEAR DataShare client open a web browser and enter the following address; https://beardatashare.bham.ac.uk Select the link Download Clients from the existing window. Select Download for Mac icon The client will download onto the Downloads area of your MAC Installation Guide v1.9 Page 18 26

If you then double click the download BEAR_DataShare_Latest.dmg, you will then be faced with the following window The installation will start once you double-click the client installation package Installation Guide v1.9 Page 19 26

Select Agree and then carry on with the installation Before the installation starts, your Mac will ask you for confirmation of whether the software can be installed, you will then need to enter your password Installation Guide v1.9 Page 20 26

The software will then install and complete, and you will be presented with a window below Configuring BEAR DataShare To start the client, you will need to find the client using finder and click on the BEAR DataShare icon. Installation Guide v1.9 Page 21 26

You will then be faced with the login window, please enter you University username ( not email ) and password. Installation Guide v1.9 Page 22 26

Once successfully logged in you will see the following window NOTE: For a description of the icons and links on the client application please see the section Application icons and buttons described Creating your base folder At this point you will need to create a base folder where your data can be placed. So select the >Create Folder icon, and you will be faced with the following window. Installation Guide v1.9 Page 23 26

Linux The Linux installation section will be updated shortly Mobile Devices Please follow the prompts on your device to install the client, but if the setup asks you to add a URL, then please add https://beardatashare.bham.ac.uk If your device does not have a pdf or MS Office document viewer, then please install from your application store. There are many variants which are free to paid for apps, please choose an app that you find most useful. Installation Guide v1.9 Page 25 26
