WHAT IS THE BROWSER VERSION? Covalent Performance Management software manages the core elements of any organisation s performance; this has been run using a Java application for its lifespan to date (which we call Classic). We have now embarked on a project to rework this application into a browser version making it more modern in look and feel, and giving you a better user experience. This means that all you need to do is connect to your organisation s Covalent site using a web browser and log on to access your data. You can also easily access the software using a tablet or smart phone, and the software will adjust to fit the size of your screen. The browser version currently includes: For the end user Viewing Actions, Feedback, PIs, Policies, Risks and Scorecard notebooks Updates to Actions, Feedback, PIs and Risks in notebooks Update windows for Actions, Feedback, PIs and Risks that are due for update Ability to review and sign off Policies Insertion of basic data for Incidents Internal Controls list screen For viewing data Ability to create and view queries Ability to view linked documents Ability to view published reports Ability to generate reports For system administrators Trigger creation wizard for Actions, Feedback, PIs and Risks Create update schedules for Actions and Risks Rearranging the first tab for notebooks Adding new users Site admin options for Default Visibility, Log In Screen text, Email configuration, Public Holidays, Partner Sites and Security Portal view designer including dashboard components and Strategy Maps (where you own these modules) Covalent Software Ltd Page 4 of 24 Last updated: 1-Apr-16 PJW

LOGGING IN The URL address The URL address to get to your site includes the name of your organisation followed by covalentcpm.com; for example http://training.covalentcpm.com will take you to the Covalent training site. The format for US sites is organisation.covalentgov.com Note that the link does not contain www. Log in with a user name and password. If you forget your password, click the Forgotten your password? link to receive and email with a new password. Home page Once you have logged in to Covalent, you will see your home page. This may be configured to show you the information that you require and may be different from other people who log in to Covalent. Menu bar The menu bar appears at the top of your browser window. It contains the following: Go To button Click the Go To button to navigate to information in Covalent. The Go To button changes to Close once it is clicked. Click Close to close the menu without selecting an item. Help button This takes you to the help page for the current browser screen. In addition to support text, the help contains links to this document, the existing online help for Classic Covalent and the Covalent Support Portal. Username menu This is positioned at the top-right of the page and displays the name of the user currently logged into Covalent. Click on the name to access the username menu. THE GO TO MENU Go To button The Go To menu allows you to access the different parts of the system. This pops up a menu with the following options: Home: takes you to your home page Portals: allows you to view other portal (pages) of information e.g. a list of reports or a strategy map Modules: gives you access to the modules that are available, for example PIs, Actions, Risks. The sub-menu then allows you to navigate further within this module. INFORMATION DISPLAYED Traffic lighting Throughout Covalent, we use a colour-coded traffic light approach to highlight performance and status. Additionally, each traffic light has a different symbol shape so it will still make sense when printed in black and white. The meaning for each element may be seen by hovering over the symbol. Actions The status of an Action is shown as follows: Cancelled Overdue Neglected Unassigned Check Progress Not Started In Progress Assigned Completed The Action has been cancelled. The Action's due date has passed and the action is not yet complete. The Action's planned start date has passed but there is no assignee. The Action has no assignee and has not yet started. The Action is nearly due to be completed or a milestone is overdue. The project has no assignee and no progress. The Action has progress and is not at Overdue or Check Progress status. Feedback The status of Feedback is shown as follows: Alert Warning OK Closed The due date of the Feedback is past. The Feedback's due date is within the number of days defined on this stage. The Feedback's due date is in the future and it is not within the number of days until due defined on this stage. The Feedback has been closed. Performance Indicators The status of a PI is shown as follows: Alert Warning OK Unknown Performance is significantly below target Performance below target. If the data value is equal to the amber threshold, and the amber threshold is not equal to the target, the PI status will be amber. Performance on target There is no performance status due to data missing. Risks The status of a Risk is shown as follows: Alert High Risk Warning OK Unknown The Risk has a high risk rating. The Risk has a high rating but not at alert status. The Risk has a medium rating. There is no risk or a low risk rating. There is no risk rating due to data missing. Combined status icons Where there are sub-items e.g. Actions, Risks, Scorecards, worst child status icons display. The status is drawn in the bottom right-hand corner of its status icon, and appears everywhere the parent shows its icon. For example, this icon would display for an action that has the overall status warning but has at least one sub-action at overdue or neglected. Overdue To indicate if an item is overdue and due for an update, the following clock icons appear next to the status icon: Due for update Expand button Overdue for update If an item has sub-items, there will be an expand button. Expand the item to show the sub-items Collapse the item to hide the sub-items Expand all items (scorecard) Collapse all items (scorecard) Number badges When there are child items, for example within an Action tree, then an oval, with a number in it is shown. In this example there is one overdue action in the action tree list. In this example, the number of sub risks at each status is shown for each register. VIEWING LISTS Searching Menu search Each of the sub menus has a search field where you may enter details to find a specific item. Use partial words followed by * to perform a more general search, e.g. web* will find web, websites and webinar. Pagination control When a page is split over a number of pages you will see a pagination control at the top and bottom of the page. This allows you to move page by page by clicking on the left and right arrows. Move to the first or last page, or a specific page number, by clicking on the control and opening the navigation dialog. Refine your search Lists of items will have a Refine your search box on the left hand side of the window. You may use this to filter the list to find what you are looking for. Use the Keywords field to filter the list by a word. Use partial words followed by * to perform a more general search. Select Strict Code Search and type the code of an item in the field to find items using the code. Click the headings Status or Ownership to filter the list. Table sorting Clicking on the header labels of some tables will now sort the rows of the table by the values of that column. A second click will reverse the direction of the sort. Click a different header label to sort by that column as well. Please note that feature is only available in Chrome, Firefox, Safari and Internet Explorer 9 or higher. VIEWING NOTEBOOKS Links Whenever you can drill-through to a new page, you will see the text with a blue underline and your mouse will change to be a hand icon. This also happens on charts that have been placed on your portal view. Notebook layout Each of the notebook layouts are designed to be consistent, and they all have the following components: Top Panel: the main details of the item e.g. the current status, when the next update is due, etc. There will usually be more than one tab in the top panel. For specific information on a particular notebook, go to the online help. Bottom Panel tabs: Underneath the top panel, each notebook is split into tabs. These are different for each module and additionally the first panel on each notebook can be configured by the site administrator to allow for the most commonly used panes to be displayed in the most accessible place. The More tab on each notebook will show you everything that is not shown on the other tabs. Tree views Some items within Covalent are displayed in a tree view, and this has been translated to showing the parent and child information within the notebook itself on the Tree tab. For example, this action has three sub-actions; it also has a parent action so it is a sub-action itself. There is also an Open in Tree option on the notebook s title menu. UPDATING NOTEBOOKS Once you have found the item that you wish to update, you can add information in the panels on the tabs. What you can update will depend on which type of notebook is displayed and what your permissions are. Mouse menus Click on the name (Code & Title) of an item to open the notebook Click on the title of a panel to see a menu of options for this panel. The heading of the panel will have an arrow at the end if there are menu options that you can access. Lists Right click on an item in a list to get further options. This may include: Open in a new tab Update/Edit Cut/Copy/Paste/Duplicate Delete: This option will only be available to those Different items will have different options to choose from. Pop-up dialog box When a full notebook window is not required, and just a small set of information needs to be presented, then a pop-up window will display and the screen behind will turn grey, for example, when you add a note. Click the Save & Close button at the bottom when you want to close the window and return to the notebook. Text pop up windows When you right-click within a Note window you have standard menu that allows you to: Undo Cut/Copy/Paste Delete Select All Each notebook will have its own set of panels and its own information to update. Updates page Together with the update capability on the notebooks themselves, there are additional windows to allow you to see just the items that are due for update for which you are responsible. These are accessed from the module's sub-menu on the Go To menu. The number of items that you have to update is shown. This menu shows that there are 7 actions to be updated. Each module will have its own update list. See the online help for further information about updating the individual lists. Things you can only do in Covalent Browser Bookmark a record Got a favourite Covalent record? Set it as a favourite or bookmark and you can find it quickly. Consider having things that you use regularly on your favourites or bookmarks bar. Find out more about favourites or bookmarks for: Internet Explorer, Firefox, Safari, Opera or Google Chrome. Use the back button Get back to where you were by clicking the back button. Remember to refresh the page (F5 on the keyboard) to see any changes that you have made. Open in a new tab or window Use the right-click button to open a link in a new tab or window. Or Highlight a hyperlink and use the Ctrl and Enter keys to open a link in a new tab or window. You can have as many records open as you like and can jump from one to the other. Remember to refresh the page (F5 on the keyboard) to see any changes that you have made. If you have two tabs open, use the Ctrl and Tab keys to jump between them. If you have two windows open, use the Alt and Tab keys to jump between them. Send a hyperlink to another user Copy the URL from the top of the browser window and paste it in an email to another Covalent user. When they click on it, it takes them straight to that page. This may be a record, a report, a query or a portal. They will have to log in to Covalent if they have not already done so, but once they are logged in, it takes them straight to that page. Go to your Covalent site: https://***.covalentcpm.com Tap the Share button ( ) on the bottom menu bar Tap on Add to Home Screen Enter the shortcut a name: Covalent Tap on Add in the upper-right corner An icon will appear on your home screen to take you directly to Covalent. USING PORTALS Portals are a way of displaying data that is useful and relevant to you. Portals contain components which are small windows of information. There are a number of different types of component Tables These are lists of records. They may be list of your work, items that require an update or reports that you can view. Click on the Code & Title to open the notebook or view the report. Charts These are graphical representations of data. They may be bar charts, heat maps of risks or a graph of results. Click on a part of the chart to view the information that is creating it, e.g. click on the red bar to see the red PIs. Click on the name of the chart to see all the items that create this chart. Counts These are a number of items. Click on the number to see the individual items. Text Portals may contain text fields. This may be a set of instructions of further information. They may contain links to items both in and outside Covalent. Strategy maps Strategy maps may be included on a portal. This gives you a representation of data stored within Covalent. FOR SYSTEM ADMINISTRATORS ONLY Customising the first tab of a notebook All notebooks have a first tab that can be customised by the site administrator; this customisation will show on all users views for this notebook. This is done by going to the Go To: Site Admin menu option and choosing the relevant notebook tabs option. Each of the available panes that you can add, for example Documents, Dates, Notes, etc., can be added and these components moved around within the two columns available: Portal management Portal views can be built to hold different types of components, including views by ownership, results of a query, components from the Dashboard module and strategy maps. The list of components that can be added is growing all the time, and if you have the Dashboards module then you will see a larger list of components that can be added. The setup of new portals is an easy step-by-step process and the software will take you through what you need to do to configure this. You can define the number, size and type of components you want in each row of your portal, and you can arrange them in any order. Covalent Browser is supported and tested on the following tablets: ipad (Safari/iOS7) ipad (Safari/iOS8) Other platforms (Mobile, Mac, Linux, etc.) While other platforms are not officially supported, you should expect that Covalent Browser will run on any modern web browser, or a mobile phone at least comparable to an iphone running ios7. Feature exclusion It is sometimes not possible to implement new features on certain versions of a web browser. This usually only affects older browsers such as Internet Explorer 8 and happens because Covalent s software depends on the underlying web browser implementing a certain aspect of common web standards.
