PURPOSE OF THIS DOCUMENT As an established agency, we have the benefit of many years experience in guiding our clients through the web design process. Web Development is our area of expertise and in the majority of cases this may be the first time you have embarked on a web development project. It is therefore essential that we make this a project that excites you not daunts you. Where you become a partner to our team and engage in the web development process. This can only be achieved by offering full transparency from the outset. No nasty surprises, no hidden extras, just peace of mind and confidence in what we are delivering. This resource pack has been created specifically to answer any questions you may have relating to your project. It works in partnership with your bespoke quote and covers the majority of FAQ s. OUR PROCESS We approach each website project using five clearly defined stages, summarised as: PLANNING The first (and arguably) most important stage of the project is the planning. This is where our project team, to include Web Designer, Developer (s) and Account Manager meet with you to discuss the project openly and subjectively. At this stage we share ideas and map out the best possible solution to your project. From this meeting a site map and technical document will be prepared for you to review and where necessary, amend. Only on sign off of this stage will our design team proceed to the design stage of the project. DESIGN Now we have prepared a blueprint for the site to work from our design team can begin showing you how the site will look and feel. If you have existing brand guidelines we will ensure these are closely adhered to. If not, we will create something that is fresh and reflects the personality of your business. During this process we will demonstrate how your home page will work along with up to two sub pages. This will allow you to see how your site will look and feel prior to being developed. Please see our before & after case studies towards the rear of this document. Please note that at this stage up to two sets of revisions are allowed for. On confirmation of the design we pass over to our development team. 3 DEVELOPMENT Working from the signed off site map, technical document and design visuals our development team will begin constructing your site. This is where it comes alive and you see things working! It is essential that we have all of the content (images and photography) ready for this stage as it will greatly assist in the development process. During this stage our developers plumb together your bespoke Content Management System (CSM) and link all of the pages together. Once this stage is completed we will be in a position to present the first working site for your review and comment. Please note that the site will not be 00% finished at this stage. It is typical that we make minor modifications and undertake any snagging prior to the site going live. 4 5 TESTING Once the site has been signed off by you we undertake rigorous testing to ensure all links work, contact and response forms are active and the site is generally ready to be viewed. On completion of the testing stage we make the site live where it will be available to the world! MARKET Prior to us developing your site we will need to understand what level of search engine optimisation you require as this will greatly assist in the marketing. However, it s only once the site has gone live that we really begin the optimisation and marketing process. CONTENT MANAGEMENT SYSTEMS (CMS) Our web team develop our sites using a coding platform called PHP. Other platforms are available; however, as an agency our preference is to use PHP. As the client what and how we code has little or no effect on your site, it s just a preference that each agency will have. All of our sites are developed using a powerful CMS that is developed to suit your exact needs. Our preferred platforms are detailed below and we have provided links direct to the providers should you wish to find out more information. WHAT S INCLUDED AS STANDARD As best practice, your new web site will automatically include or conform to the following standards. ACCESSIBILITY It is important your website meets a high standard of accessibility as it is recognised that the site will be used by many people and it is imperative that the website provides the best possible accessibility. The site will be developed using XHTML.0 and CSS templates and all code written to be cognisant of and compliant with the current accessibility legislation and guidelines, which is seen as good business practice. We will develop the pages to conform to the WAI AA (double AA) guidelines which involves conforming to the checklists available at: http://www.w3.org/tr/wcag0/full-checklist.html. We will work through Priority and Priority checklists. A Double A rating should provide more than adequate accessibility. We can discuss a higher level of accessibility but this is very dependant on how you compose your content which may be hard to monitor and control with a variety of users. ALT TAGS Will be used to provide a summary description of options and image content on mouse over. 3 COURTESY TRANSMISSIONS For those choosing email and electronic reply forms as their preferred method of initial contact, courtesy transmissions will be incorporated. These will provide the visitor with verification that the request for information has been received and, simultaneously, deliver to the enquirer a relevant overview of the company and services,.pdf files will be created and utilised for this purpose. 4 CONTACT DETAILS & FORMS The ability to move to contact and request information will be maintained throughout the site, ensuring that any visitor, at any point during a visit has the ability within a single keystroke to obtain the information to make contact with you using a broad range of response devices (telephone, facsimile, email, electronic reply form, web and address details). telephone.0983 54848

SUPPLYING OF INFORMATION Every site needs information to make it a success. This part of the resource pack outlines who will be providing the information and to what extent. COPY We have detailed below three different ways that copy can be generated: 3 Client to supply full and final copy to be used within the site. We will however, undertake a final proof read checking for spelling errors etc Client to provide draft/outline copy and provide a direction as to how they would like the site to be positioned. From here our copywriter will liaise with you to re-author the content through to final sign off and publication. Client to provide no content and brief our copy writer in full for them to draft final copy. IMAGES Photography can typically be supplied in one of two ways, them being: Client to provide final photography in appropriate resolution ready for our design team to work with. All photography supplied must be free of any copyright laws. The Web Agency sources photography that is relevant to the site and charges a fee of 5 per image. Please note that on completion of the project and final payment we will provide the images back for your future usage. POPULATING THE SITE Populating the site basically means who is going to put the information into the site. More often than not this is applicable to larger sites with lots of information, such as e-commerce shops etc.. Unless your quote says otherwise, we will populate your site with information. However, on certain occasions it may be more cost effective for you to populate the site yourself. If this is the case we will provide a fee for us to enter the content. telephone.0983 54848

HOSTING The fee you will pay for your hosting depends largely on the bandwidth your site requires. Let us give you an example, albeit greatly exaggerated. The local florist will receive vastly fewer visitors to their site than say, Vodafone. This basically means that Vodafone will require significantly more bandwidth than the florist and with that, will need to invest more. Our hosting packages typically fall into three categories, them being: Number of Email accounts Email Spam Protection Email Antivirus Amount of webspace Number of Databases Web Stats Web Mail Small Business - 50 per year Only a nominal amount of bandwidth required. Think of a brochure style web site. 5 500mb Business Commerce - 300 per year This could be for a site that requires greater bandwidth and could be for an on-line shop or the like. 50 gb 3 Business Professional up to k per year This will be for larger sites that have high levels of traffic to them 00 5gb DOMAINS Domains can be either transferred to us from your existing provider or we can purchase them on your behalf and register them to you. The costs associated with either are as follows: To transfer a domain to our servers - 5 + vat (one off cost) To register a.co.uk domain name for a year period - 35 + vat To register a.com or other domain name on your behalf - 3 per year telephone.0983 54848

MOBILE (SMARTPHONE) OPTIMISED Mobile media is playing an increasing role in how people use the internet. Latest figures state that 38% of web users use their smartphone as a first port of call when browsing the internet. This figure was double that of the previous year and is set to rise significantly again this year. It is vital therefore that your site can be found effectively on Smartphones otherwise it is potential business lost.
