StarID support documentation StarID Self Service Functions This document is intended for IT staff and other administrators who support StarID users. Although the document illustrates StarID functions from the user s perspective, it is intended to help support staff better understand what the user is doing and seeing. StarID Web Site: starid.mnscu.edu StarID Self Service Functions The StarID web site has information about StarID as well as StarID Self Service and activate your StarID links that direct the user to StarID user self service options. Clicking on one of these links presents the StarID self service options: Option presented to StarID user: Option allows the user to: Activate StariD Activate their StarID and create a StarID password. Forgot Password Forgot StarID & Password Forgot StarID Manage Profile Change Password Expired Password Retrieve a forgotten StarID and/or reset a forgotten StarID password. Sign into their StarID profile to update their password or change their preferred email selection. Select a method to verify their identity before resetting their expired password (same as Forgot Password option). Last updated: 6/12/2013 page 4 of 26

Activate and Forgot Functions - Summary Activate StarID, Forgot Password and Forgot StarID & Password functions each include the same 3 steps: 1) verify the user s identity, 2) user creates or resets their StarID password, and 3) system confirmation. 1. Verify the user s identity 2. User creates or resets password 3. System confirmation User selects a method to verify their identity: Tech ID Library card number State employee number Personal email address Verification code User then enters the required information and the system verifies their identity User creates or resets their StarID password, and User selects a preferred email address (if they have more than one email address), and User acknowledges the Acceptable Use policy. System displays the StarID and a confirmation message, and System sends confirmation email to the user s preferred email address. The user can can select one of the following methods to verify their identity when using any of the StarID activate or forgot functions: Tech ID. The user selects the institution that assigned the Tech ID and enters the Tech ID and their social security number. Library Card Number. The user selects the institution that assigned the library card and enters the library card barcode number and their social security number. State Employee Number. The user selects the institution where they have an employee affiliation and enters the state employee number and their social security number. Personal Email Address. The user enters a personal email address and the system locates the email address in the system. If it s in the system, an email with a verfication code is sent to the address. Verification Code. A user enters a verfication code sent to their personal email address. They also enter their last name or an email address associated with their account (this can be a personal or institutionally assigned email address). Last updated: 6/12/2013 page 5 of 26

Activate StarID Activate StarID, Forgot Password and Forgot StarID first require the user to verify their identity. Although verification options are in Employee, Student and Guest groupings, any user can use any option. As long as the system has the requested information on record for the user, it will verify their identity. Option Tech ID Library Card Barcode State Employee Number Personal Email Address Verification Code Who can use the option Employees and students setup in ISRS with a social security number. Employees and students setup in ISRS with a social security number and who have been assigned a PALs system library card. Persons setup in the ISRS HR application (SCUPPS) as an employee. Students with a personal email address associated with their ISRS eservices account. Some employees have a personal email address on record in ISRS, but this is not typical. Activate StarID with Tech ID, Library Card Barcode or State Employee Number - Enter identifier information User enters: School -- If the user has selected Tech ID or Library Card Barcode to verify their identity, they must select the school that assigned the Tech ID or Library Card. If the user has selected State Employee Number, they must select the school where they have an employee affiliation. Tech ID (or Library Card Barcode or State Employee Number) -- The user enters the requested ID/number. If their Tech ID or State Employee Number has leading zeroes, they must include the leading zeroes here. Social Security Number -- The user enters their social security number. If the user does not have a social security number, they cannot use Tech ID, Library Card Barcode or State Employee number to verify their identity. If their SSN but their SSN is has not recorded on their ISRS account, they will get an error message, We cannot locate a person matching the information you have provided (Error Code: IAM-G004). Activate StarID Create a new password User enters and selects: StarID Self Service Functions New Password -- User creates and confirms a new StarID password. Preferred Email -- A user with more than one email address must select one as preferred before they can activate their StarID. Their list of email addresses are available in a drop down selection list. If a user has just one email address, it will default as their preferred. Activate StarID StarID activated confirmation The system displays the user s StarID and a confirmation that it has been activated. If the user has an email address associated with their StarID account and it is selected as their preferred email, the system will use it to send the user a confirmation email. Forgot Password Reset password User enters and selects: StarID Self Service Functions New Password -- User changes their StarID password to a new password. Preferred Email -- A user with more than one email address can select another as preferred or leave their selection unchanged. Their email addresses will display in a drop down selection list. If a user has just one email address, it will default as their preferred. Acknowledgement of Acceptable Use User checks the box to acknowledge the Acceptable Use of Computers policy. If the user has an email address associated with their StarID account and it is selected a preferred, the system will use it to send the user a confirmation email. Personal Email Address 1. A user selects Activate StarID or a Forgot function from the StarID web site and they are presented with options to verify their identify. 2. The user selects Personal Email Address and is then asked to enter a personal email address along with the message, We will check our records for the personal email address that you provide. It it s on file, we will send a verification code to the email address. 3. If the system locates the email address entered by the user and it s assigned to one and only one StarID account, an email with a verfication code is sent to the email address. 4. The user is then asked to enter their verification code along with their email address or last name. The email address can be any email associated with their ISRS and StarID account; a personal or institutionally assigned email address will work here. Last updated: 6/12/2013 page 16 of 26

Verification Code 1. The user selects the Verification Code option and is asked to enter a verification code along with their email address or last name. The email address can be any email associated with their ISRS and StarID account (personal or institutionally assigned). The verification code can be the one just sent to their personal email address or one given to them by a StarID administrator. 2. The system checks that the verification code has not expired and that the last name or email address entered matches the StarID account. If verified, the user is directed to the appropriate page: If Activate StarID, user is directed to the Create a new Password page If Forgot Password or Forgot StarID, the sytem displays the user s StarID and gives them the option to reset the password. Change Password and Manage Profile Profile Sign In StarID Self Service Functions The user selects Change Password or Manage Profile from the list of StarID self service options and enters their StarID and password to log into their StarID profile. The user will see error message, The StarID or password you entered is incorrect, or your password has expired if they enter, an invalid StarID, or the wrong password, or the password has expired. StarID Profile After selecting Change Password or Manage Profile from the list of StarID self service options and logging in with their StarID, the user will see their account profile. The profile displays the person s: First Name Informal First Name Middle Name Last Name StarID Preferred Email Selection Email List (if they have more than one email address) If the user has more than one email address on their StarID profile, they can use their email list to select or change their preferred email address and then click Apply to save the change. Change Password After selecting Change Password or Manage Profile from the list of StarID self service options and logging in with their StarID, the user will see a section on their profile page where they can change their password. When the user enters their old password, new password and clicks Apply, the system displays a confirmation that the password has changed. The system also sends an email notice to user s preferred email address confirming the password change. Last updated: 6/12/2013 page 20 of 26

Change Password option disabled StarID Self Service Functions A user with more than one email address on their StarID account must have one selected as their preferred email address before they can change their password. The Change Password option will be disabled until they select a preferred email address. Expired Password The StarID web site presents an Expired Password option. This option directs the user through the same steps used by the Forgot Password option: The user selects a method to verify their identity (Tech ID, Library Card Number, State Employee Number, Personal Email Address or Verification Code) and then creates a new password. StarID Self Service User Error Messages StarID self service functions display user warnings and error messages in a message box like those shown below. Some error conditions are straight forward and tend to be easily understood by the end user. These simply include an text message to the user and do not include an error code. Other error conditions are more complex and originate from data or StarID account conditions that may not be obvious to the user. These error messages will include an error code as shown below. It is helpful to ask the user to provide the exact text of an error message, including the error code if one exists. Different data conditions can result in errors with the exact same text message but with different error codes. Go to http://www.its.mnscu.edu/iam/support/error-codes.html for a list of errors messages generated by the StarID Self Service system, including the error code, the message displayed to the user, a description of what the error means and sometimes what can be done about it. When escalating a support ticket to tier 2 or tier 3 support, provide the full error message text, including the error code. Last updated: 6/12/2013 page 23 of 26

StarID Email Notices The StarID system sends the following email notices to StarID users. Email Notice StarID Activate Confirmation Password Change Notice Password Expiration Notice Additional Email Added Notice Preferred Email Dropped Verification Code Event Description A person successfully activates their StarID for the first time or a StarID user uses the Activate StarID function to reset an expired password. The user s StarID password had been changed using the Change Password, Manage Profile or Forgot Password function. The user s StarID password will soon expire. A password expiration reminder is send 21, 7 and 1 day(s) before the expiration date. An additional email address has been added to the user s profile. Although one email is already selected as preferred, users receives a notice reminding them to verify that the selection is correct and to select another if it is not. The preferred email address is dropped from an active StarID user s profile and multiple email addresses remain. The StarID has been activated and is not in a disabled status. The user has request that a verification code be sent to their email address while activating a StarID, resetting a forgotten password or retrieving a forgotten StarID. StarID activation confirmation Event description: Email sent to: Email subject line: Email message: A user successfully activates their StarID for the first time or uses the Activate StarID function to reset an expired password. User s preferred email address. StarID Notice: You have activated your StarID You have activated your StarID: <user s StarID> At the same time, you created the password used with this StarID. For security reasons, the password is not included in this message. You will be required to periodically change your password. StarID policy requires you to change your password at least once every 180 days. We ll send a reminder email as it approaches 180 days since your last password change.
