BLUEFLEET The ISM fleet management system Bluefleet enables shipping companies to a fleet wide overview about the status of planned maintenance, stock control, requisitions, ISM documentation and reporting, crew data and drills. It helps to generate significant overviews and statistics for more cost- and resource effective vessel management. Bluefleet combines the experiences of thousand implementations of Fleet Management Systems with the latest development platforms and technologies. Due to the modular design, the system can be implemented in various configurations. The replication feature enables shipping companies an online overview of the current situation on board. Core System User Management The intelligent and easy to operate user access management allows pre-defining an unlimited number of different roles containing specific privileges for accessing and using the entire system. Each role can contain an unlimited number of different users with or without permanent but temporary access rights. A login-related, customizable user interface provide the ability to set up the own system overview with specific information fitted to own or other users requirements. The system is prepared for access by normal Windows login, password or chip card. Address Management An address- and contact management for the smooth handling of all address and contact details without limitations. No double entries because of a common database for the entire system. Document Management The comfortable form editor allows to create, import, export, link, edit, update or to adopt different types of documents without any data or format restrictions. The internal, independent pdf creator provides creating pdf files from everywhere in the software. Info Path The standard Microsoft Info Path system is integrated into Bluefleet. This module makes it possible to generate all kind of forms in the office and transferred individually to the vessels. This is necessary for forms they have to be filled in on the vessel and attached to reports. To minimize the data transfer cost, only the input of the form is transferred. Report Generator The Bluefleet report generator is a flexible tool to generate reports by the administrator of the system. The reports can have a company wide unique design with a standard header and footer. The page can be composed individually by using tables, text fields and headers. The content of the report is taken from a list of data fields supplied for each individual report. This list of data fields can be changed or extended by editing simple SQL scripts. Through this method, vessel wide or fleet wide reports can be generated. A preview function enables to look at the design and content of a report instantaneously. Standard Modules Planned Maintenance The basic Bluefleet system enables simplified task planning and management for single and multiple maintenance jobs including automatic scheduling for all equipment and machinery - including safety equipment, ship s certificates and internal inspections. A flexible and customer specific component tree displays all main and sub components without any level limitation. Job descriptions may be attached to each single job in any format. As an additional standard feature the system allows easily identify critical equipment for closer maintenance attention and to fulfil the requirements of continuous survey arrangements as well as to identify class equipment, ISM equipment and ISPS equipment. At the component level, the basic system provides an indication of the number of spares required and consumed along with the required cost and man-hours for each component of each job. Job descriptions, measurement forms and pictures may be attached to the maintenance jobs in order to have all necessary information on the jobs available. 3
The system incorporates powerful search and filter tools for components and maintenances by job, rank, and priority. User-customisable reports allow for a quick status overview on board the ships and ashore. Purchase Ship-side: The Bluefleet order management module allows the creation of requisitions for spare parts on board of a vessel. After the activation by an authorized person of the crew or by a shore-based employee, these requisitions are shown in the order management module and can be processed according to request. After the transfer of the request, the status of the requisition at the office can be checked on board of the vessel at any time. The overview shows if the requisition is already being handled by the office, where the order has been placed, who the supplier is, the costs, the date of supply etc. On the other hand, the crew can see from a special symbol whether the office has rejected an order. Office-side: The orders can be organized by an authorized person only for example by filtering. Those requisitions containing more than one item can be split up either manually or automatically into separate requisitions for each respective manufacturer of the requested items. Further details like cost department, cost account codes, invoices and delivery addresses may be assigned and possible suppliers may be set manually if this has not been done automatically. After the approval of the requisition it may now be converted to a request for quotation or a purchase order. Once a request for a quote has been sent out the corresponding offers may be entered either item by item or in total. Quoted prices may be entered in any currency and will be converted finally to the base currency of the system in order to allow a proper comparison. Stock Control This module includes detailed stock item descriptions, locations, max/min values, periodical and annual inventories for each department, average consumption s of stocks for each item, group, store and department, time/consumption statistics for each item incl. graphical display, automatic generation of part order lists for each department with priority lists, store management. Groups, components and parts of technical equipment can be entered and selected via explosion drawings or photographs (graphs, drawings and photographs as delivered by manufacturer). Unlimited user-definable graphical menus for each department can be created and linked to each other by hotspots. Bluefleet basic includes manual and automatic ordering functions, take over of parts used in carried out maintenance jobs and previous orders, management of partial and outstanding deliveries, management of outsourced maintenance. On customer request we will enable barcode printing of labels. In combination with the shore-based purchasing module it manages the complete handling of orders within the fleet with handling / splitting of inquiries and orders, automatic selection of addresses, password controlled approval management. Budgeting Bluefleet budgeting is an additional function to the purchase module. The budgeting module allows the purchaser to administrate the cost centres of the vessels. Each requisition can be linked to a cost center and the vessel crew, the inspection and the purchaser know at all times the amount of money spent and the remaining budget per cost center. 4
ISM Document Management System ISM document management has been developed to reduce the flood of documentation to a minimum and to automate and control the distribution of information on an electronic basis. ISM document management consist an office version and a ship version. The office version provides all editing functions for the development and correction of standard documents, procedures, drill plans, flowcharts, check and task lists, job descriptions and other associated documents for your ISM or ISO system. Documents that have been created in other word processing software packages (e.g. WinWord, Ami Pro, Excel etc.) can be either copied into the ISM document management system or directly linked to it. The office version allows the systems managers to produce automatic updates of the ship versions. In essence the company s designated persons have total control over the type of documentation and their version for use onboard. The ship version is based on the core company data stored and managed in the office version. Onboard users are able to access and views the information contained in their ISM document management module, but are unable to change this information. Thus guarantees absolute and automatic control of version management. Risk Management Due to the changes of the ISM-code the issue of risk identification onboard ships has become more and more demanding for shipping companies. It is evident that officers and crewmembers will have to be familiar with the elements of risk management and risk assessment. The Bluefleet risk assessment module enables to define an unlimited number of processes and assigned risks as well as resulting counter actions. A pre-defined matrix but also a customizable matrix system allows you to easily create your risk-scheme. Enhanced Modules Condition Based Maintenance The Bluefleet condition based maintenance is an additional module to the Bluefleet planned maintenance system. As a rule maintenance tasks are due by one or more different conditions, for instance running hours, fixed date or elapsed hours. Bluefleet can handle events from external systems like a condition based monitoring devices too. It does not matter if this is an external device which is generating this event or software implemented in the Bluefleet system. Dockyard Management The Bluefleet dockyard management assists people in charge of planning and executing the docking of vessels. The system allows generating a schedule of all necessary tasks to be done during the docking period, add the costs and make calculations. Finally a task planning of all tasks which have to be done during the docking period helps the inspectors to administrate schedules and to control the progress. Drill Management The performance of drills onboard vessels, as required by SOLAS, is an essential part of crew training and familiarization. The Bluefleeet drill management module supports by creating unlimited number of drill types and plans and provides with a comprehensive overview about drill scheduling / execution of drills. All drills and plans can be valid for a single vessel, a group of vessels or the entire fleet. Cloud Application Bluefleet usually is implemented on a client based server system at the client s facilities. As an option INTERSCHALT can host the system, too. The customer has access to the office software by a simple citrix solution. The complete administration of the system and the replication of the data between the fleet and the office are done by INTERSCHALT. 5
