Step One Determine who you are sending the Campaign emails to Campaign emails can be sent to Targets, Leads, Contacts, or Users of the system. Targets are people who don t qualify as Leads or Contacts. They must be imported into the system via the Campaigns module (generally a csv format): Step Two Create and Save a Report or Search Create and Save a Report or Search which lists/filters only the contacts you want to send the email to (this is strongly recommended when you are emailing more than a handful of people). For Leads and Contacts, you can perform a search in the list view and use the Target List Submission panel to mass add the selected Lead and Contact records to an existing Target List: If you are using a new target list for this campaign and will be adding leads/contacts via the Target List Submission, make sure you create the target list first. You can create a new target list from the Campaign Shortcuts. Your other option is to create and save a report. Click the Add to Target List button to add the resulting records to an existing target list [1], or to create a new Target list [2]: 1 Intelestream, Inc. 2009 www.intelestream.net Page 2
2 The Add to Target List option is only available for Row and Column Reports Step Three Create your Campaign Use the Create Campaign (Classic) button to create your campaign Fill out the required fields: Name: name your Campaign Status: Select the current status of the campaign this is the status that appears in the list view and does not determine whether or not the campaign is sent out. End Date: this date is for internal purposes and does not determine when the campaign is sent out. Type: Select Email for an email campaign Click Save. You will now see the related Campaign items below: Target List, Tracker URL, Email Marketing Step Four Create/Select your Target List A target list is the group of people you want to send the email to. Click the Create button to create a new target list or Select an existing one from Step Two. Intelestream, Inc. 2009 www.intelestream.net Page 3
If creating a new Target List, give it a Name that will help you identify it. You can additionally enter a brief description. There are 4 types of target lists: Default: people who will receive the campaign email Seed: people who will receive the campaign but not be tracked in the campaign statistics Test: test group to send to before the campaign is sent out Suppression List: people to exclude from the campaign o o o Suppress - By Id: List of people to exclude from the Campaign email by record ID. Suppress - By Email Address: People to exclude based on email address. Suppress - By Domain: If selected, a field will appear called "No emails to Domain". Enter the domain name you want to suppress. Ex: to suppress anyone with an email address of xxx@yahoo.com, enter yahoo in the domain field. It is a best practice to always have a Default and Test List. To add to your newly created target list, you can follow the instructions in Step Two, or click into the target list and manually add contacts by clicking the Select button: Step Five Create a Tracker URL Tracker URL: this is optional. If you want to insert a URL link into your email and track the recipient response (IE: track whether or not they click on the URL link) give the URL a name (Tracker Name) and enter the URL (Tracker URL). This link will be added in the email template. Make sure the Tracker Name only contains alphanumeric characters. An Opt-out link will automatically be added to the email template you create, so it is not necessary to create an opt-out tracker link. Step Six Create the Email Marketing Item Email Marketing: This section contains the information about the email you are sending out. Intelestream, Inc. 2009 www.intelestream.net Page 4
Name Status: Active Bounce Handling Account: select a bounce mailbox from the dropdown. From Name: The From name of the person or organization you want to appear on the email. From Email Address: The Email address you want the email to appear as coming from. Reply to Name: The reply to name on the email when a recipient replies to your email. Reply to Address: The reply to email address when a recipient replies to your email. Start Date and Time: determines when the emails are sent to the queue to begin going out. Send this Message to: select the Target Groups you want to receive this email. Make sure to also select the Test group so that you can send a test email first. Email Template: this is the email you want to send out. Click Create to create a new template or select an existing template. Campaign email templates will only support variables from the Contact/Lead/Target modules. Tracker URLs can only be added to a template from within the Email Marketing area. If you have a previously created email template, you can select it from the dropdown and click the Edit button to add the trackers. Step Seven Test and send your campaign email It is a best practice to click the Send Test button to send out a test email. Intelestream, Inc. 2009 www.intelestream.net Page 5
Only Target lists of type=test will appear when you click the Send Test button. If the Email comes through ok, then go back to the campaign and click the Send Emails button to send out your campaign to your default Target List. Step Eight Campaign Results Click the View Status button to view the campaign status and determine its success. Message Queue: A list of email still in queue Message Sent/Attempted: A list of emails sent/attempted Viewed Message: A list of the recipients who Viewed the campaign email Click-thru Link: A list of recipients who click on a Tracker URL link Leads Created: leads created by this campaign. If there is a Target record with the campaign field populated with this campaign, and it is converted into a Lead record, it will appear in the results. Contacts Created: contacts created by this campaign. If there is a Lead record with the campaign field populated with this campaign and is converted into a Contact, it will appear in the results. Bounced Messages, Invalid Email: Emails that bounce due to an invalid email. This will only be tracker if the administrator has scheduled a job to track bounced emails. Bounced Messages, Other: Emails that bounce due other reasons. This will only be tracker if the administrator has scheduled a job to track bounced emails. Opted Out: A list of recipients who opted out of the campaign email. Suppressed by Email Address or domain: Leads: If the campaign field of the lead is populated with this campaign, it will appear in the results. Opportunities: opportunities generated by this campaign. If the campaign field of the opportunity record is populated with this campaign, it will appear in the results. Click the View ROI button to display the campaign return on investment. This is based on the Closed/Won opportunities generated from the campaign. This chart displays the actual revenue (closed won opportunity amounts) versus the expected revenue generated from the campaign, as well as the actual cost of running the campaign versus the budget allocated for the campaign (from the fields populated in the main campaign setup screen).
