Introduction This document lays out the Scope of Work for a 4-page website or a one-page website with 4 segments. For a website within these parameters we are able to provide a firm fixed price of $1,100.00. This document describes the inclusions and exclusions for this fixed price. If your Design Specifications go beyond the parameters of a 4-page website, as described herein, then an extended Scope of Work is required. Most individuals, business or NGOs will only require a 4-page website (or a one-page website with 4 segments). For argument sake, a 5-page website with an extra static page will have a fixed price of $1,210.00. Cost-Effective You should find that a website is more effective than Yellow Pages and newspaper advertising. You should certainly find that a website is cheaper than Yellow Pages or newspaper advertising. Please do your own sums on your needs to support this claim. Responsive Responsiveness is something that you can see with your own eyes. For example, on your desktop go to a website that you like the look of, say your opposition s website, then go to it on different devices and browsers to see how it looks. The most rigorous test is to view the website in portraitorientation on your smart phone. A responsive website will look good on all devices and browsers. Our websites are responsive. Fresh, Up to Date, Relevant Whether it is a website, or Yellow Pages, or newspaper advertising, the worst thing is to get locked in to the pictures and content. The danger is that the pictures and content will go stale and out of date. Our standard package provides two solutions to this issue Maintenance will keep the static pictures and content up to date. Twelve months of Maintenance is included in the price of the standard package. From then on it is recommended that you take us up on a Maintenance Contract (see below). Through the secured backend application you have immediate access to uploading new pictures. Whilst you re logged-in you can also delete stale pictures. search engine optimisation (SEO) Training and manuals Fixed price The key points in the list above are in bold text. Each of these key points is covered in more detail below. Frontend This is what the customers see Page-One: Home Page (slideshow and static content 300-400 words) Page-Two: Information/About Page (static content 300-500 words) Page-Three: Gallery/Products Page (up to 36 items, six categories with six items or as required) Contact Page (email form or order form) Backend The backend is a secure application behind the website out of view of the public. The backend application will enable the website-owner to upload and deleted picture as required. The backend application will be accessed through your browser s address bar. You will have a Favourites Link in your browser to the Backend Home Page. You will have a username and password for access. Maintenance WebsitesByronBay includes 12 months of maintenance as part of the standard package. This means that the website developer will keep working on your website, as required. The works will include correcting errors, making minor changes or updates, fixing faults or bugs, attending to the Search Engine Optimisation (SEO) and general Webmaster attendance. Maintenance work is capped to 5 hours. The 5 hours will exclude any time spent on recovering the website from a crash; and will exclude time spent on implementing and installing the standard package. Your website will be kept up and running, looking good and enjoying good Google ranking. Domain Name Registration A domain name is the main part of your unique website address such as mywebsite.com.au. Your full web address would be http://mywebsite.com.au/. All domain names are registered and there is a fee involved for the initial registration for the first year. From then on, when renewal is due there is a renewal fee. Your domain name requires some thought because it plays an important role in branding your business and website. Most importantly the domain name is crucial for good search-engine ranking. Web Hosting The cost of the first year of hosting is covered in the price of the standard package. We will configure your web hosting site. During the process of setting up the hosting site we will also set up your personalised email accounts. Search Engine Optimization Search Engine Optimization begins with good well-structured content. In other words the content needs to be focused on the key words. The keywords will be the search terms that the potential customers will use to find your website. The focused content then needs to be structured in such a way for it to be recognised by the robots that index and rank your site. We will set up a Google Webmaster account for your website. This will include setting up the robots.txt file, the sitemap.xml file and will include submitting your website for Google indexing. General Webmaster attendance is required at least monthly. This means that the Webmaster would login to the Webmaster account to at least view the settings and check the reports once a month as on-going maintenance. Training and Manuals We will provide you with sufficient training and the manual so that you are able to confidently use your backend application. Fixed Price The price for the standard package within the parameters of a 4-page website is $1,100.00 (incl. GST). The WebsitesByronBay Brief Our brief is to supply a fully functioning website all included as described in this document, tailored to the client s particular business or organisation; with a clear purpose of driving inquiries to the business or organisation. The client is to supply a Design Specification document that covers all aspects of the website s design. The My Website Design Template 4p is available for free. It provides a comprehensive guide for all the aspects of the website design. Limits to Scope of Work WebsitesByronBay cannot provide legal, financial, or tax advice. We cannot be held responsible for any content (text or pictures) of the website that breaches the Copyright Acts, Trades Practices 8 February 2016 Page 5 of 8
Acts, Privacy Acts, or the various laws to do with discrimination. If the client has any doubts about the content of their website, then independent professional advice must be sought by the client. Any advice that we do give regarding any of these issues is not to be taken as professional advice. For example, we are aware of the issues to do with copyright, trade practices, privacy and discrimination, but we are not qualified to provide binding legal advice. Technologies Used Only the latest and current technologies are used to build our standard package and any other extension-applications or functions. These technologies are as follows Technology HTML5 CSS3 PHP MySQL jquery Function The latest Mark-up Language for structuring static webpage headings, text and pictures. The latest Cascading Style Sheets language for formatting the headings, text and pictures. PHP is a well-established server-side language for processing form data, accessing the database and for generating mark-up. This is the database management system for storing and accessing data essential for the dynamic content. jquery is a collection/library of procedures written in JavaScript. These procedures run on the user s desk-top to create effects such as the slideshow, a carousel or animations. Stages of the Project Stage Description Time Frame* 1. Scope of Work The website design is handed over and agreed upon by both parties and the scope of work is signed off by both parties (WBB and the client). A deposit of 20% is required before the work commences. 2 Design WBB takes on the website design. Day 1 Within 5 days the 4 webpages will be created. Client can review the design, content and pictures. Changes made as required. Day 5 3. Development By day 10 the completed website will be up and running on a desktop website simulator. Client can again review the content and pictures. The progress payment of 60% will be paid before the website is deployed to the internet. Day 10. 4. Installation Domain name registration. Web hosting set up. Install prototype on the web hosting server. Client feedback adjustments made. Website testing for HTML and CSS errors. Website set up in Webmaster tools. Submit sitemap to Google. Website handover, client pays balance 20%. Day 15. 5. Maintenance Client training for preparing pictures uploading and removing. As required Ongoing website management and maintenance 12 month from start. See below 6. Maintenance Once the first 12 months of maintenance is completed we recommend that you take up one of our 36 month maintenance contracts. WBB offers three types of ongoing maintenance contracts, basic, extended and casual. The basic contract is for the ongoing maintenance of the website. The extended contact includes the financial management of the website. Casual means no locked-in contract. Basic Maintenance Contract Basic maintenance includes updating and refreshing the static content on any of the website pages. It also includes correcting errors, making minor changes, fixing faults or bugs, attending to the Search Engine Optimisation (SEO) and general Webmaster attendance. Basic maintenance work is capped to 6 hours per year. This time will exclude Webmaster attendance and any time spent on recovering the website from a crash. Your website will be kept up and running, looking good and enjoying good Google ranking. Extended Maintenance Contract The extended maintenance contact takes on the financial management of the website in addition to basic maintenance. In other words, the hosting account and the domain name registration are each kept current and up to date. The bill will come directly to WebsitesByronBay. We will pay the bills before their due date. Casual Maintenance Contract The casual contract is for any work that is required as would otherwise be carried out under a Basic Maintenance Contract. As there is no obligation for the website owner to pay a fee other than the cost of the hourly rate, there is no obligation on behalf of the website developer to carry out work without billing for the hourly rate. The website developer may be engaged as required for a minimum of two hours at a time. The fee for the engagements will be the current casual hourly rate as it stands at the time. Maintenance Contract Prices All prices are based on a fee of $55.00 per hour (incl. GST). Payment Schedule The payment schedule for the standard package is as follows. Day 1: Deposit once the Scope of Work and design are signed off $220.00 Day 10: Progress payment on completion of the prototype demonstrated on desktop $660.00 Day 15: Handover website is installed on internet $220.00 Total $1,100.00 NB: These are the minimum number of days for due payments.
