25 PE Training and Event Management 25.1 PE-LSO SAP Learning Solution 25.1.1 SAP Learning Solution: Collaboration Room for SAP NetWeaver (Enhanced) As of SAP ECC 5.0, Human Resources Extension (EA-HR 500), the Collaboration Room for SAP NetWeaver is available. Collaboration means bringing learners (portal users or groups of users) and applications together to enable wide-ranging communication in the Web. In the Learning Portal of the SAP Learning Solution, the Collaboration Room enables you to set up virtual learning groups to enable speedy and effective information exchange between portal users. Collaboration rooms are flexible, virtual work environments for carrying out a variety of tasks. The training administrator can provide one or more collaboration rooms for each course. Learners that register for courses through the Learning Portal are automatically registered as members of the collaboration room. You can link a collaboration room with a course, for example, in order to group all who register for a course as participants of a virtual learning group. Learners have access to the functions of the collaboration room based on the role to which they are assigned. The SAP System supports the functions for booking participation, cancelling bookings, and following up course participation. Effects on System Administration You must use the SAP Enterprise Portal 6.0 with SAP NetWeaver. Effects on Customizing If you want to use the Collaboration Room in the Learning Portal, you as training administrator must make the necessary settings in Training Management of the SAP Learning Solution for the infotypes Collaboration Room (5045) and Collaboration Room Template (5046). To create these infotypes in Training Management, you must work through all of the Customizing settings for the Collaboration Room for SAP NetWeaver. These include the IMG Activities: - Configure Enterprise Portal - Set Up RFC Destination - Specify Communication Parameters - Edit Room Profiles - Edit Role Profiles - Edit Default Values - Define Categories for Room Search - BADI: Assignment of r ID to Learner SAP AG 1

See also - BADI: Assignment of Learner to r ID - BADI: Participation in Rooms You do this in Customizing for the SAP Learning Solution by choosing Training Management -> Integration -> Collaboration Room for SAP NetWeaver. For information about the infotypes required for the Collaboration Room for SAP NetWeaver see the SAP Library under Learning Solution -> Training Management in the SAP Learning Solution -> Infotypes in Training Management -> Collaboration Room (infotype 5045) and Collaboration Room Template (infotype 5046). For detailed information about the Collaboration Room, see the SAP Library under SAP NetWeaver -> People Integration -> Collaboration. 25.1.2 SAP Learning Solution: Connection to External Course Catalog (Enhanced As of SAP ECC 5.0, Human Resources Extension (EA-HR 500), a connection is available for integrating external course catalogs. The purpose of having an external course catalog connection from a third -party system to the SAP Learning Solution is to enable integration of external content (such as an external WBT). External course content is not imported into the SAP Learning Solution, it is made available in the system of the external training provider (external learning service provider). The external content is called and played by the external content player. The advantage of this is that it is not necessary to adjust the external content to suit the SAP environment. It makes no difference to the learner where the content is stored. The learner searches for suitable content in the Learning Portal, registers for a course and launches it. The following options are available for this process: - When a learner starts a course that is stored by SAP, the course is launched by the SAP Content Player and the content is retrieved from the SAP Content Repository. When the learner exits the SAP Content Player, SAP R/3 writes this information to the back-end system Training Management. - When a learner starts an externally stored course, the SAP R/3 System sends a request via HTTP/HTTPS to the external training provider and receives a URL in return. SAP R/3 calls the URL and the external content player is started so that it can play the course content. Communication between the SAP Learning Solution and the external training provider is handled by Simple Object Access Protocol (SOAP) technology. The SAP Learning Solution does not administer the external content player and does not write any information about it to the back-end system Training Management. SAP AG 2

Connecting an external course catalog involves the following steps: 1. Define an RFC destination for the external training provider's system 2. Define an external training provider 3. Specify a company with the data of the external training provider 4. Create a course type for the delivery method external course Effects on Customizing See also You make the required settings in the SAP R/3 System or in Customizing for the SAP Learning Solution. To access the external course catalog connection choose Training Management -> Course Preparation -> Training Provider -> External Training Provider. For more information about the connection, see the SAP Library under Learning Solution -> Training Management in the SAP Learning Solution -> Training Management -> Training Preparation -> Connection of External Training Catalog. 25.1.3 PE-LSO-AE Authoring Environment 25.1.3.1 SAP Learning Solution Content Player: Accessibility (New) As of SAP ECC 5.00, Human Resources Extension (EA-HR 500), the Content Player and the Test Player both fulfil accessibility requirements. When you launch the Content Player or the Test Player, you can choose whether you want to use the accessibility-compliant versions or not. See also For more information, see the SAP Library under SAP Learning Solution -> Authoring Environment -> Content Player. 25.1.3.2 SAP Learning Solution: Instructional Element Editor (Deleted) As of SAP ECC 5.00, Human Resources Extension (EA-HR 500), the Instructional Element Editor is no longer a component of the Authoring Environment. 25.1.3.3 SAP Learning Solution: Authoring Environment (Enhanced) As of SAP ECC 5.00, Human Resources Extension (EA-HR 500), the Structural Editor of the Authoring Environment contains the following enhancements: - Role Concept You can now make adjustments to the Structural Editor to suit your task area. You can choose between the roles Subject Matter Expert and Instructional Designer. Functions that you would not typically require in the role you select are automatically deactivated. Since the task areas of these two roles may vary, however, the role functions in the Authoring Environment are flexible: Whichever role you choose, you can activate individual functions or switch roles at any time. - Wizards The Structural Editor now has a number of wizards available that assist you in creating and designing instructional content by guiding you through complex functions. You can switch the various wizards on and off as required. You can navigate back and forth within the wizards and cancel editing at any time. A progress display function enables you to keep track of your progress at all times. Wizards are available for the functions listed below: - Initial Configuration of the Authoring Environment - Select Start Action in the Authoring Environment - Create Course Structure - Create Learning Net - Create Learning Object - Create Online Test - Edit Messages - Import Content to Learning Net/Learning Object - Import as Reusable Media Object - Create Learning Object Template - Create Element Template - Create System Associations - Hierarchical Display of Learning Nets and Learning Objects There are now two display options available for learning nets and learning objects in the learning net overview. With the hierarchical display option, learning nets and learning objects are displayed in a hierarchy one below the other in the learning net overview. You can switch off the hierarchical display option. The editor then switches to the old SAP AG 4

display format, in which learning nets and learning objects are presented in list format. - Strategy Preview The Structural Editor of the Authoring Environment now has a new screen area for strategy preview. The strategy preview presents a learning net from the point of view of the learning strategies available to the learner. When authors start the Content Player, they can switch between the available learning strategies and the Training Management strategy that was preset in Customizing. - Toolbar The screen areas Learning Net Overview, Work Area, and Strategy Preview each have their own toolbar now that contains functions specific to each area. - Personalization You can now choose from multiple options to personalize the appearance and color scheme of the Authoring Environment. Your changes do not take effect until the next time you log on to the Authoring Environment. - Configuration Up to now, you could only store one LOM file for metadata. It is nowpossible to edit metadata and assign it to an editor for this purpose. See also For more information about these enhancements, see the SAP Library under SAP Learning Solution -> Authoring Environment. 25.2 PE-DA Day-to-Day Activities 25.2.1 PE-DA-CP Correspondence 25.2.1.1 SAP Learning Solution: Correspondence (Enhanced) As of SAP ECC 5.0, Human Resources Extension (EA-HR 500), the following enhancements have been added for training-related correspondence in the SAP Learning Solution: - Correspondence functions are available for all delivery methods. - You can specify the output language. - You can send Internet e-mail and R/3 e-mail messages in PDF format. - You can specify the sender and reference line in e-mails. Effects on Customizing If you already use Training and Event Management or the SAP Learning Solution Release 100 or Release 200, you can take over most of the Customizing settings you made there. If you want to enable correspondence for all delivery methods, you must make the following configurations in the IMG activities: - Define Recipient Groups We have enhanced the interface for the function modules for recipient determination and replaced the existing function modules with new ones. If you use customer-specific function modules, you must adjust them accordingly so that the recipients can be correctly determined for all delivery methods. - Form Layout and Specify Output Sequence of Text Elements The forms delivered up to now were designed for classroom training and cannot be used for other delivery methods. Consequently, you must adjust some of your forms, in particular the forms for notifications about bookings and cancellations. You can use the form LSO_PARTIC as a template for this purpose. - Specify Layout of Text Variables You may have to adjust customer data collection routines. - Business Workflow (for automatic correspondence) If you assigned the value X to the WORKF ACTIV switch (switch: Workflow Active in Update Task) in Customizing, you must use the function module LSOEVENT_TRAINING_NOTIFICATION for event handling. The function module HR_EVENT_TRAINING_MANAGEMENT calls the Correspondence function oftraining and Event Management. If you use a customer function module, you must adjust it. You can find the required settings in the Implementation Guide (IMG) for the SAP Learning Solution by choosing Training Management -> Basic Settings -> Tools -> Business Workflow -> Activate Event Linkage. For detailed information about this, see SAP note 702326. You make the required settings in the Implementation Guide (IMG) for the SAP Learning Solution. Choose Training Management -> Day-To-Day Activities -> Correspondence. Effects on Existing Data You still create notifications using SAPscript forms. You can still use the standard variables of Training and Event Management in your forms. The system still logs correspondence in table T77VP (Log File: Correspondence in Training and Event Management ). Existing entries can be displayed using the Correspondence History function. SAP AG 6
