To Log In: 1. If you are a first-time user to Taleo, you will receive a user name and password from the Talent Acquisition Team member that posted your position. 2. If you ve used Taleo in the past, you can use the same user name and password. If you locked yourself out, please contact the Talent Acquisition Team member that posted your position to be unlocked. If you forgot your password, please use the Forgot My Password link. 3. Below is the information you will need to log in once resumes are ready: a. Log in to Taleo https://purdue.taleo.net (The URL can be accessed on a PC with Internet Explorer or a Mac with Safari - see charts at bottom of this training guide for additional combinations of browsers and platforms ) b. Taleo is hosted by an outside vendor and is not currently connected/synced up with Purdue career account changes. c. Once a first-time user picks a new password and login, you will need to 'unblock pop-ups' and 'always allow pop-ups from this site'. 4. Once you're logged in, to view your candidates, click on View Requisitions: 5. Find the position you re hiring for and click on the blue number to the left of the title: 6. Select a candidate, but clicking on their name, once you are in the candidate file, you can click on the attachments tab to view any attached resumes. 7. When you are finished viewing the candidate, you can move to the next candidate with the arrows at the top right: 1 P a g e
8. The up arrow takes you back to the main list of candidates: Other Tips/New Features: 1. Requisition quick search at the top right, you can search by the requisition search (paper icon). You can enter job # or exact words in title. Asterisks (*) don t always work. 2. New icon to allow you to go back to list of requisitions or candidates (or scroll through): 3. To compare candidates, go to a requisition (position), select the candidates (by checking in the box to the left of the candidate s name), select more actions, then select compare. This function compares information entered into fields, not resume attachments: 4. To add comment and a grade select candidate(s), then click more actions, then enter grade and comment: 2 P a g e
5. If you want to enter a comment without a grade, select the candidate, then click on the icon and enter work related comments only. Comments should not replace interview notes those should still be taken on your interview guide(s). 6. Sort the main list of candidates by grade click on column header to sort: 7. Reject Candidate(s) select candidate and click more actions, then change step/status (Note: do not use this function unless the candidate is definitely out of consideration. Also, you have to pick a reason/disposition more qualified is generally the best choice.): 3 P a g e
8. Send correspondence select the candidate, then click more actions. Please note: This email will not be able to be recalled. The email is sent directly to the candidate via Taleo: 9. Share (e-share) candidates via email select candidate(s) and click share icon, then enter email addresses of search committee members/approvers you want to share with. Please note: this email share will not be able to be recalled. This email is sent directly to the committee member/approver via Taleo. Also, we suggest that you alert the recipient that they will be getting the email because it could look like spam. It will be sent from Human Resources, not a specific person). E-shared resumes should be deleted at the close of the search. If you e-share more than one candidate, the recipient will receive separate emails for each candidate: 4 P a g e
10. Print candidate file(s) select candidate(s), click printer icon, then follow Taleo prompts you cannot print resume attachments this way, just the information entered into Taleo fields. 11. To print resume attachments, select the candidate, click attachments tab, select document and print in Word/PDF as normal.
