Calendar The GroupWise calendar allows you to do everything from scheduling appointments to marking all-day events to checking off tasks. Click the Calendar tab on the Navigation bar or click Calendar in the Folder List to access the GroupWise calendar. Click to change the number of days viewed. Use the arrows to change the dates viewed. Calendar day in bold is today s date. Double-click an appointment to view the details. GroupWise Web Access 2006 Page 1
Scheduling Group Appointments 1. Click the New drop-down arrow on the toolbar and select Appointment to create a new appointment. 2. Enter the names of the users you would like to attend or use the Address button to identify the attendees. Page 2 GroupWise Web Access 2006
3. Enter the location for the appointment and provide a start date. To enter the start date, click the calendar button. Select the start date by using the different drop-down arrows. Identify the length of the meeting. Enter the start time and if it s A.M. or P.M. 4. Enter the Subject and the message section of the appointment. 5. Once you have entered all of the vital information to create a group appointment, the last thing you need to do is see if everyone will be able to attend. To do that, click the Busy Search button. GroupWise will provide you with a list of Available times. You can click on any of those links and your date and time will automatically be updated. The duration of your meeting will remain the same. 6. Send the appointment by scrolling back up to the top of the screen and clicking Send. Everyone invited to the meeting will receive an appointment notification in their Mailbox. The icon to the left of the notification looks like a little clock. 7. Open the appointment and identify whether you are accepting or declining the appointment. The person who scheduled the appointment will receive an email that you have either accepted or declined the appointment. If you accept the appointment, the appointment is automatically removed from your Mailbox and your calendar will be updated. Click Accept. 8. The Accept window will appear where you can change how the appointment will appear on your calendar. You can also add comments. We want to keep the appointment as Busy so simply click Accept. 9. The appointment now appears in the calendar. Creating a Personal Appointment 1. To create a personal appointment, you can do that in two ways. Click the drop-down arrow to the right of New and select Posted Appointment. Complete the appointment window just like a group appointment. Page 6 GroupWise Web Access 2006
2. Or you can change your calendar to the 1 Day view for the day you want the appointment to take place. Click in the appointment column and boxes will appear. Type the Subject, Time and A.M. or P.M. 3. Press Enter to post the appointment. Note: Appointments made this way will always appear as Busy on your calendar. To change anything related to this appointment, simply click on the appointment and the Appointment window will appear.
