Human Resources Service Level Agreements This agreement covers the core Human Resources staff commitment to the COCC campuses in the following key areas. 1. General Department Operations 2. 1. General Department Operations OUR MISSION: In order to promote and support student success at Central Oregon Community College, Human Resources is dedicated to providing accurate and timely service and support to the College in all aspects of recruitment, employment, and employee relations. HR is committed to balancing compliance with state and federal employment laws with the needs and rights of all employees while ensuring a quality workforce in an inclusive and safe work environment. GENERAL CONTACT INFORMATION: Location: North Hall Telephone: 541-383-7216 Fax: 541-317-3066 Email: hr@cocc.edu Website: Human Resources OFFICE HOURS: During the academic year, Human Resources front office hours are: Monday-Friday: 8:00 a.m. 5:00 p.m. During the summer months, when the college is on a modified summer schedule, the Human Resources front office hours are: Monday Thursday: 8 a.m. 5:00 p.m. Friday: 8 a.m. 1:00 p.m. During these hours: The department will remain open; The office will be staffed; The telephone will be answered. In the event of a necessary closure, an estimated time of return will be posted on the door for visitors with information on when to return or an alternate contact. A notice will be posted to the campuses on Commlines regarding any planned, extended closure. To serve the branch campuses, Human Resources will maintain a physical presence and open office hours on the Redmond campus at regularly scheduled and announced intervals.

Serves as primary administrator of employee benefit programs. Rebecca Oprish 541-318-3714 roprish@cocc.edu Provide a broad range of human resource-related administrative support functions; this position has a primary focus on faculty recruitments, tenure and promotions procedure. Also acts as a resource person to college staff and the public relating to the wide variety of services provided by Human Resources. CAMPUS MEETINGS Human Resources senior management will meet regularly with key members of each employee bargaining unit as mutually agreed. Human Resources will provide support, representation and leadership on college committees as assigned. COMMUNICATIONS & CORRESPONDENCE All communications and correspondence from Human Resources will be professional, both in language and tone. Human Resources staff maintain confidentiality at all times, although confidentiality cannot be guaranteed in all situations due to certain mandatory reporting requirements. Telephone & E-Mail: The following standards will be maintained for all email and telephone communications: All inquiries made by e-mail or telephone will be acknowledged as soon as possible; however, staff will always strive to reply to each inquiry within two (2) working days. In the event that a solution will take longer than the allotted two (2) working days, an update on the progress will be provided. If an inquiry is forwarded to a third party for resolution, the sender will be informed as to who is handling the request. Human Resources will maintain strict confidentiality and use care when communicating confidential manners electronically. Scheduled or Walk-in Visits: If you wish to discuss an employment issue with a member of the staff, please contact the appropriate person to arrange a mutually convenient appointment. When making a request, please indicate if you wish your discussion to be in private so that the staff member can make the necessary arrangements for a private location. Unless mutually agreed, these meetings will only be held during open office hours. Correspondence coming into the Human Resources department Any hard copy correspondence received by Human Resources will be date stamped when received. Depending on the nature of the communication, an email, telephone or hard copy response will be given no later than 7-10 business days from the receipt of the hard copy, as appropriate. Correspondence leaving the Human Resources department: All correspondence will be signed and dated by the appropriate Human Resources staff member.

Confidential correspondence will be sealed and clearly marked Confidential. Employee Files Employee files will be maintained and updated with documents within 7-10 days of receiving a new document. Employees have the right to inspect his/her own personnel files and may contact Human Resources department to schedule a time.
