Creating Custom Report Types in Salesforce.com Qvidian Sales Playbooks & Analytics Quick Reference Guide Introduction When your team uses Qvidian Playbooks, you receive unique insights uncovering how people, processes, plays, and content impact the buying cycle. Correlating Playbook activity with pipeline and Salesforce data enables your team to optimize sales performance. Reports are generated in Salesforce using a combination of your Salesforce data fields and Qvidian Playbook, Play, Play Content, and user data fields. During our ETL process, we push information on an hourly basis from Qvidian Playbooks into Salesforce so you can use that data in your Salesforce Reports and Dashboards. As part of our managed Qvidian for Salesforce AppExchange package, we have 11 Custom Report Type components (see Qvidian Playbooks Reporting & Analytics User Guide for additional information). These Custom Report Types allow you to create Reports in Salesforce using your standard Opportunity, Account, and Lead fields in addition to the Qvidian Playbooks fields. If you would like to use your custom Opportunity, Account, and Lead fields to customize your Reports, you can create new Custom Report Types that contains your standard and custom Opportunity, Account, and Lead fields. There are 25 Standard Reports in the [Qvidian] Reports folder and three Standard Dashboards in the [Qvidian] Dashboards folder in Salesforce. Our 25 Standard Reports were created using our 11 Custom Report Types so they include only your standard Opportunity, Account, and Lead fields. After you create new Custom Report Types allowing you to use your custom Opportunity, Account, and Lead fields, you will also need to create new Reports using the new Custom Report Types. Whenever there is an update to the Qvidian for Salesforce AppExchange Package that includes changes to our Standard Reports and Dashboards, any Reports and Dashboards you have customized in the [Qvidian] Reports and [Qvidian] Dashboards folders will be overwritten. It is a best practice, therefore, to put your Customized Reports and Dashboards in existing Reports and Dashboards folders to which your Sales team has access. Many customers create Reports by geo/region, by business unit, etc. and have separate Dashboards for Sales management and Sales reps. Use instead of Custom Report Type(s) [Qvidian] Accounts with Playbooks [Qvidian] Accounts with Content [Qvidian] Leads with Playbooks [Qvidian] Leads with Content Create a New Custom Report Type In Salesforce.com, select Setup App Setup Create Report Types Note: If you see the What is a Custom Report Type? screen, click Continue Select New Custom Report Type to create your first new Custom Report Type. It is a best practice to create all six new Custom Report Types even if you are not yet using all three Playbook types (Opportunity, Account, Lead). As you continue to develop additional Playbooks, your new Custom Report Types will be available when you need them. 2
Select the Primary Object (Opportunities, Accounts or Leads) Enter the Custom Report Type Label, Custom Report Type Name (Custom Report Type Name will autopopulate), and Custom Report Type Description (from the table on pages 1 and 2 of this guide) Select the Store in Category location (Opportunities, Accounts, or Leads) Select the Deployed radio button and click Next 3
In the B box, select Qvidian Playbooks with the top radio button selected In the C box, select Qvidian Plays with the top radio button selected and then click Save Note: Select Qvidian Plays with the top radio button selected when you are creating these Custom Report Types: Opportunities w/custom fields, Playbooks & Plays Accounts w/custom fields, Playbooks & Plays Leads w/custom fields, Playbooks and Plays Select Qvidian Play Content with the top radio button selected when you are creating these Custom Report types: Opportunities w/custom fields, Playbooks & Play Content Accounts w/custom fields, Playbooks & Play Content Leads w/custom fields, Playbooks and Play Content When you click Save, you will see the following confirmation page. If there are any custom fields you do not want visible when customizing Reports in Salesforce, click Edit Layout to remove them. To see which custom (and standard) Opportunity, Account, and Lead fields are available for customizing Reports created with this Custom Report Type, click Preview Layout. 4
Continue creating your additional Custom Report Types. Create a New Report using the New Custom Report Type In Salesforce.com, go to the Reports tab and select New Report Select the new Custom Report Type you created (Opportunities w/custom fields, Playbooks & Plays) from the Opportunities folder (select more info if you do not see your new Custom Report type displayed). Click Create. 5
Customize your Report using custom and standard Opportunity, Account or Lead fields as well as your Qvidian data fields and Save your Report. You may wish to replicate the Reports in the [Qvidian] Reports folder using your new Custom Report Types so you can see sales performance with your custom fields. 6
