Fuel card We will be sending you one or more fuel cards that your employer has chosen. If you are not sure whether a fuel card is included in your employer s agreement with LeasePlan, it s best to check with your employer. The code for your fuel card will be sent to you separately a few days after you have received the fuel card. Remember never to keep your card in the same place as the code. It s a good idea to write down the card number or take a copy of your fuel card so that you can keep the details in a safe place known only to you. If you do lose your card, it makes things easier if you have the card number easily accessible so that your card can be blocked quickly. It s important to remember that your fuel card can only be used for your LeasePlan car. You use the card to pay for fuel and other common motor products that you need for the car, such as screen wash, oil, bulbs and wiper blades, as well as car washing and cleaning products. You can also use your fuel card for parking. If you lose your fuel card, contact the fuel company and ask them to block the card. Then contact us at LeasePlan and we will send you a new card immediately. This is then reported to your employer who uses the information to monitor your running costs. The purchases you make with your fuel card are also reported to your employer. We do this as part of the cost monitoring included in our customer commitment. If you will be taking your LeasePlan car abroad and want to use your fuel card outside Sweden, check with your employer first to make sure this is OK. Special rules usually apply to using your card abroad. 4
Reporting mileage If your employer s agreement with us includes mileage reporting, you need to register your mileage with us by the 5th of each month. Here you will need to enter your work-related and personal mileage for the previous month, in kilometres. We then pass this on to your employer to be used in calculating the taxable fuel benefit. If we do not receive a mileage report from you, or if the report is incomplete, we will unfortunately be forced to report the total mileage driven as private mileage, at the fuel cost spent, to your payroll office. This will mean a higher deduction from your pay. We are not able to correct reports which are received after the deadline. To report your mileage, you can either log into our customer portal LeasePlan Online and choose the mileage registration tab (kilometerrapportering), or use our LeasePlan app available from the App Store and Google Play. Winter tyres When you order a new LeasePlan car, you have the option of choosing the type of winter tyres you want. You can choose studded or friction tyres and for most car models winter tyres are delivered with LeasePlan s aluminium rims. If your car is delivered in the winter, we will order winter tyres for you and make sure they are fitted to your car on delivery. If the delivery of your car takes place in the summer, you will normally be contacted by one of our tyre suppliers with confirmation that winter tyres have been reserved for you at a particular garage. In some cases, winter tyres may be provided loose in the car on delivery. If this is the case, you can take them to be stored by one of our partners yourself. If, for some reason, no winter tyres have been provided for your car, please contact our Call Center immediately. Once your car has been delivered, check that the wheel nuts/ bolts and caps for winter and summer tyres are included. It is also important to take these with you to the tyre garage. When do I need to switch to winter tyres? According to the Swedish National Road Administration, the following applies: Winter tyres Cars, light trucks and buses with a maximum total weight of a maximum 3.5 tonnes and trailers towed by these vehicles must be fitted with winter tyres or equivalent equipment from 1 December to 31 March when there are wintry conditions on the road. Studded winter tyres It is permitted to drive with studded winter tyres during the period 1 October 15 April. At least 3 mm tread depth A tread depth of at least 3 mm is required on tyres used in wintry road conditions during the period 1 December 31 March. This requirement applies to tyres for cars, light trucks and buses with a total weight of a maximum 3.5 tonnes and trailers towed by these cars. If you need to change a tyre or need help with balancing tyres or any type of repair, please contact our Call Center or one of our partners. When it is time to switch your tyres, you can book an appointment with the tyre garage storing your summer/winter tyres or contact our Call Center to book an appointment. Service and maintenance As the driver, you are responsible for ensuring that your Lease- Plan car undergoes service and maintenance as set out in the car s service book. When a service is due, you should contact our Call Center to book an appointment with a garage. When you collect your car, it is important that you check that the garage has stamped and signed the service book. If you encounter a technical problem with the car, you should contact our Call Center for information and advice. This also applies in the event of damage or in the event of an accident. If you need to find a garage when you are abroad, please contact LeasePlan in Sweden for information. The phone number is +46 8 470 26 10. Hire car during service/maintenance If you need a hire car while your car is being serviced, following damage or while awaiting delivery of a new LeasePlan car, contact our Call Center who will help you to book one. Congestion charge Stockholm If you drive into or out of inner city Stockholm on Monday Friday between 6.30 a.m. and 6.29 p.m., your car will be charged the congestion charge. We administer the payment of the congestion charge and report this to your employer. Gothenburg A congestion charge is charged on cars that drive into or out of the centre of Gothenburg Monday Friday between 6 a.m. and 6.29 p.m. We administer the payment of the congestion charge and report this to your employer. Cash payments You should use your fuel card to pay for all the normal costs of your LeasePlan car. If you are not sure whether a fuel card is included in your employer s agreement with LeasePlan, it s best to check with your employer. Cash payments may only be made in exceptional circumstances and only if, for some reason, you are unable to use your fuel card. If you have to make payments in cash, the amount can be reimbursed if you fill in the cash payment form on our website and send it in to us with your original receipt. Don t forget to state the number of litres and the mileage if the payment was for fuel. The total minimum amount payable is SEK 200 on each individual occasion. Parking fines As the driver, it is your own responsibility to park your LeasePlan car in accordance with the parking rules in force. If you receive a parking fine, you must pay it immediately, even if you think it is wrong and intend to appeal. If you wish to appeal against a parking fine, you need authorisation from the owner of the car, i.e. from us. To request authorisation from us, send an enquiry by e-mail to fakturor@leaseplan.se including the following details: Your name Address Registration number Parking fine reference number It is important that you pay the parking fine even if you have appealed or intend to appeal against the fine as these cases can take a long time to resolve. If your appeal results in the parking fine being waived, the parking fine will be reimbursed. 8
Car safety inspection As a driver you are responsible for making sure that your Lease- Plan car is put in for its safety inspection (bilbesiktning) when this is due. However, we will send you information about the safety inspection in good time before the due date, accompanied by an inspection voucher. Hand this voucher to the business you have chosen to carry out the safety inspection. You book your inspection appointment yourself but, if you wish, you can also contact our Call Center and they will book an appointment for you. If you do not have the car inspected by the due date, the car will be banned from being driven and your employer will be informed of this. In the event of an accident, you should always report the damage to our Call Center on + 46 8-470 26 10. The form is available on our website. Information on what to do in various situations is provided below. Windscreen damage Contact our Call Center and they will help you by telling you where to take the car and what is covered by your insurance. Theft If your LeasePlan car is stolen, you must always contact the police on 114 14 to report the theft. Then you should immediately contact our Call Center. Break-in/damage/parking damage If any of the above occur, you must always contact the police on 114 14 to make a police report. Then contact our Call Center for help making an appointment with a garage and contacting the insurance company. So that you spend as little time as possible without your car, keep in touch with the garage for information about when your car is ready to be collected. Collisions with another vehicle If you are involved in a collision in your LeasePlan car, use your claim form. Fill in the front page of the claim form with the other party to the collision and sign the form. It is important to get all the details but avoid discussing the question of responsibility on the spot; leave that to us and the insurance company. Do not 9
make an amicable agreement with other parties involved. In the event of personal injury, you must call the police. Once you have filled in the first page of the claim form, each party should take their copy of the form. Then fill in the back page in peace and quiet at home and send the form to us as soon as possible. Collisions with animals Collisions with large game animals should always be reported to the police. If you have run over a pet or a reindeer, you should report this to the owner or the police. Mechanical breakdown insurance Mechanical breakdown includes damage/faults that have occurred in the engine, manifold, turbo, climate control, ignition, generator, fuel system, transmission, steering gear, brake servo, control and regulation system for ABS brakes, air bags including control system, etc. Contact us to find out what applies to your car and your insurance. Roadside assistance guarantee If your car breaks down, it may be covered by a roadside assistance guarantee as part of its new vehicle guarantee. The situations in which the assistance guarantees apply and what they provide compensation for differ depending on the make of car but you can usually get help for punctures or technical faults with your vehicle. For some makes of car, the assistance guarantee also covers you for running out of fuel, road accidents, flat batteries, lost keys or the wrong fuel. In most cases it includes: Free recovery Free help at the roadside to enable you to continue your journey Free hire car (for a limited period) Free hotel accommodation If you suffer any of the above, you should contact the assistance service for your make of car. The number is usually shown in your car documents. Below we have also listed the phone numbers for the assistance guarantees of the most common types of car. Because different makes of car have different terms and conditions, our advice is to first contact the assistance guarantee because that gives you help free of charge if your breakdown is covered by the terms of the guarantee. If your type of breakdown is not covered by your make of car s assistance guarantee, you are welcome to contact our Call Center for help. Taxation of benefits A taxable benefit arises if you drive a car that you are able to use due to your employment or conditions of work for private use. If, however, you only use the car for private use to an insignificant extent, no taxable benefit is incurred. According to the Swedish Tax Agency, insignificant extent means that the car is used a maximum of 10 times a year with a total distance driven of a maximum of 1,000 km. Both these conditions must be satisfied to qualify as tax exempt. Note that journeys to and from work are normally counted as private driving. To avoid a taxable benefit, you must be able to show that the car has only been used for private use to an insignificant extent. This is usually done by means of a carefully kept driving log, but all the circumstances are taken into account in the assessment, such as whether or not you own a private car. If you have any questions about taxation of benefits, we recommend contacting the Swedish Tax Agency or visiting their website at www.skatteverket.se. The value of the benefit must be equivalent to the saving an average recipient of the benefit makes from the car benefit compared with owning the car him or herself. More information about cars as a taxable benefit is available on the Swedish Tax Agency s website, where you can also calculate the value of the benefit. Your call will then be passed on to LeasePlan Road Assistance. If your car benefit includes a benefit in the form of free or partly free fuel for the car, this benefit is taxable. The benefit is calculated at the market value multiplied by 1.2 times the amount of fuel that can be assumed to have been consumed for the total private distance driven and during the period your car benefit was taxable. 11
