Bingo The Hallie Eagles Club donates the proceeds from Wednesday Bingo sessions to the Chippewa Youth Hockey Association. The Bingo sessions are the first and third Wednesdays of the month. It is the responsibility of the Chippewa Youth Hockey Association to operate the Bingo session on these Wednesdays. The funds received will be used for tournament fees for teams and to support the Summer Development Program. Funds will be disbursed to the general account of the Chippewa Youth Hockey Association. Chippewa Youth Hockey Association will maintain a State of Wisconsin Bingo License, and a State of Wisconsin Seller s Permit. For purposes of the Bingo License, an Authorized Agent, Supervising Members, and a Member Designated Responsible for Proper Utilization of Gross Receipts will be appointed. At least one Supervising Member must be present at each Bingo. Chippewa Youth Hockey Association will maintain a separate bank account designated Chippewa Youth Hockey Association Bingo Account for the funds received from Bingo. Before Bingo: Order bingo cards and daubers. Set up bingo supplies to bring to bingo. Contact caller. Wendy Cohoon 715-828-5844 weeareheere@yahoo.com Organize workers for Bingo session. Need 1 Supervising Member and 6-8 additional workers. Workers should report no later than 6:00. The duties of the workers are: A. Sell bingo card packets (2 workers at the beginning of the night, 1 worker for the entire session) B. Concession (4 at the beginning of the night until Bingo starts, 2 for the entire session includes one person to operate till) C. Floor workers (4 while Bingo is in session. These people can be the same workers who sold bingo card packets, or worked in the concession stand at the beginning of the night. Floor workers identify Bingo winners and call back numbers to confirm winners. They will also sell specials during the Bingo session. Withdraw funds for change to be used for Bingo Night. These funds will be withdrawn from the savings account. Start the night with $530.00: Start Up Change Concession Bingo Progressive quarters = $10 $20 ones = $20 $100 $75 fives = $20 $100 $85 tens = $50 $50 Totals $50 $270 $210 Food needed for Concession Stand: Minimum of 6 pans of bars Stock supplies such as cups, coffee, creamer, sweetner, bags, tape, napkins, utensils, etc. Pick up soda & water. Provide coolers. Make copies of bingo sheets of the games to be played.
Bingo Setup: If not already done, setup tables and chairs. Display Bingo License, Seller s Permit, Game Prizes and Bingo Card Prices. Get money trays, aprons, and microphone ready. Setup tills for selling bingo card packets, and progressive jackpot sheets. Tills must remain separate when selling. Get bar towels from the bar for cleaning at the end of the night. Start selling concessions as soon as it is ready. Start selling bingo card packets, and specials at 6:30 PM. Bingo starts at 7:30 PM. Give floor workers aprons with pencils and papers for winning names. Tape bags for trash to each table. During Bingo: 18 games total including the progressive jackpot. 4 sets of special games. Payouts are based on the number of bingo players - Under 60 players Total of $650.00 61 124 players Total of $825.00 Over 124 players Total of $1000.00 If multiple winners, divide prize money evenly, rounding up to the nearest quarter. If amounts are less then $15.00 make check out to Bingo Game #, and give each winner cash. For amounts of $15.00 and greater write checks to each winner. Write name of each winner on each check stub. Last game of evening is the progressive jack pot. End of night: Collect cards, pickup garbage, wipe down tables. Push chairs under the tables. Make check for $50.00 to Hallie Eagles Club for rent, Take the check to the bar and get a receipt. Take down Bingo License, Seller s Permit, Game Prizes and Bingo Card Prices. Pay caller $40.00 cash from Concession money. Take out $50.00 in change for startup cash for next bingo. Take $270.00 start-up money out and place in Bingo bag. Take $210.00 start-up money out and place in Progressive bag. Deposit profits (after balancing Bingo worksheet) into checking account. Maintain minimum balance.
Concession Information: Health regulations require that the people handling food, do not handle money. One person will be responsible for operating the till and handling the money for the concession. Concession till will start with $50. To get change for concession till, BUY it from the card tills, don t mix up the two tills! Concession profits are deposited to the Chippewa Youth Hockey Association general account, not to the Bingo Account. Change for concession till: 1 roll of quarters, 20 ones, four fives. Coffee: 1½ cups of coffee per pot, Make only 1 pot at the beginning of the evening and one as needed thereafter so it doesn t get old. Make list of supplies needed and give to the Authorized Agent before the next Bingo. Supplies needed are: Sugar, creamer, coffee, napkins, paper plates, and garbage bags. Finance: Quarters for Wisconsin Sales Tax are Aug-Oct/Nov-Jan/Feb-April/May-July Bi-yearly for Bingo Tax are Aug-Jan/Feb-July
BINGO WORKERS DUTIES Bingo Packet Sellers -2 at the beginning of the night, 1 for the entire session Sell bingo card packets and daubers Floor Workers Minimum of 4 Responsibilities (in order of priority): At the beginning of the evening, tape trash bags to each table. Position yourselves around the bingo hall and listen/watch for people calling bingo. Floor workers will respond to the bingo and confirm the winning numbers by reading them back to the bingo caller. When reading back, only give the number, not the letter and read all of the numbers under the B column first, followed by the I column and so on. You do not need to call the Free Space back. Floor worker will give the winner a slip to put their name on. Once they have the name, the worker will give the slip to the check writer and get the check to return to the winner. Floor workers will sell the individual sheets before each of the Special games (four times each session). This occurs after Games 2, 7, 10 & 15. The cost of the sheets is 50 cents each and the sheets can be picked up from the check writer. Special sheets can be sold at any time. At the beginning of the night workers will get change from the check writer, and return the money after the last selling session before game 16. Unsold sheets need to be returned to the check writer to be counted. Concession Workers Minimum of 2 Responsibilities (in order of priority): Operate the concession area during bingo. Prepare and sell food items that are brought in. Clean concession area prior to the last game, and prepare the clean up supplies for wiping down tables at the conclusion of bingo. All Workers At the end of the night, all workers will clear off tables, wipe tables off with water and push the chairs under the tables.
