6 Event Planning Tips Consider finger foods when planning a menu to reduce use of utensils and plates. Aim for zero to minimal packaging buy or order in bulk. Use water jugs and compostable or recyclable cups instead of individual water bottles. Encourage people to bring their own reusable water bottle or mug. Choose durable (reusable) products, if possible, to reduce waste. If durables are not an option and you need utensils, cups, etc. choose compostable utensils. Available locally. Have a plan for leftovers or extras. Consider donating to food bank, giving to volunteers, etc. if possible. Locate Food Plus! and Recycle containers so they are easily accessible. Remove garbage bins or make them less convenient to use by placing them away from FoodPlus! and/or recycling containers. During event announcements and/or during your event, remind participants about composting, recycling and waste reduction options. Arrange for volunteer or paid monitors to staff sort stations. This is helpful in achieving proper sorting. Consider scouts, church groups and past event volunteers. Train them on what can/cannot be recycled/composted and offer some coaching on assertiveness being polite, but firm. If you will have food vendors or be using a caterer, inquire about waste reduction options such as china service or using only recyclable or compostable items at event. A sample caterer inquiry letter is below. SAMPLE: Caterer Inquiry Letter TIP Consider serving finger foods to reduce waste. Dear (Insert caterer name): In an effort to reduce waste at (insert event name), (insert your organization s name) is seeking information regarding waste reduction options. We are specifically interested in the questions below: 1. Do you offer reusable china and cutlery service for both food and beverages? Are catered food and beverages served using reusable service ware? What, if any, is the additional cost? 2. If reusable service ware is not available, do you offer compostable cutlery? 3. Do you offer linen service? What is the cost? 4. Are condiments (butter, jelly, sugar, creamers, ketchup, mustard, mayonnaise, etc.) served in reusable bulk serving containers or individual packets? 5. Would you be willing to sort prep waste that can be recycled or composted at this event? [insert your organization s name] supports events providing recycling and composting service at all appropriate events. We would be grateful if you would take a moment to respond to the questions so that we may be better educated on the options your catering service offers. Thank you for your time.
