CREATE REPORTS IN TASKSTREAM In order to create reports in TaskStream you have to be assigned permission by the TaskStream Coordinator. If you are unsure, contact Daryl Six at daryl.six@eku.edu. 1. PERFORMANCE BY RUBRIC CRITERIA Creating and using a custom assessment category Return to Title Page

1. Log into TaskStream and your window should look similar to this. To begin the report process, click on the TS Coordinator button.

2. Click on DRF Program Reports.

3. If there are reports that you do often, the Performance by Rubric Criteria (Custom Report) can be useful. You can create basically a template to be used as many times as you like and only have to put in the filtering data, such as dates. Click on the Performance by Rubric Criteria (Custom Report) link.

4. As you can see I ve created a few programs already. We are going to create a new report format for the Unit Work Sample evaluated in most programs from Gate 3. Click on the yellow Create a New Report Format.

5. Enter a title for the report format, here I used Unit Work Sample. All the evaluation portfolio templates are listed below the title. Select the portfolios appropriate for you report and when finished click on the yellow Create New Format button.

6. Now you have to add Rubric Criteria, so click on the yellow Add Rubric Criteria Group.

7. Enter a name for the group and click Apply Changes.

8. Now we need to add rubric criteria to the group. Click on the Add/Edit Rubric Criteria Group.

9. Use the Dropdown arrow to select a program. You can see there are multiple programs, so you will have to repeat this and the following step for each program from which you want data.

10. Select the rubric(s) you want data from and then scroll back to the top of the page and select the next program. Go to the next page to see the result.

11. Once you select the next program, the highlighted box will appear. Click OK.

12. Click Apply Changes.

13. You will be directed to this screen where you can click Generate Report to get reports. We ll come back to that. For now click on the TS Coordinator button so you see how to get a report from the beginning as if you had just logged in.

15. Click on DRF Program Reports.

16. Click on the Performance by Rubric Criteria (Custom Report) link.

17. Locate the appropriate report format, in this case the Unit Work Sample and click on it.

18. Click on Generate Report.

19. Select whom to run the report on; here I selected All Authors. Then in the Filter by date section select the time frame for your report. I selected the second option with dates covering the 2010 Fall semester. Click on Continue

20. Select the programs for which you want results, usually all of them. Make sure the Show Inactive Programs box is unchecked before you begin making your selections. Once that is done, click Continue at the bottom of the page.

21. Note the orange arrows are pointing to the Filter By selection and Unit Work Sample link. These are the primary for the use of this report.

22. For this example I chose the Art Evaluation Portfolio and clicked Go. Note the results under Authors Evaluated: 0 of 20. As there weren t any students evaluated, there is no need to compile a report. The next example will have evaluations.

23. For this example I chose the Elementary Evaluation Portfolio and clicked Go. Note the results under Authors Evaluated: 61 of 402. 402 only represents how many Authors are enroll in this program. There are evaluations completed so we can now obtain a report by clicking on the Unit Work Sample link.

24. This is the result for the Elementary Evaluation Portfolio. The entire results do not fit on the screen and can t be manipulated. So, there is the option of exporting the results to an Excel spreadsheet. To do so, click on the Export to Excel link.

25. The Export Data dialog box will popup, click Continue.

26. Open the file; click OK.

29. Here is the generated spreadsheet. Note that it defaults to a generic name and is Read-Only. You will want to change that by selecting File Save As. Name it as you see fit and save it in a folder you will remember later. Save all of your spreadsheets in the same folder with descriptive names: Such as Elem_UnitWork_Fall10.

30. Once you finish with your spreadsheet return to TaskStream and select another program under the Filter By dropdown. Here English was selected and the Update Filter clicked with the results showing. Follow the directions on the previous pages to export to Excel. Continue with this cycle until you have checked all programs available in the Filter By area.

PERFORMANCE BY DRF CATEGORY This is for pulling single program reports and useful for occasional reports. For a large group of programs, the Performance by Rubric Criteria Custom Report is a better fit. Return to Title Page

1. Log into TaskStream and your window should look similar to this. To begin the report process, click on the TS Coordinator button.

2. Click on DRF Program Reports.

3. Click on Performance by DRF Category.

4. Select a program on which to run the report, here it is Elementary. Next on whom to run the report, usually it will be the first selection. Last, filter by date. Here, Fall 2010 semester was chosen. Click Continue.

5. Check the box next to the program and click Continue.

6. This is an overview of the program and work that has been evaluated during the period of time specified in the filter by date area. Requirements that are underlined are links to the results of that area. If there isn t a link, then nothing has been completed. For our purpose here, Current Portfolio 1 will be selected.

7. The results are now showing and can be exported to Excel. See slides (pages) 26-31 for directions. To obtain reports for additional programs, return to the Reports page and start again.

MULTI-PROGRAM STATUS REPORT Useful for observing the progress of individual students. Return to Title Page

1. Log into TaskStream and your window should look similar to this. To begin the report process, click on the TS Coordinator button.

2. Click on DRF Program Reports.

3. Click on Multi-Program Status Report.

4. You can either enter one persons name in the first box or click on the Add Individuals button next to the second box and add students from the TaskStream address book. This might be useful for small classes or groups of people as you can name the group and use the group in the future. Once you have made your choice click Continue adjacent to your input.

5. Click on the name.

6. Select the appropriate program; here it is Elementary. Click Continue

7. This renders an overall status, but isn t all that useful. Click on the program.

7. You can now see the status of the student s evaluation portfolio. Should you choose to, you can export the results to Excel or begin a new search.
