SECTION 1: OVERVIEW OF THE SAP WORK MANAGER 6.0 General Information SAP Work Manager is a comprehensive mobile solution for the automation of asset management and field service processes. Regardless of connectivity, Work Manager allows remote employees to access complete and manage their assigned work orders and service requests via mobile devices. With SAP Work Manager, they have SAP ERP data readily available including operations, task lists, short and long text, repair histories, and material availability. Armed with more information, employees work smarter, have more work time, improve their first-time fix rates and extend asset lives by conducting more preventative maintenance.. The mobile app accesses the SAP Enterprise Asset Management (SAP EAM) application and empowers your workforce with everything needed to efficiently install, inspect, maintain and repair assets in the field from mobile devices. SECTION 3: USE CASES FOR THE SAP WORK MANAGER SOLUTION* * Default delivery implies that the work orders are using the header level type of assignment. For other types of assignment, that would require customization, the use cases flow may look different. 6

SECTION 4: WORK ORDER PROCESSING Mobile App Feature Description of the default Mobile configuration Version SAP Backend Reference Transaction Mobilized Subset of SAP Backend Reference Transaction Initial transmit (Synchronization) has taken place and data has been downloaded on the mobile device. Every transmit afterwards will download only new/changed data on the device. By default, the Work Manager application determines the assignment of a work order using the work order header personnel number. Several other assignment types are supported The app requires that a single assignment field assignment is used. Work Orders can be assigned to a technician at the assignment field level or operation level. Work orders can also be distributed to the mobile device based on a specific order type and this can be customized in the Configuration Panel in the backend. There are different types of work order assignment possible: -work order header level person responsible (default) -work order operation level personnel number -work order sub-operation level personnel number -work center capacity requirement personnel number -header level planner group -work order operations/task level work center -header level business partner -header level work center - MRS Integration ( Assignment type "A" same as assignment type "4") - Free Search ( user defined filters) WORK ORDER DOWNLOAD Push Work Order On Demand Attachment /Picture DOWNLOAD The mobile device user, connected to the application, gets to see this work order pushed to the device, without explicitly transmitting, when an emergency work order has been created in the backend. 6.0 IW31 Push is supported only if the assignment types are at the work order header personnel number (default mobile configuration), at the operation level personnel number or sub-operation level personnel number Download Attachments /Documents If the work order has any attachments, only limited information regarding the attachments is fetched during an initial sync. The attached content is downloaded to the device via push process only at user request. Note: BDS is only supported for header level work orders and notifications. 6.0 IW31 The attached content is downloaded to the device via push process only at user request. BDS (Business Document Service) / GOS (Generic Object Services) and DMS (Document Management System) document services are supported from the back end system 9

VIEW WORK ORDER Display Work Order List The field technician receives the work orders assigned to his user and can display them on his device. 6.0 IW 33 Irrespective of the assignment type Displayed fields on the mobile device: -description -status -work order number -priority and -date field Display Work Order Detail Display Work Order Operation Each work order will display the detailed information. The operations associated with each order can be displayed as well once the user selects that particular order. 6.0 IW33 Irrespective of the assignment type Displayed fields: -description -planning plant -business area -work center -working center plant -work order type -activity type -functional location and equipment 6.0 IW33 If the work order assignment is done at the operation level, then the technician will only receive the work orders that have been assigned to him after transmitting. Displayed fields on the mobile device: -list of operations (description, "done" checkbox, operation number, work center, start date and time, finish date and time) -operation details (description, work center, work center plant, control key and sort key) -operation notes -operation status 10

Display Object List Display Notification related to Orders Display Equipment and Functional Location Display Order History The objects associated with each order can be displayed as well once the user selects that particular order. The notification associated with the selected order can be displayed on the device. The list of notifications can also be accessed directly on the mobile device. In the work order details, the associated functional location will be displayed and subsequently the equipment. Displays the historical work orders as well as any pending work orders related to the selected work order. It displays first the history work orders, followed by the pending ones. 6.0 IW33 The object list will display information such as: -material -serial -equipment -object -notification -functional location -short text and -material description 6.0 IW23 When a notification is accessed from its work order, it will be ready only. Displayed fields: -notification number -type -functional location -equipment and 6.0 IE03 and IL03 -plan site By default, Work Manager application filters these records using a user-dependent rule based on a user s planning plant 6.0 IW33 Displayed fields for the history of the work orders: -Work order number -responsible -description -note -start date -end date and -type Displayed fields for the pending the work orders: -Work order number -responsible -description -note -start date -end date and -type 11

Display Component List of the Work order The components used in the processing of a work order can be viewed when selecting a work order. 6.0 IW33 Displayed fields in the component list: -component number -description -item -stock type -UOM -operation -plant and -storage location View Equipment related to Orders View Classification and Characteristics View Measuring Points From the work order details, the field technician can access the associated equipment information and view the details. From the equipment details section associated with a work order, the user can see the classification, characteristics and values for the selected equipment. From the equipment details section associated with a work order, the user can see the measuring points for the selected equipment. 6.0 IW33 The details of the equipment are derived out of work order details at the header level. Displayed fields: -description -status -category -work center -type -manufacturer -plant -location -room -section -model number -part number -serial number and -inventory number 6.0 IW33/IW23/I E03/MM03 Displayed fields on the mobile device: -classifications, characteristics and values 6.0 IK03 Displayed fields: -point, characteristic, last reading, UOM, and date 12

View Linked Documents View FunLoc related to Orders View Classification and Characteristics View Measuring Points When viewing the equipment information associated with a work order, the user can also view a list of linked documents. From the work order details, the field technician can access the associated functional location information. From the equipment details section associated with a work order, the user can see more information. From the functional location details section associated with a work order, the user can see the measuring points for the selected equipment. 6.0 IW33 No documents are downloaded to the mobile device, only the link to the associated documents is displayed. View Linked Documents WORK MANAGER 6.0 WITH LAM / INSPECTION ROUNDS Display LAM Data Display PRT Details When viewing the functional location information associated with a work order, the user can also view a list of linked documents. From the mobile device, you can view linear data for the following: - Order Headers -Operations -Equipment Details - Equipment Characteristics -Functional Locations -Functional Location -Characteristics -Measurement Readings Displays PRT s assigned to Operations. 6.0 IW33 No documents are downloaded to the mobile device, only the link to the associated documents is displayed. Displayed fields on the mobile device in a table format are: -type -document ID -storage category -status -part -version and -format 6.0 IW33 If Work Manager with LAM/Inspection Rounds BC set is activated and technical objects are LAM managed :- Displayed fields on the mobile device are: -Point Location ( Start, End, Length) -Marker ( Start, End, Distance from start and Distance from end) -Offset1 (Type, Offset) -Offset2 (Type, Offset) 6.0 IW33 The PRT Feature of the Work Manager application allows you to: View resources and tools assigned to the operation. Display Inspection Rounds Orders All orders of type INSP or all orders which have PRT assigned to the equipment, and functional locations at an operation level, are classified as Inspection Round orders on the mobile device. 6.0 IW33 The Inspection Rounds feature of the Work Manager application allows you to accomplish the following: * View inspection rounds from the work order * View resources and tools for the rounds 14

* Confirm inspection rounds * Record readings and create measurement documents for all points across the work order * Create notifications during inspection rounds * Confirm unplanned operations during inspection rounds Displayed fields on the mobile device : - Tools ( Type, Tool, Quantity, Plant, item, and text) - Inspection Types (Type, Total) - Measuring Points ( Point, UOM, Description, Characteristics, Short Text) - Attachments ( Type, Tool, Quantity, Plant, Item, text) - Previous readings (Reading, Date, Valuation Code, Time, Linear ( link to linear data) - Limits ( Upper, Lower). 15

CREATE WORK ORDER Create Work Order WORK ORDER PROCESSING Edit Work Order Create Operation A field technician can add a work order for the plant that he is assigned to and has to select the priority, functional location and equipment. An operation and component can be added. The field technician can start a work order and therefore change the status or edit a work order, transfer or set it on "hold". An operation can be added to a new or existing work order. Description field is mandatory. Newly added operations can be further edited, transferred to another user, deleted, started, set on hold, mark as completed or view notification details of the operation. Notes can be added to the operations. 6.0 IW31 Mandatory fields in the default configuration are Business Area and the Main Work Center. The Work Center Plant field is pre-filled based on the assignment of the field technician to a particular work plant. Fields on the mobile device to be edited are: -planning plant -description -type -business area -work center plant -main work center -priority -functional location -equipment and -note 6.0 IW32 Fields on the mobile device to be edited are: -description -business area, -work center plant -main work center -priority and -note 6.0 IW31 Locally created operations are readonly and cannot be confirmed. Fields on the mobile device to be edited are: -description -control key -work center plant -work center and -notes. Other fields such as operation number or sub-operation are prefilled 16

Add Component Time recording or Create Work Order Confirmation Create Measurement Readings (Equipment) A component can be added to an existing or newly created operation as part of a work order processing. The field technician can record the time spent for processing an order. The default configuration refers to the standard time recording, independent of the executed work order. The alternative for time recording specifically for a work order is to create a work order confirmation, which involves development/customization. Work order confirmation are only uploaded into the backend and not downloaded on the mobile device. By further selecting a measuring point details in the equipment details, the field technician can create a measurement reading for the selected equipment by inputting valuation code, reading value and optionally a short text. 6.0 IW31 Locally created components are readonly. An issue cannot be added for a locally added component. Fields on the mobile device to be edited are: -operation -plant -item ID -item description -item type -text item checkbox -quantity and -UOM 6.0 CAT2/IW42 CAT2 - capturing time that is not necessarily related to the work order; IW42 - recording time related to a work order confirmation. Only one can be turned on at a time. Default delivered configuration is using CATS 6.0 IK01 Displayed fields to be edited are: -valuation code -reading and -short text Create Measurement Readings (Functional Location) By further selecting a measuring point details in the functional location details, the field technician can create a measurement reading for the functional location by inputting valuation code, reading value and optionally a short text. 6.0 IK01 Displayed fields to be edited are: -valuation code -reading and -short text 17

Work Order Status Processing Upload Document/ attachment Download Document/ attachment The field technician can change the status of the work order on the mobile device to Started, Hold, Transfer or Completed. Pictures and documents can be uploaded from Work Manager application. BDS (Business Document Service) / GOS (Generic Object Services) and DMS (Document Management System) document services are supported from the back end system. Note: BDS is only supported for header level work orders and notifications. Work Manager supports viewing of master data or transaction data attachments on the mobile device. This includes documents such as Microsoft Office documents, PDF files, and other commonly used business documents, including videos, pictures, and audio files. When you select Attachments, the details screen displays the attachments that are available for download. If the work order has any attachments, only limited information regarding the 6.0 IW32 The Work Manager application by default maps the work order status STARTED on the Work Manager Client to the status REL in SAP ERP. Status mapping between the mobile device and SAP ERP: RECEIVED=I0630 STARTED = I0002 (REL) HOLD = not mapped COMPLETED=I0045 (TECO) Work orders that have been created locally on the mobile device can be further processed only after an initial synch or transmit of the data to the SAP backend 6.0 IW32 You can upload attachments for any work order. Uploading attachments are supported for: -Orders (header level) -Order (object level) -Operations via Associated Asset -Operations via PRT -Notifications (header level) -Item (object level) -Item via Associated Asset -Equipment -Functional Locations 6.0 IW32 You can download attachments for any work order. On Android devices, you can only view attachments from the Download folder in the device. You can t open the attachment from within the application as you can with an ios device. Downloading and uploading attachments are supported for: *Orders (header level) *Order (object level) 18

There are various assignment types possible for notifications: -header level person responsible -task level personnel number -header level planner group -header level business partner -header level work center VIEW NOTIFICATION Display Notification Detail When selecting a notification on the mobile device, the details can be displayed and also the details of the associated work order, if there is an associated work order. 6.0 IW23 The fields in the detailed section of a Notification are: -notification number -type -description -associated work order -functional location -equipment -breakdown checkbox and -priority Display Notification Activity/Task/It em (Notification Header level) Display Item Detail/Causes/ Task/Activities (on Item level) The notes, items, tasks and activities associated with a notification can be displayed. Once the Meter Management component has been imported into the base Work Manager, the following limitations are enforced: Only Plant Maintenance type work orders and notifications can be added; when adding a work order from a notification, only Plant Maintenance type notifications are allowed to add a work order is there is no existing work order; when adding a notification from a work order, only Plant Maintenance type work orders are allowed to add multiple notifications. METER MANAGEMENT Install a Meter Remove a Meter Replace a Meter Work orders with a type of SM01 indicate a new meter installation. It automatically displays the Previous Details, including the previous Reading, Date, and Status. The user can add the new Reading and the Difference is calculated and displayed.
