Introduction FIREHOUSE Software 7 introduced a new Rating Bureau tab in the Training Class dialog box, to replace rating bureau information kept by clients in the user field section of previous FH releases. A utility has been created for migrating the data from their user fields to the new Rating Bureau tab. The FIREHOUSE Software ISO Rating Bureau User Field Transfer Utility Instructions is designed to help you use this utility to migrate your data. Note: You must use FH 7.3 or newer to complete the transfer process. If you do not have version 7.3, contact FH technical Support or your sales representative and request the update. FH technical support staff is available to answer your questions by telephone or email. Technical support hours are from 7:00 A.M. to 7:00 P.M. Confirm that necessary lookup codes are installed Before beginning, you should verify that the rating bureau lookup codes are installed. 1. Log into FH as an administrator. 2. Choose Tools Lookup Tables. The Lookup Tables dialog box appears. 3. Expand Staff Activity and Training Codes Training Class, Program and Instructor Codes. 4. Select Rating Bureau Criteria, and then click Setup. The Lookup - Rating Bureau Criteria dialog box appears. 5. Select Show Hidden Codes to display any codes that may be currently hidden. 6. Check to see whether rating bureau criteria codes are listed in the dialog box. 7. Click Close. 8. Depending on whether codes were listed in the dialog box, do one of the following. Were codes listed? Do this Yes Continue with Download the files you need, on page 6. Install the rating bureau criteria codes Note: If the rating bureau criteria were listed in the dialog box in the previous topic, skip the steps below and go to Download the files you need, on page 6. 1. Click Close. 2. In the Lookup Tables dialog box, click Options, and then select Install Preset Staff, Activity and Training Codes. 3. Select FH Sample Staff, Activity & Training Codes, and then click Install. The Preset Lookup Categories - Staff, Activity, & Training Codes dialog box updates to list all the categories in the lookup set. 4. At the bottom of the list, select Rating Bureau Criteria, and then click OK. A dialog box warning that existing codes will be overwritten and prompting for confirmation to continue with the installation of the lookup codes appears. 5. The Preset Lookup Codes - Rating Bureau Criteria dialog box appears, with all the codes in the category selected. 6. Click OK. A confirmation dialog box appears, stating that the preset lookup set was installed successfully. 7. Click OK. 8. In the Preset Lookup Codes - Rating Bureau Criteria dialog box, click Close. 9. Download the files you need 1. In a web browser, go to http://www.firehousesoftware.com/dwnld/isoratingbureau.fhz. The File Download dialog box appears. Caution: Do not click Open in the dialog box. 2. Click Save. The Save As appears. 3. Navigate to the location on your hard drive where you want to save theiso- RatingBureau.FHz file. 4. Click Save. Install the transfer utility WARNING: Be sure to notify your FH users that you will be installing a utility in FH, and ask them not to access Training records until you notify them that the installation is complete. 1. (FH Enterprise) Verify that the user name and password for Remote Connection Configuration is for a SQL administrator account. 2. Log into FH as an administrator. 3. Choose Administration Install New or Updated Components. The Install New or Updated Features dialog box appears. 4. Click Install From. The Select File dialog box appears. 5. Use the dialog box to find and open the ISORatingBureau.FHz file you saved to your hard drive. It may take a few moments for the Install New or Updated Features dialog box to list the items that will install. Note: Wait until this window is filled with items to begin the installation. 6. Click OK. A series of dialog boxes and status bars displaying the progress of the installation appear and then close automatically. This installs the query needed and the external data import definitions. This installs the report needed to check FH for user-defined fields. 7. Notify your FH users that the installation is complete, and that they can access Training records again. 8. Run the query 1. Choose Tools Queries. The Queries dialog box appears. 2. Expand Staff, Activities and Training Queries Training Class Queries. 3. Select Export ISO Training User Fields, and then click Run. The Query - Export ISO Training User Fields dialog box appears, displaying the results of the query. 4. Click Options, and then choose Print or Output to. The Output Query To dialog box appears. 5. Under Select Output Type, select Other File Type. The dialog box refreshes, displaying options for saving the query to this type of file. 6. From the menu under Other File Type, select ASCII File (Comma-Delimited). 7. In the field next to File, type C:\ISO.TXT Caution: The file must be saved to this location and with this file name, as the import definitions depend on this path and file name. 8. Click OK. A confirmation dialog box informing you that the file has been created appears. 9. Click OK. 10. In the Query - Export ISO Training User Fields dialog box, click Close. 11. Import the data 1. Choose Administration Database Administration Import from External Data Source. The External Data Imports dialog box appears. 2. Select 1-ISO-Night, and then click Run. The import runs, and then the External Data Import Pre-Commit Results dialog box appears. 4. Click Commit. The import is finalized, and you are prompted to view the import log. 5. Depending on your interest, click Yes or No. 6. In the External Data Imports dialog box, repeat steps 2-5 for 2-ISO-Multi through 8-ISO- AutoAid to run the remaining external data imports. WARNING: You must run the run the external data imports in the order they appear in the dialog box. 7. In the External Data Imports dialog box, click Close. 8. Review the data 1. In the FH main toolbar, click Training. The Training Class dialog box appears. 2. Click Browse. The Query dialog box appears. 3. Select a record, and then click OK. The Staff Activity dialog box populates with data from the record. 4. Click the Rating Bureau tab. 5. Under Additional Rating Bureau Criteria, review the information displayed on the tab. 6. Repeat steps 2-5 for different records until you are satisfied that your data migrated successfully. 7. Close the Training Class dialog box. 8. Hide the rating bureau user fields Hiding the rating bureau user fields prevents users from accidentally entering data in those fields in the future. 1. Choose Administration User-Defined Fields. The User-Defined Fields Setup dialog box appears. 2. Expand Training Classes & Programs, and then select Training Class User Fields. 3. Click Setup. The Training Class User Fields dialog box appears, displaying a number of fields, with the User Fields Toolbar displayed over it. 4. The User-Defined Field Properties dialog box appears. 5. Click the Rules Disable/Hide tabs. 6. In the Disable this field when the following condition is true area, click and type:.t. 7. A confirmation dialog box appears explaining the results of selecting Remove field from page if above condition is true. 9. Click OK. 10. In the User-Defined Field Properties dialog box, click OK. 11. In the Staff Activity User Fields dialog box, repeat the previous steps for the remaining fields in the dialog box. 12.
