3 FIREHOUSE Software License Agreement Carefully read the following terms and conditions before installing software from FIREHOUSE Software. Only an Authorized Representative of the purchaser should install the software. Installing the software indicates acceptance of these terms and conditions specified in the License Agreement. Xerox Government Systems, LLC and the party who installs this software ( you ) hereby agree as follows: 1. Licensed Software: Licensed Software means the software component and modules ordered and paid for by you, as listed in Xerox s client database of licensed products, and as evidenced by your customer receipt. Licensed Software includes all documentation relating to our software. It also includes any upgrades, modifications, and customizations (collectively, Improvements ) to our software, should such Improvements be delivered to you at a later time. 2. End Users: End User(s) means (i) your employees with a need to access the Licensed Software; and (ii) third party consultants engaged by you who have a need to access the Licensed Software, and who are fulfilling legitimate business functions for you on your behalf. 3. Materials: This document contains links to downloaded files and applicable manual(s) relating to the Licensed Software. 4. License Grant: Xerox hereby grants a revocable, non-exclusive, non-transferable license to use the Licensed Software on a single microcomputer, in the United States of America. The number of End Users authorized to access the Licensed Software concurrently is reflected on your invoice and in this License Agreement. You may increase the maximum number of concurrent End Users by procuring additional licenses from Xerox based upon the then-current license fee schedule. You may not make use of any object code for any component(s) or modules(s) for which you have not expressly obtained a license for use under this Agreement. Any rights not expressly granted in this Agreement are expressly reserved. You agree not to (a) rent, lease, sublicense, assign or otherwise transfer the Licensed Software, including any of the materials or your rights hereunder, (b) remove or obscure our proprietary notices, (c) translate, alter, decompile or disassemble any of the materials, (d) copy any of the materials without our prior written consent, (e) use the software for other agencies. You shall have no right to access, copy or otherwise use the source code for software licensed under this license. You are prohibited from causing or permitting the reverse engineering, disassembly or decompilation of the software licensed under this license. You are prohibited from modifying, improving or otherwise enhancing the software licensed under this license. 5. Terms: This license is effective until terminated. You may terminate it at any time by destroying the materials and all copies of any material made from the original materials and notify Xerox immediately. This license terminates automatically upon breach of any of the conditions of this license. Upon termination, you agree to destroy all copies of the materials. Use of the materials without a valid license of the materials is unauthorized and may subject you to monetary penalties. 6. Confidentiality: You receive the right to use the Licensed Software and materials as specified herein, but you do not become the owner of the Licensed Software and materials. The Licensed Software and materials are exclusive property of Xerox and are protected by trade secret, copyright, and trademark law. You acknowledge that the materials are Xerox property and contain valuable, confidential, unpublished information developed by Xerox at a great expense. You agree to protect the materials from unauthorized reproduction, distribution, disclosure, or use of publication. You may not transfer any materials or software to anyone or entity without the written consent of Xerox authorized personnel. 7. U.S. Government Restricted Rights: The Licensed Software and documentation related thereto were developed at private expense and are provided with "RESTRICTED RIGHTS". Use, duplication, or disclosure by the Government is subject to restrictions as set forth in FAR and DFAR et seq. or its successor. FIREHOUSE Software Standard Update Guide iii

4 8. Export Laws: You may not export the Licensed Software and agree to comply with all laws, regulations, orders or other restrictions of the U.S. Export Administration Regulations. 9. Warranty: We warrant the downloadable files to be free from material defect in normal use for 90 days from the date of receipt of materials. We do not warrant the error-free operation of the Licensed Software contained in the downloadable files, or that such Licensed Software will meet your requirements. The Licensed Software is licensed "as is". We will, however, attempt to correct or bypass any actual reproducible and significant error in the software, provided you notify us and describe it in writing within 90 days from the date of receipt of the materials, and we will, within a reasonable time, at our option, provide either a corrected copy or work around instructions. This does not cover altered software or require us to customize our software to meet your hardware or operating system requirements. Section 11 specifies your exclusive remedy for any breach by us of this section. No dealer, company, or person is authorized to expand, alter this section or any other provision of this agreement. Any such agreement will not bind Xerox. XEROX MAKES NO OTHER WARRANTIES WHATSOEVER, EXPRESS OR IMPLIED, WITH REGARD TO THE SOFTWARE LICENSED UNDER THIS LICENSE, IN WHOLE OR IN PART. XEROX EXPLICITLY DISCLAIMS ALL WARRANTIES OF MERCHANTABILITY AND OF FITNESS FOR A PARTICULAR PURPOSE. XEROX EXPRESSLY DOES NOT WARRANT THAT THE LICENSED SOFTWARE, IN WHOLE OR IN PART, WILL BE ERROR FREE, WILL OPERATE WITHOUT INTERRUPTION OR WILL BE COMPATIBLE WITH ANY HARDWARE OR SOFTWARE OTHER THAN THE EQUIPMENT. LICENSEE WAIVES ANY CLAIM THAT THE LIMITED WARRANTY SET FORTH IN THIS SECTION OR THE REMEDY FOR BREACH OF SUCH LIMITED WARRANTY FAILS OF ITS ESSENTIAL PURPOSE. 10. Limitation of Liability: XEROX S LIABILITY IN CONNECTION WITH THE LICENSED SOFTWARE UNDER THIS LICENSE, OR ANY OTHER MATTER RELATING TO THIS LICENSE WILL NOT EXCEED THE FEE THAT YOU ACTUALLY PAID TO XEROX FOR THE SOFTWARE GIVING RISE TO THE LIABILITY. REGARDLESS WHETHER ANY REMEDY SET FORTH HEREIN FAILS OF ITS ESSENTIAL PURPOSE OR OTHERWISE, IN NO EVENT WILL XEROX BE LIABLE TO YOU FOR ANY SPECIAL, INCIDENTAL, OR CONSEQUENTIAL DAMAGES, WHETHER BASED ON BREACH OF CONTRACT, TORT (INCLUDING NEGLIGENCE), PRODUCT LIABILITY, INDEMNIFICATION, OR OTHERWISE, AND WHETHER OR NOT XEROX HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGE. YOU ACKNOWLEDGE THAT XEROX HAS SET ITS FEES AND ENTERED INTO THIS LICENSE IN RELIANCE UPON THE LIMITATIONS OF LIABILITY AND THE DISCLAIMERS OF WARRANTIES AND DAMAGES SET FORTH IN THIS LICENSE, AND THAT THE SAME FORM AN ESSENTIAL BASIS OF THE BARGAIN BETWEEN THE PARTIES. 11. Remedy: In the event that Xerox breaches this agreement, your sole remedy is to notify us of such breach within the applicable warranty period and we will at our sole option, either cure the breach or refund the license fee paid to us for the materials. In no event will Xerox be responsible for any damage beyond the amount of the license fee or for any indirect, special, incidental, consequential or similar damages or profits to you or any other person, or entity, regardless of the legal basis, even if Xerox has been advised of the possibility of such damages, except to the extent applicable state law specifically prohibits such exclusion. 12. General (System Only): This license shall be governed by laws of the State of Iowa. All prior correspondence oral or written including without limitation, all understandings with respect to the Licensed Software or materials relative thereto are hereby superseded. This license constitutes your and our entire agreement and understanding regarding the Licensed Software and materials relative thereto. General (Evaluation Only): This evaluation program is provided free of charge to the registered requestor of the evaluation software and is to be used solely as an evaluation copy. 13. Software Maintenance Agreement: 90 days free phone support is provided with purchase of FIREHOUSE Software. A separate software maintenance contract is available for an additional charge. This software maintenance contract is not mandatory but highly recommended. The annual maintenance contract includes phone support and program updates. The cost of the software maintenance contract is based on the type and number of modules installed. In the event that the 90 day free support period has expired and no software maintenance contract has been established, a per call fee will be billed to you for telephone or other technical support. iv FIREHOUSE Software Standard Update Guide

7 Introduction The FIREHOUSE Software Update Guide is designed to help you update your existing version of FIREHOUSE Software to a newer version. Caution: If you are updating from FH 5.x.xx, contact FH technical support for assistance. FH technical support staff is available to answer your questions by telephone or . Technical support hours are from 7:00 A.M. to 7:00 P.M. Central time, Monday through Friday, and from 8:00 A.M. to 12:00 P.M. on Saturday. Call , option 2. Checklist for updating FH Standard Caution: Below is a high-level checklist of the steps you need to update your current installation of FH to a newer version. Detailed information for the steps below are available in the following pages of the FIREHOUSE Software Update Guide. Tip: Print this page and check off the items below as you accomplish them. WARNING:.NET Framework 2.0 or higher must installed on every client computer. Disable the local cache and automated task processor. Run FIREHOUSE Software Database Tools. Backup your FIREHOUSE Software database. Launch the FH update. Update the existing installation of FH. Update archived databases. (Optional) Enable the local cache and automated task processor again. (If you are using the NEMSIS code set) Update the National Emergency Medical Services Information System (NEMSIS) patient export. FIREHOUSE Software Standard Update Guide 1

8 Disable the local cache and automated task processor 1. Log in to FH as an administrator. 2. Choose Tools Workstation Options. The Workstation Options dialog box appears. 3. Click the Local Data & Files tab. 4. (If it is selected) Clear Enable local caching of system and lookup tables. 5. (If it was selected) Note the path to the right of Cache. 9 A series of sub-tabs appear on the Other tab. 7. Select the Automated Tasks sub-tab. 8. Select Disable Automated Task Processor. FIREHOUSE Software Standard Update Guide 3

10 9. Click OK. 10. Exit FH. 11. (If Enable local caching of system and lookup tables was selected) In Windows Explorer, do the following. a. Navigate to the path you noted earlier, to the left of the Cache button. b. Delete the Cache folder in this location. 12. 11 Run FIREHOUSE Software Database Tools You need to run FH Database Tools to compact the live database and rebuild database index files. WARNING: Before beginning, verify that all FH users are logged out, and that FH is not running. 1. Choose Start Programs FIREHOUSE Software FIREHOUSE Software Database Tools. The Database Tools - FIREHOUSE Software dialog box appears. FIREHOUSE Software Standard Update Guide 5

12 2. Verify that the path displayed in Selected Database is the correct location for your department s live database, and edit it if necessary. Note: We are using the DemoData database for example purposes in these instructions. Use your live database when running Database Tools. 3. Click View Active Logins. The Active Logins - FIREHOUSE Software dialog box appears. 4. (If any login records are displayed in the Active Logins dialog box) Click Attempt to Clear Invalid Logins. 5. Click OK to return to the Database Tools - FIREHOUSE Software dialog box. 6. Select Validate File Locations, Compact Tables and Rebuild Index Files, and then clear any other check boxes. 7. Click Run. Progress updates appear on your screen. This process may take some time if you have many records or a large database. Note: If errors appear and you need assistance resolving them, contact FH technical support. You are prompted to append information to the log file. 8. 13 9. (If you have archive databases of the same version as your current installation of FH) Do the following. Example: Your current version of FH is , and you have archive databases at , , and You can only run FH Database Tools on the FH archived database. a. In Selected Database, change the path to the archived database. b. Repeat steps Click Close to close the Database Tools dialog box. 11. 14 Backup your FIREHOUSE Software database WARNING: Before beginning, verify that all FH users are logged out, and that FH is not running. 1. Choose Start Programs FIREHOUSE Software FIREHOUSE Software Backup Utility. The Login Required - FIREHOUSE Software dialog box appears. 2. Enter the administrative username and password for FH in the Login Required - FIREHOUSE Software dialog box, and then click OK. The Backup/Restore - FIREHOUSE Software dialog box appears, and the Backup and Restore tabs are active. 8 FIREHOUSE Software Standard Update Guide

15 3. Verify that Database, System Data, Queries, and Reports are selected and the paths for them are correct. Note: If any of the paths are incorrect, you can either click in the path field and type the correct path, or you can click the lookup to the correct location as you did earlier. 4. Select Verify backup upon completion. button to the right of the field and navigate 5. Verify that the path displayed in Path of backup file to auto-generate is correct. 6. Click OK. Progress updates appear on your screen. This process may take some time if you have many records or a large database. Note: If you encounter errors and need assistance, contact FH technical support. 7. Continue with Launch the FH update, on page 9. Launch the FH update Caution: Close all open applications and disable anti-virus software before updating an existing installation of FH. If the computer does not have enough free disk space, the installation will not complete. If your current installation of FH used custom.msi files to update FH across a network, contact FH technical support for assistance with your update. The FH update is available through either an installation CD, or through an containing an FH download link. Depending on how you receive the update, the steps for launching the update are different. 1. Log on to the computer you want to update FH on as an administrator. Caution: You must update FH on each computer that uses FH, unless you are updating a network installation of FH, the FH System folder is on a network server, and you install the workstation update utility. Information on this utility is available in Update an existing installation of FH, on page Depending on how you received the update, do one of the following. If you received this Do this Installation CD a. Insert the FH CD into the appropriate drive. The FIREHOUSE Software installation or update menu automatically appears. 16 If you received this Do this Note: Because of security issues on Windows XP, you cannot use the FH installation menu to update FH. b. (Windows XP) Click Exit, and then continue with step 3 below. c. (Windows Vista and Windows 7) Do the following. An with a download link i. Click Install FIREHOUSE Software or Update an Existing 6.x or 7.x Installation. ii. The FH installation or update wizard appears. Continue with Update an existing installation of FH, on page 14. a. Follow the directions in the to download and unzip the update files and folders. Note: Because of security issues on Windows XP, you can not use the FH installation menu to update FH. b. (Windows XP) Continue with step 3 below. c. (Windows Vista and Windows 7) Do the following. i. Navigate into the folder containing the update files and folders. ii. Double-click AutoRun.exe. 17 If you received this Do this iii. iv. Click Install FIREHOUSE Software or Update an Existing 6.x or 7.x Installation. The FH installation or update wizard appears. Continue with Update an existing installation of FH, on page 14. Caution: The instructions below apply only to FH updates on Windows XP. 3. Choose Start Settings Control Panel. The Control Panel window appears. 4. Double-click Add or Remove Programs. FIREHOUSE Software Standard Update Guide 11

18 The Add or Remove Programs dialog box appears. 5. In the left page, click Add New Programs. The right pane of the dialog box updates for adding a program from a CD-ROM or disk. 6. In the upper right corner of the dialog box, click CD or Floppy. The Install Program From Floppy Disk or CD-ROM wizard appears. 7. Click Next >. 12 FIREHOUSE Software Standard Update Guide

19 The next screen of the wizard appears, asking you to wait while Windows searches for the FH installation application. When Windows finds the FH installation application, the next screen of the wizard appears automatically. 8. Click Finish. The FH installation or update wizard appears. 9. Continue with Update an existing installation of FH, on page 14. FIREHOUSE Software Standard Update Guide 13

20 Update an existing installation of FH At this point, you are in the FH installation and update wizard, at the Welcome screen. 1. Select Update Existing Installation. 2. (Optional, if you are sure there is only one installation of FH on the machine) Select Skip automatic search for existing installations. 3. Click Next >. The Update screen of the wizard appears. 14 FIREHOUSE Software Standard Update Guide

21 4. Read the information on the screen, and then click Next >. The Select Location screen of the wizard appears. If you selected Skip automatic search for existing installations earlier, the Select an alternate existing FIREHOUSE Software Installation button does not appear. If you did not select Skip automatic search for existing installations earlier, the Select an alternate existing FIREHOUSE Software Installation button appears. 5. Depending on whether you selected Skip automatic search for existing installations earlier, do one of the following. Did you select it? Do this Yes Click Browse, and then use the file browser that appears to navigate to the location of your FH installation. Note: You must double-click the name of the installation folder, and the path at the top of the file browser must include the folder name. Clicking the folder once does not update the path in the file browser. FIREHOUSE Software Standard Update Guide 15

22 Did you select it? Do this No 1. Click Select an alternate existing FIREHOUSE Software Installation. The Search for Previous Installation dialog box appears. 2. Select the installation of FH that you want to update. 3. Click OK. 6. Select Install Shortcuts and icons in Windows NT common folders so that all users logging into this computer can see the FH icons. 7. Click Next >. FH checks the version of FH in the path you specified and compares that to the version of FH you are updating to, and the Update the Database screen appears in the wizard. FH version numbers have the format: MajorRelease.MinorRelease.BuildNumber. Example: Version number refers to major release 6, minor release 3, build 10. If you are updating to a new major or minor release (for example, from to 7.7.0, or from to 7.8.9), Update the database is selected. 8. (If it is not already selected) Select Update the database. 23 9. Click Next >. The Backup Replaced Files screen appears in the wizard. 10. Select Yes, and then click Next >. The Upload Workstation Update Utility screen appears in the wizard. 11. (If you are updating a network installation of FH, and the FH System folder is shared on a network server) Select Upload workstation update utility to the server to copy the workstation update to the server. 24 This update utility runs automatically when a workstation accesses the server database. 12. Click Next >. The Start Installation screen of the wizard appears. 13. Click Install. The Installing screen appears, and progress bars appear in the wizard. When the installation finishes, the Database Update dialog box appears. 14. 25 The Update - FIREHOUSE Software dialog box appears. 15. Select Live Data, and then review the path and current FH version number associated with the database. 16. (If necessary) Edit the path to the database you want to update, or click the lookup button and then use the file browser that appears to select the database directory you want to update. Note: Normally, you do not need to edit the path to the Data, System, Queries, or Reports folders for FH. 17. Repeat steps for Systems, Queries, and Reports. 18. Click Update. The update installs. When it completes, a confirmation dialog box appears. 19. Click Yes. A prompt dialog box for viewing the log file appears. 20. 27 The Documentation installation wizard appears. 23. Click Next >. The location where the documentation will be installed appears. 24. (Optional) Click Browse and use the file browser that appears to navigate to the directory you want to install the documentation in. FIREHOUSE Software Standard Update Guide 21

28 25. Click Next >. A list of the documentation you can install appears. 26. (Optional) Clear any documents you do not want to install, and then click Next >. A confirmation screen appears. 27. Read the information on the screen, and then click Next >. 22 FIREHOUSE Software Standard Update Guide

29 Another confirmation screen appears. 28. Click Finish >. The FIREHOUSE Software installation menu reappears. 29. As an administrator, log into FH on the computer the update was performed on. 30. As an administrator or a user with local administrator rights, log into each workstation where FH is installed on. The update utility runs automatically on the individual workstations and installs Windows system components as needed. 31. Continue with Update archived databases, on page 24. 30 Update archived databases If you have archived databases from the earlier version of FH, you should update them to the current version of FH. WARNING: If you have archived databases from FH 5.x.xx, you must contact FH technical support for assistance in updating them. They can not be updated with the steps below. 1. In Windows Explorer, navigate into your FH installation directory. Tip: By default, the installation directory is C:\FIREHOUSE Software. 2. Double-click FHUpdate.EXE. The Update - FIREHOUSE Software dialog box appears. 3. Select Live Data, and then enter the path to the location of the FH archive database. 4. Confirm that Lookup contains the same path as Live Data. 5. Click Update. 6. (If you have multiple archived databases) Repeat steps 2 5 for each archived database. Uninstall the previous version of FH The Windows Control Panel will display the previous version of FH after you have updated to the newer version of FH. WARNING: Do not uninstall the previous version of FH. The uninstall process removes critical components for your current version of FH, even when you select options for older versions. 24 FIREHOUSE Software Standard Update Guide

31 Enable the local cache and automated task processor If you were using the local cache and automated task processor before updating FH, you may want to enable them again after the update. 1. Log into FH as an administrator. 2. Choose Tools Workstation Options. The Workstation Options dialog box appears. 3. Click the Local Data & Files tab. 4. Select Enable local caching of system and lookup tables. 5. Click the Other tab. A series of sub-tabs appear on the Other tab. 6. Select the Automated Tasks sub-tab. 7. Depending on your preference, select Auto-load on FIREHOUSE Software Startup or Auto-load on Windows Startup. 8. Click OK. FIREHOUSE Software Standard Update Guide 25

32 Update the NEMSIS patient export If you are recording patient EMS patient reports and using the National Emergency Medical Services Information System (NEMSIS) code set, you should also update FH's patient export. 1. Obtain the NEMSIS patient export file in one of the following ways. WARNING: All states except Ohio and Florida use the NemsisPatientExportv2.FHz file. Ohio and Florida have unique patient export files, named OHPatientExportv2.FHz and FLPatientExportv2.FHz, respectively. For the steps below, select the patient export file appropriate for your state. From this location FIREHOUSE Software 7 installation CD FIREHOUSE Software web site Do this Note: If possible, obtain the file from the FIREHOUSE Software web site, as a newer version of the file may be available. 1. Open the State folder. 2. Copy NemsisPatientExportv2.FHz, OHPatientExportv2.FHz, or FLPatientExportv2.FHz, as appropriate to your state. 3. On your hard drive, paste the.fhz file. 1. In a web browser, go to the URL below appropriate for your state. o o o NemsisPatientExportv2.FHz. OHPatientExportv2.FHz. FLPatientExportv2.FHz. The File Download dialog box appears. Caution: Do not click Open in the dialog box. 2. Click Save. The Save As dialog box appears. 3. Navigate to the location on your hard drive where you want to save the file. 4. In File name, change the extension of the file from.zip to.fhz. WARNING: It is very important to change this file extension to.fhz, for FH to recognize the file. 33 From this location Do this 6. Click Save. The Download Complete dialog box appears. 7. Click Close. 2. Log into FH as an administrator. 3. Choose Administration Install New or Updated Components. The Install New or Updated Features dialog box appears. 4. Click Install From. A file browser appears. 5. Use the file browser to find and open the patient export file you saved to your hard drive. It may take a few moments for the Install New or Updated Features dialog box to list the items that will install. Note: Wait until this window is filled with items to begin the installation. 6. Click OK. A series of dialog boxes and status bars displaying the progress of the installation appear and then close automatically.
