In the top navigation bar, click on Requests. Then click on Request Access. 3
3. Under 1. Select a user, click on the text input box labeled Enter search text or Then click on Create a new user. 4. Enter the information for the new user. First name, last name, personal email address and date of birth are all required. Other information is optional. Click Done when finished. a. A personal email address is required because the provisioning system will notify the user via email of their username and account activation code, as well as provide step-by-step instructions for activating their account. Because the email will contain sensitive information, be sure you correctly enter the email address. If you do not know the new user s email address, you may use your own. The activation email will be sent to you and you must remember to provide the information therein to the new user. b. Date of birth is required because the system will use it to verify the identity of the new user during account activation. c. Make sure you spell the user s name correctly. This information will be used to generate the username. 5. Every user gets an Active Directory account by default. An Active Directory account permits access to network resources (e.g. MICA wireless internet, computer lab computers). 6. Optionally you may choose to give the new user access to Google Apps which will provide them with a MICA email account, access to PeopleSoft Portal, and access to PeopleSoft Campus Solutions. If the user requires any of these resources, under 2. Select resources and permissions click Add 4
Resource. 7. Select the resource(s) the user requires and click Done. If at a later time the user requires additional resources, or no longer requires a resource, that change can be made. When in doubt, err on the side of providing less access. 8. Under 3. Specify access period, set the date range during which the account should be active. The account will not be created until the Start date, at which time the user will receive the activation email. The End date is the date after which account access will be disabled, and access to all resources revoked. The range defaults to 90 days, but it can be set to any range needed and can be shortened or extended at a later time as needed. a. DO NOT select the Permanent checkbox. Account requests without a start and end date will not be approved. 5
b. 9. Under 4. Submit request enter any additional comments. It s a good idea to include an explanation of who the new account is for and why they require an account. If any additional resources are needed (e.g. PeopleSoft Financials access), please indicate that here. 10. Click Submit Request. The request will be sent to a resource approver who will either approve it, partially approve it, or deny it. Turn around usually takes approximately 24 hours. Notes Once an account has expired, It becomes disabled and cannot be re-enabled. If a temporary employee needs to continue access after the expiration date, a new account will need to be requested.
