Integration with SharePoint Workflow - Scenario CadCap Consulting Engineers have been engaged by Watts Housing to design a housing development. CadCap Consulting has completed the initial design, and passed it back to Watts Housing for review. The output of the review process is a PDF with a comments page attached so CadCap Consulting Engineers can make the required changes. Watts Housing has an Interior Designer (Nick) and Structural Engineer (Paul) who review the drawing, before passing onto the Project Lead Engineer (Chris) for approval. Nick and Paul both make their suggested changes and comments by marking up the drawing. Chris then has the task of incorporating or ignoring each of those comments. The final set of accepted changes are captured in a PDF, which is checked in to SharePoint, and sent back to CadCap Consulting to make the required changes. The combination of CaptureVue and SharePoint workflow provides a fully-auditable history of what changes were made, by whom, and when.
Document Review / Approval Process Review Started Interior Design Review Structural Review Collate reviews and Approve comments Produce Approval PDF including comments and appendix
Interior Design Review Interior Design Review (reviewer = Nick) User Nick selects Interior Design Review task in SharePoint, checks task comments and opens the drawing in CaptureVue Use of the Open/Create mark-up button which creates a mark-up for the user, or opens the user s mark-up if it already exists... allocating a unique colour so all users have a different colour mark-up Add line entity for separating wall, showing how a note is automatically associated with mark-up entities so user can add detailed review comments. Add cloud for skylight removal, with automatically associated comment. Add cloud suggesting more windows, with automatically associated comment. Comments can be moved for clarity. Save the mark-up with name (based on user and workflow task) automatically assigned for ease-of-use and clarity. 1. Interior Design Review 2. Structural Review 3. Review Collation 4. Output of Review Process
Structural Review Structural Review (reviewer = Paul) User Paul selects Structural Review task in SharePoint. Red-light bulb indicates review comments are present. Use the Open/Create mark-up button which creates a mark-up for the user, or opens the user s mark-up if it already exists... and also loads all other review comments... and allocates a unique colour so all users have a different colour mark-up Add freestyle line for conservatory changes, showing how a note is automatically associated with mark-up entities so user can add detailed review comments. Add highlight, with automatically associated comment. Save the mark-up with name (based on user and workflow task) automatically assigned for ease-of-use and clarity. 1. Interior Design Review 2. Structural Review 3. Review Collation 4. Output of Review Process
Review Collation Review Collation (collator = Chris) User Chris selects Collation task in SharePoint. When drawing is opened, all existing mark-ups are automatically collated into the collation mark-up, with all entities placed on the Unapproved layer. The Collator reviews the various comments, and can Reject (adding a reason which can be emailed to the reviewer for discussion), or Approve comments. The Unapproved, Approved and Rejected layers are different colours so easily distinguished. CaptureVue Filter Markup Visibility can be used to make it easier to process the review comments. Collator can also add their own entities, with automatically associated comment. Save the mark-up with name (based on user and workflow task) automatically assigned for ease-of-use and clarity. 1. Interior Design Review 2. Structural Review 3. Review Collation 4. Output of Review Process
Output of Review Process Output of Review Process Automatic process to product PDF with approved comments uniquely numbered and detailed appendix. IDC PDF is added into workflow. Each Approved comment is uniquely sequentially numbered. The Appendix lists the page each comment has been added to necessary for large Word and Excel documents, and the comments. The recipient can look at the comments by working through the appendix, moving to the required page, and easily seeing the large comment number. 1. Interior Design Review 2. Structural Review 3. Review Collation 4. Output of Review Process
CaptureVue / SharePoint Workflow Streamlining the Management of Change Process Use SharePoint workflow to manage the overall change process. Know which stage of the MOC process is active at any one time. Know the status of the drawing at any time. Easily see who has made which comments. Easily accept or reject each comment. Create a record (PDF) of the process and store that in SharePoint for reference.
