Vision for 2016 A US Ag Investment Conference & Trade Show The 86 th Annual Meeting of ASFMRA October 26-31, 2015 San Antonio, Texas TRADE SHOW INFORMATION AgroNomics, Vision for 2016 AgroNomics, Vision for 2016 and the 86th Annual Meeting of the American Society of Farm Managers & Rural Appraisers (ASFMRA) come together October 26-31at the Hyatt Regency Hill Country Resort in San Antonio, Texas promising a one of a kind event. The conference will offer interaction opportunities for investors and fund managers together with the land management, property valuation, consulting and rural property experts of the ASFMRA. The AgroNomics Trade Show will showcase exhibitors from across the country promoting unique products and services amidst a continuous networking venue for conference attendees. From the informal opening reception to an educational Power Networking Lunch, the Trade Show will be at the center. The conference has been designed with the General Session area immediately adjacent to the trade show, creating ongoing opportunities for interaction. ASFMRA The American Society of Farm Managers and Rural Appraisers (ASFMRA) is the national organization for professionals who provide management, consultation and valuation services on agricultural and rural assets. The Society, founded in 1929, represents over 2,000 members in 32 chapters throughout the U.S., Mexico and Canada. Booth Reservations Booth space is assigned based on the order in which the reservation and payment are received and is at the discretion of the show management. Every effort will be made to accommodate special requests, and attention will be given to competing companies. Booth Furnishings Exhibitor kits will be emailed to all confirmed exhibitors directly from the trade show decorator, and will include forms necessary to order booth furnishings, etc. One 6 table, two chairs, a wastebasket and identification sign are included with the booth fee. Electricity and Internet access must be ordered from the Hyatt Regency Hill Country Resort and forms can be requested through ASFMRA. Confirmation Reservation confirmation and booth space numbers will be sent upon receipt of payment and completed Exhibitor Form. Incomplete reservations will be returned to exhibitors. Please note that forms will not be processed without payment in full. EXHIBITOR RULES AND REGULATIONS THE EXHIBITOR AGREES A. All provisions of the Exhibitor Rules and Regulations as shown below and in the Exhibitor Information Sheet will be part of this contract. All matters and questions not covered by these rules and regulations are subject to the decisions of ASFMRA. These regulations may be amended at any time by ASFMRA and all amendments that may be so made shall be equally binding on all parties affected by them, as are the original regulations. B. This contract is for: 10 wide x 10 deep space in the Exhibit Hall. The Exhibit Halls is carpeted. Additional carpeting for booths may be rented from show decorator. C. Reservation of space is considered accepted only when the Exhibitor receives written confirmation from ASFMRA. D. The Exhibitor must, at his/her expense, maintain and keep in good order his/her exhibit and the space for which he/she has contracted. EXHIBIT PERSONNEL A, Each exhibiting company will receive one complimentary registration with the purchase of the booth. Each additional company representative registered with trade show booth will be charged full registration rate of $740. Registration fee includes: All convention meals, breaks, receptions and admission to Program Sessions. (Meals included: Thursday Opening Reception; Friday & Saturday Continental Breakfasts; Friday & Saturday Refreshment Breaks; Friday Lunch; and Friday evening Silent Auction & Reception. B. All Exhibitor personnel attending the Convention and Trade Show and who participate in set-up and/or move-out of exhibits shall be required to register for the conference and have proper identification (official name badge/ribbon must be worn at all times on the show floor and in program sessions). CANCELLATIONS AND REFUNDS A. Cancellations or reductions of booth space on or prior to September 30, 2015 are subject to a $250 processing fee per booth. If cancellation or reduction of space is made after to September 30, 2015, there will be NO refund and all space contracted must be paid for in FULL. B. All notices of cancellation or reduction of space must be received by ASFMRA in writing on or before the date specified. WAIT LIST Should a wait list be needed, a signed contract with payment in full will be required to be placed on the list. The payment will be refunded should no booth space become available. Should space become available, the Exhibitor has three (3) business days after notification to make a commitment to take the space. After three business days, the space will be offered to another wait-listed company. BOOTH FURNISHINGS Each contracted booth will include pipe and drape, one 6 table, 2 chairs, a wastebasket and an identification sign. All other furnishings must be ordered through the show decorator who will email Exhibitor Kits to all confirmed Exhibitors. Electrical services are NOT included with the booth exhibit fee and must be ordered separately. Order Forms will be provided to all confirmed Exhibitors. Forms may be downloaded from www.agro-nomics.org. SHIPPING All shipments must be coordinated through the show decorator. Appropriate forms will be included in the Exhibitor Kits. LIABILITY Each Exhibitor must make provisions for the safeguarding of his/her property, goods, materials, displays, equipment, and personnel at all times. ASFMRA will not be responsible for the loss of any material or to any person by or for any cause. The hotel and ASFMRA are not responsible for any injury, loss or damage that my occur to the Exhibitor, the Exhibitor s agent, employees or property, or to any other person s property, prior, during or subsequent to the period covered by the exhibit contract, provided said injury, loss or damage not caused by the willful negligence of an employee of the hotel. Each Exhibitor hereby expressly releases the hotel and ASFMRA, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from such liabilities and agrees to indemnify the hotel and ASFMRA against all claims for such injury, loss or damage. Exhibitors who wish to carry insurance on their own exhibits must do so at their own expense. Exhibitor shall be fully responsible to pay for any and all damages to property owned by the hotel, its owners or managers which result from any act or omission of Exhibitor. Exhibitor agrees to defend, indemnify and hold harmless, hotel, its owners, managers, officers or directors, agents, employees, subsidiaries and affiliates, from any damages or charges resulting from Exhibitor s use of the property. Exhibitor s liability shall include all losses, costs, damages, or expenses arising from, out of, or by reason of any accident or bodily injury or other occurrences to any person or persons, including the Exhibitor, its agents, employees, and business invitees which arise from or out of the Exhibitor s occupancy and use of the exhibition premises, the hotel or any part thereof. EXHIBIT ROOM DÉCOR A. Use of tape, paste, tacks, nails or other such devices affixing displays to the walls and other permanent structures within the exhibit hall is forbidden. B. All aisle or corridor space is under control of ASFMRA and shall not be used for demonstration purposes or literature distribution. C. Hanging displays from the ceiling of the exhibit hall is forbidden. D. Sight lines and neighboring Exhibitors cannot be obstructed in any way. Any Exhibitor who erects a booth that obstructs the visibility of neighboring booths shall bear the cost of all expense necessary to bring the booth into conformity or in order to move the booth to another location. Exhibit booths must stay within the boundaries of their exhibit space. E. In-Line Exhibits ASFMRA will provide and arrange for the erection of necessary draped background and sides of a uniform style. Each exhibit must be confined to the spatial limits of its respective booth indicated on the floor plan. Placement of the components of the exhibit must be done to avoid blocking the visibility of neighboring Exhibitors. HOSPITALITY ROOMS & AFFILIATE FUNCTIONS ASFMRA expressly forbids hospitality rooms to non-exhibiting or non-sponsoring companies. Other Items: A. No space shall be sublet for any reason. B. ASFMRA reserves the right to reject or prohibit any Exhibitor or proposed exhibit which, in its opinion, is not suitable to or in keeping with the character of the conference. This reservation concerns persons, things, conduct, printed matter, souvenirs or other matter affecting the character of the exhibit. No lobbying will be permitted in line of traffic. C. Because ASFMRA retains a non-profit status, direct solicitation and exchange of monies in the exhibit hall is prohibited. D. All Exhibitors who award door prizes must abide by the guidelines set by ASFMRA.
