Overview: WBCMS teams are continuously working to improve processes and functionality within WBCMS-MTO. The following records/functionality have been improved. Improvements to the Generic Lab workflows for Granular Physical & Production and Concrete Construction Test records o Additional security tag features for samples o Email notification improvements surrounding sampling o General improvements to sample management for users o New data extraction reports for QA users o Workflow improvements for CA and Lab administration of samples o Enhanced Referee process workflows o New fields added to lab records o Improvements to Concrete Mix Design fields o General improvements to sampling grids and inputs ERS Workflow changes for the following records o Payment Adjustment Granular o Price Adjustment Concrete o Granular Physical & Production Properties general change Granular Physical & Production o Renaming of several items in the grids Improvements to several Testing records have been configured and promoted Changes to the Non-Conformance Report record Page 1 of 7
New Features/Enhancements of Current Build: The following improvements have been made to the Granular Physical & Production and Concrete Construction Test records o Additional tags can be added to a sample for instances where more than two tags are required to secure or otherwise administer a sample o - When CA submits a sample to the lab, email notification is sent to the lab and contractor (currently only for Granular Physical & Production and Concrete Construction Test records). 1) When contractor elects Referee on a sample, CSA, QAO and MERO roles receive email notifications. 2) Email notification sent to contractor, QAO when results are submitted to CA. o - Lot, Sub Lot, Material Code and Test Code columns have been added to the Testing list view 1) CA role can now create lab records just as the CA inspector role could prior. 2) Enhanced visibility of Testing records beyond Submitted workflow stage for CSA, QAO and MERO users 3) QAOs are now notified by email when a sample has been marked as Compromised o A new report feature has been configured for QAO roles and added to the list page to extract detailed information on Compromised samples, including those tested after being marked as such o Service Improvement: CA now has the option to click More Information when a testing record is in the Acknowledge Results workflow stage to send a Testing record with results back to the lab in case of error. o Service Improvement: Lab will have an additional "More Information" option in the stage "Submitted in Lab" stage to send the record back to CA in case of error. The record stage would move back to "Submitted" pending on CA and Inspector. Page 2 of 7
o The workflow for the Testing records referee process is now as follows: 1) Contractor elects referee 2) It first goes to CA, then CA will either forward to MERO OR deny the request. 3) If request is denied or accepted, email notification to be sent to Contractor, MERO and QA. 4) MERO will select referee lab and send it to contractor. Email notification sent to QA and CA. 5) Contractor reviews and determines if there is a conflict or not. 6) If No, create referee record and forward to referee (with email notifications to QA lab, QA) o Lab records will now display the CA Firms name on all lab records o The Concrete Mix Design, when displayed in other lab records referencing said mix design, will now appear as a hyperlink, thereby allowing for easy reference by popping out to a tab within IE11 for viewing o The following improvements have been made to generic lab records for Granular Physical & Production records: 1) MERO and QA roles now have read-only access to Service Provider Awardee, Contract Associations and Resource List to better help them identify individual users associated to contracts, aiding and expediting their tasks 2) The NCR field, and its corresponding workflow validations have been removed from referee record grids 3) Test Code and Material Code selections are now picked from a picker window and not a drop-down list, thereby allowing for filter search features of codes 4) Testing Requirement and Original Test Record have been removed from the generic lab and referee record headers 5) The Field and MERO subfolders have been removed from the Specialties and Others folder. All records originally found in those subfolders are available under Specialties and Others 6) An Other field has been added to the Compromised grid to allow for labs to further detail reasons samples are deemed compromised 7) The Restore action on completed records (performed by Super User i.e. WBCMS Team) will now roll record back two stages to the contractor s possession, allowing them to elect referee 8) Attachments are mandatory when labs submit test results to CA Page 3 of 7
9) The Has Bonus field has now been hidden from lab records, and is no longer required to be marked as such on the outset of the contract (currently only for Granular Physical & Production and Concrete Construction Test records) 10) Item field in Test Info section is now mandatory 11) In the Compromised section, the word Legible has been replaced with Conflicting in third line under packaging, and the first two lines under Sample, Missing Data Sheet and Incomplete Data Sheet have been hidden ERS Workflow changes for the following records o Payment Adjustment Granular has had the following changes made: 1) Decision to go to referee flow for Granular Production will be taken in the ERS record itself (Payment Adjustment Granular record). Decision to go to referee for Granular Physical records will be available in the Granular Physical & Production record 2) The ERS form corresponding to the Granular Physical & Production (Payment Adjustment Granular record) now has two tabs showing the calculations of lab and referee flows respectively 3) For Granular Physical & Production, a referee record can be created only if the corresponding lab record is associated with an ERS flow (i.e. waiting for ERS workflow) 4) The records waiting for ERS will be pulled, then CA will submit them to contractor who will either complete the ERS flow or request for referee 5) On requesting referee, the referee flow is initiated and the referee record is fetched, ERS calculations are re-done and the contractor acknowledges the results in the ERS form 6) Upon acknowledgement by the contractor, the ERS workflow status is changed to Completed o Granular Physical & Production Properties general changes: 1. A new field Mass of Percent Crushed Sample, (g) has been added to the Production section Page 4 of 7
o The record grid for Granular Physical & Production Properties grid has been updated to align with the testing Payment Adjustment Granular 1) The H field, which is currently manually editable, is now auto-populated from newly added field in the Mass of Percent Crushed Sample 2) The I field, which is currently manually editable, is now auto-populated from the Mass of Crushed Particles in the grid for all granulars except granular O 3) The I field, which is currently manually editable, is now auto-populated from the Mass of Particles with 2 or More Crushed Faces in the grid for granular O Improvements have been made in the following areas: o Granular Physical & Production o Payment Adjustment Granular o Concrete Construction Test o Price Adjustment Concrete o Job Mix Formula o Concrete Delivery Ticket (Formally called Material Weight Ticket) 1) Supplier has been renamed Supplier Name. Additionally, a new text field has been added Supplier Location/Plant 2) Slump field, in both locations within the record, is now configured to whole numbers, without decimal places 3) Concrete Temp and Air Content (both locations) are now both configured to 1 decimal place Page 5 of 7
The following changes have been made to the Non-Conformance Report record: o (Draft stage) A hyperlink field has been added to both the Granular Physical & Production and Concrete Construction Test records which displays an associated NCR record, and allows for easy viewing by opening in new tab o (Draft stage) If NCR is created by CA, when in Draft stage, the two fields "Cause" and "Extent" of non-conformance are now hidden. These will be filled by Contractor in next stage. Additionally, NCR Sub-category field is hidden, which will then be filled by CA in "Review" stage (Proposed Corrective action will continue to be hidden and will be filled in by contractor in next stage) o (Draft stage) The action button More Info from SP is renamed to Submit, regardless of who initiates the record o (Draft stage) If the record is being completed by contractor, NCR sub-category field is now hidden, as it will be filled by CA during Review. Additionally, contractor will fill all fields described below in "submitted" stage while in draft if they initiate the record. If Contractor submits the record, it moves directly to "Review" stage o (Draft stage)if the record is auto-generated by system, it is now automatically submitted to the contractor and placed in Submitted stage. An email notification will also be sent, as well as appear in their to-do list. The date and time will be filled in by the contractor in the Submitted stage. The workflow history will show the creation of the draft and submission by the CA, who s triggered the automatic NCR from an independent record o (Submitted stage) Fields Cause and Extent are filled in by contractor. Additional radio buttons have been added at this stage for contractor to select Includes a proposed amendment to the Contract Documents? Options are Yes, as described OR No o (Review stage) this workflow step done by CA, and has an additional radio button added CA's review of proposed corrective action: with options either Approved OR Rejected, awaiting more info from contractor o If Approved is selected, section Status of Non-conformance is now displayed it is mandatory to complete the whole section in order to select Approved o If Rejected, awaiting more info from contractor is selected, More Info workflow action is now mandatorily selected by CA to send the record back to contractor o The Under Review workflow action is now removed Page 6 of 7
o Status of Non-Conformance section has been added, only if marked as Approved in review of the contractor s corrective action o Existing field NCR Sub-category has been moved to this section, and will always be visible and mandatory o Two new fields have been added CA's Description of Non- Conformance and Justification for Assessment o The warning of infraction, Infraction and Written Warning sections have been removed o (Completed stage) Clicking on Approved after completing the mandatory section will move record to Completed. CA can now edit all fields that were previously edited in Review stage including adding any comments and attachments o All MTO internal roles can view this record, from the Submitted stage, onwards End User Impact: Increased traceability and convenience, streamlining of processes, and response to industry feedback.
