Introduction The new Flexible Benefits system is accessed through Core MyHR. Please note: You will need your University Username and Password to access Core MyHR. To access the Core MyHR system from off campus (e.g. from home) you will need to connect to the VPN first. This system can also be accessed via the internet on your mobile device. VPN will provide additional security when accessing your employment details and payslip. Instructions for connecting to the VPN are available via http://www.lancaster.ac.uk/iss/services/working-off-campus/vpn/ or from the ISS Service Desk (9am 5pm, Monday to Friday: the Learning Zone or telephone: 01524 5-10987) Logging on to Core MyHR Start your web browser and in the Address bar of your browser type: http://www.lancaster.ac.uk/hr/myhr Press the Enter key and you will see the WebLogin screen. Type in your University Username and Password. Click Login you will see the MyHR portal load. flexiblebenefits@lancaster.ac.uk). 2
Accessing the Flexible Benefits System Once logged on to the system, you will see the Employee Dashboard which shows you basic information about your employment. From the Employee Dashboard you can access Flexible Benefits by selecting the tab on the left hand side of the screen. flexiblebenefits@lancaster.ac.uk). 3
Flexible Benefits You will be taken to the screen My Benefits. The screen gives you a brief overview of your current benefits: it shows you how many benefits you have currently selected and the total annual cost of your selected benefits. It also shows you how many days there are left until the enrolment window closes. From here, you can also look at the benefits you selected last year. To do this, click the blue My Benefits History button in the top right hand corner of the screen. This pop-up screen will load: Select 2014 from the drop down box in the top right hand corner of the screen and you will see your benefit selections from the Flex year 2014/15. To return to the My Benefits screen, click the cross button in the top right hand corner of the pop-up. flexiblebenefits@lancaster.ac.uk). 4
My Benefits From the My Benefits screen, click the blue View or Edit Selections button. This will take you to the main Flexible Benefits screen: The top section provides details of your Total Fund (this is the amount of your salary that you can use on Flexible Benefits), the cost of your selected benefits, your remaining balance the number of benefits you have selected and the number of days left until the enrolment window closes. There is a green Submit button that you should click once you have chosen all of your benefits. flexiblebenefits@lancaster.ac.uk). 5
The middle section details of the Benefit Groups. Each benefit has been assigned to a Benefit Group. To move through the Benefit Groups, use the scrollbar on the right of the screen. Clicking a Benefit Group will show you all of the benefits within that group in the lower section of the screen. For example, if you clicked the Benefit Group Travel, you would see in the lower section of your screen all of the benefits in the Travel group. To move through the Benefits, use the scrollbar. The values shown indicate the monthly and annual cost of the benefit including any employer ( er ) contributions. flexiblebenefits@lancaster.ac.uk). 6
Selecting Your Benefits In the lower section of the screen are listed all of the available benefits. To select a benefit, click the swipe button on the right of the screen. The button will turn green to show that the benefit has been selected. flexiblebenefits@lancaster.ac.uk). 7
For certain benefits, a pop-up box requesting additional information will appear prompting you for information. Fill in the required information and then click the green Save and Select button. A grey message box will appear at the top of the screen stating Fields Saved Successfully. flexiblebenefits@lancaster.ac.uk). 8
Further information for each benefit can be accessed by clicking the i button to the right of each benefit. A Further Information pop-up box will appear which includes a hyperlink to the HR Flexible Benefits website page for that benefit. To return to the My Benefits screen, click the cross button in the top right hand corner of the Further Information pop-up box. flexiblebenefits@lancaster.ac.uk). 9
Deselecting a Benefit To deselect a benefit, click the swipe button so that it becomes greyed out. flexiblebenefits@lancaster.ac.uk). 10
Submitting Your Benefits Once you have chosen your benefits, click the green Submit button at the top of your screen. You will see a pop-up box with the terms and conditions of the Flexible Benefits scheme which you must accept. Once you have clicked the blue Accept button, a grey message box will appear at the top of your screen stating Benefits Submitted Successfully. The text within the green button will have now changed to Unsubmit. Your benefits have now been successfully submitted. flexiblebenefits@lancaster.ac.uk). 11
Un-submitting Benefits If you decide later in the enrolment window that you want to change your submitted benefit selections, click the green Unsubmit button. This allows you to change your benefit selections. If you wish to make further selections please ensure that you click the Submit button before the end of the enrolment window. flexiblebenefits@lancaster.ac.uk). 12
