ProvisionPoint Overview Welcome to ProvisionPoint. You ve been appointed the Administrator of your Client. As Administrator you have the task of managing all Users of your Storefront Deployment including: Inviting new users to your Storefront Deployment; Deciding if and when you, as Administrator, want to be notified of new user requests to your Storefront Deployment; Either approving or rejecting new users that have requested access to your Storefront Deployment; Editing the properties as well as resetting passwords of existing users of your Storefront Deployment; Updating group assignments for each of the users in your Storefront Deployment; Impersonating users in your Storefront Deployment; Managing user profile fields that have been set to be controlled at the Client level of your Storefront Deployment; Running reports at either the order or item level from your Storefront Deployment as well as exporting the report to Microsoft Word or Excel for further use. ProvisionPoint Login After you log in to the URL provided, you need to follow the steps below In order to access the ProvisionPoint tool. 1. Enter your User Name, Password and select your Storefront Deployment from the drop down menu. 2. Click Login and you will be directed to the View New Requests screen. Page 3
Invite New Users Two links are shown on this View New Requests screen to be used for additional User registration. These links can also be found on the View All screen as well. 1. The first link can be added to any of your marketing materials, automated email programs or web sites to invite users to register with you. This link can also be found on the Edit Registration screen. 2. The second link will open up your email program with the request user access link already embedded. Once the email is received, the recipients will login to the User Access Request screen via the link provided. 3. Once either link is accessed, the new user completes the User Access Request screen. They must complete the First Name, Last Name, Email, Confirm Email, User Name, Password, Confirm Password as well as any additional user-level profile fields that have been previously set. A security code is also included to be completed. Once they click ok, this data will be available for the Administrator to view, approve or reject from the View New Requests screen. Page 4
View New User Requests All Users of a Client can be managed in ProvisionPoint by an Administrator. From the View New Requests menu, Administrator s can invite, view, approve and/or reject users to the Client. As you can see from the example below, Cherry Township Middle School has three users that are requesting access. Quick Approve/Approve New User Requests To approve a new user request, an Administrator has two options: 1. Quick Approve By Quick Approving, the Administrator does not need to review the properties of the requesting user and accepts the default groups assigned to your set of users. Highlight the row containing the user you want to quick approve and click Quick Approve. The user is now approved. Page 5
2. Approve Highlight the row containing the user you want to approve. Click Approve and you re now taken to the Properties screen of the requesting user for review. a. The Administrator can now make revisions to the requesting users properties prior to approving. Changes can be made to the requesting user s Username, First Name, Last Name, Email. b. As Administrator, you can also determine which Storefront screen you would like this particular user to see upon their next Storefront login and/or all future Storefront logins. Select screen name from the drop down menu and check whether or not all future Storefront logins will redirect to said chosen screen. c. The Administrator can also make revisions to any user-level profile fields that have been set for the Storefront site. Revisions to these fields will update said profile fields once the user logs in to the Storefront Deployment. d. If additional Administrators are permitted to be invited/added to the Client, a checkbox appears wherein the current Administrator, when setting this particular requesting users properties, can also appoint an additional Administrator. e. If Storefront Groups have been set to be controlled at the user level, the Administrator can, at this point, make a decision as to what groups each user should be a member of. If the status of a group is indicated as Unassigned, the Administrator can then determine if said requesting user shall be a member of this group. Highlight the group name, click edit at the right-side of the row, set the dropdown to Assigned and then click Update. f. Click Approve at the bottom of the screen for all revisions to take effect. 3. Reject The Administrator also has the ability to Reject a requesting user. This can be accomplished either by selecting Reject on the properties screen or by highlighting the row containing the user and clicking Reject in the top navigation bar. Page 6
View All From the View All Menu, the My Users screen appears showing the name of the Client that s being managed as well as a listing of all users. The Administrator can now revise the properties, enable, disable, reset a password or impersonate users for that Client as well as invite individuals to become members of a Client. Edit Properties of User All User Properties can be edited by the Administrator 1. Once the user s row is highlighted, click Edit. 2. All user properties (such as username, user profile information, group information, etc) can then be edited from this screen. 3. The User s current status can also be revised from this screen. Select Active/Disabled from the Status dropdown to make the change. 4. The Administrator can also direct which page this specific user is directed to on the next Storefront login. By checking the box Keep selected page on all future Storefront logins, the user will be directed to this chosen page on all future logins. 5. Any User Profile fields that have been set up to be controlled at the User level can be revised here as well. Any changes made will not update in the Storefront User Profile until said User logs in. 6. Group Assignments Any groups that are available to the User are listed here and can be controlled by the Administrator. 7. Once revisions are made, click Save or Cancel. Disable a user Without viewing the User s Properties, the Administrator can disable a User s pending or active status with one click. 1. Highlight the user s row and click Disable in the top navigation bar. Enable a User Similar to Disabling a User, the Administrator can enable a User s pending or disabled status with one click. 1. Highlight the user s row and click Enable in the top navigation bar. Reset Password An Administrator can easily reset a User s Password. 1. Highlight the user s row and click Reset Password. A message will be shown that the Password reset successfully. An email has been sent to selected user. The user must then follow the link in the email they receive for directions to resetting their password. Page 7
Impersonate An Administrator can impersonate a User in the Storefront deployment. 1. Highlight the user s row and click Impersonate. You will then be directed to the User s login page in the Storefront Deployment. User Registration Links are shown on the View All screen for additional User registration. These links can also be found on the View New Requests screen. 1. Reports Administrators have the ability to run reports at either the order or item level. Each report can also be filtered based on the status of the order/item in Storefront. Order Reports 1. Select View Orders from the side navigation menu. Filter the Report as needed using the Data Filter drop down. 2. Your Report can also be exported to Excel or Word by selecting your chosen format from the Export To drop down and clicking Go. 3. You re now prompted to either open or save your file. Item Reports 1. Select View Items from the side navigation menu. Filter the Report as needed using the Data Filter drop down. 2. Client Profile Fields As a Delegate Administrator you have the ability to control User Profile fields that have previously been set to be completed at the Client level. 1. Any User Profile fields that have been set to be contolled at the Client level appear and can be completed. Note: These revisions will update the profile fields in Storefront once each user of the client logs in to the deployment. 2. Complete the fields shown and click Save. Edit Registration As a Delegate Administrator you have the ability to make decisions regarding all new user registrations. 1. Select Edit Registration from the side navigation bar to manage the registration properties for your Client. 2. The Clients Registration Link appears which can be used to request new user access for this Client. This can be cut and pasted and added to any of your marketing materials where you would invite potential new users to you site. Once you click on the link, the Request User Access screen appears. First Name, Last Name, Email, Confirm Email, Password and Confirm Password are all required fields as well as any additional user-level profile fields that have been previously set. There s also a security code that needs to be completed. Click OK. Page 9
3. The Delegate Administrator can determine whether or not to allow new registrations for his/her Client by checking/unchecking Allow new registrations. 4. If new registrants are allowed, the Delegate Administrator can determine whether or not to restrict the number of registrants to the Storefront Deployment. If checked (restricted), the Delegate Administrator can then determine the number of successful registrants allowed in his/her Client. This screen also shows the current number of successful registrants within the Client. As Delegate Administrator, you can also determine the expiration date of all successful registrants by selecting from the Registration Expiration drop down. 5. If new registrants are not allowed, the additional information is grayed out. 6. Click OK. Notifications Email Notifications can be sent to the Delegate Administrator when a User requests access to the Storefront Deployment. The Delegate Administrator can also control if Users should be notified of either their acceptance or rejection to the Storefront Deployment. 1. Outbound Email Address (From:) This is the from email address which will appear on any emails ProvisionPoint sends. 2. Delegate Administrator Notifications The Delegate Administrator can select whether or not to receive email notifications when access has been requested by a User. 3. User Notifications The Delegate Administrator can select whether or not the requesting access User should be sent an email notification advising of rejection or acceptance. 4. After selections are made, please click Cancel or Save. Page 10
Change My Password The Delegate Administrator has the ability to change his/her password from the left navigation bar. 1. Enter Old Password, New Password and Confirm New Password (all required fields). 2. Click Change Password. You will receive a message New password saved successfully.) Forget Login Password? If you forget your password, you can easily reset it. 1. Click Forgot your password? on the ProvisionPoint login screen. 2. Select your Deployment from the drop down and enter your User Name (both are required fields). 3. Click Reset Password. You will receive a message stating Reset successfully. You will be receiving an email message momentarily with a temporary password and a link to change your password. Page 11
4. The email you receive will contain a temporary password as well as link to reset your password. Follow the link to the Change Your Password screen. 5. Enter your User Name, the Temporary/Previous Password (from the email), your New Password and Confirm New Password (all are required fields) and Click either Change Password. 6. Once your click Change Password you will receive a message stating Your password was changed successfully and a link Click here to login to take you back to the ProvisionPoint login screen. Page 12
