GFI product comparison GFI MailArchiver vs. Microsoft Exchange 2010

GFI MailArchiver GFI MailArchiver is an industry-leading email management solution. It is used globally by administrators to lower email management costs and help companies comply with data storage regulations. By giving users direct access to their archived email, GFI MailArchiver reduces the need for PST files, thereby diminishing the problems these files cause for end users and administrators. In recent years, email has become the major means of communication for most businesses, making email archiving email a business necessity both for business continuity and to meet exacting compliance needs and perform ediscovery. GFI MailArchiver includes MailInsights reports as part of the standard solution, providing companies with valuable business intelligence. This gives administrators and senior managers the ability to produce detailed reports to help determine what email is being used for in their organization. It provides an ideal mechanism for handing over projects with a full list of contacts, and for monitoring the flow of non-business related email that is sent and received within the organization. MailInsights provides a level of data mining within email archives that no other archiving product can match. It is not sold as a costly add-on but as an integral part of the latest version of GFI MailArchiver. Microsoft Exchange 2010 Microsoft Exchange 2010 is the latest edition of Exchange and comes with a host of improvements including new deployment and storage options, enhanced inbox management capabilities and personal email archiving built-in. Exchange 2010 helps lower costs and enhance business outcomes. GFI has always focused on the SMB (small and medium-sized business), providing administrators with costeffective solutions that are tailored to their needs. GFI MailArchiver continues in this tradition providing a valuable solution to SMB administrators looking to cut operational costs, streamline their IT, reduce support costs and provide a repository for company email. GFI MailArchiver integrates closely with Exchange, including the latest release Exchange 2010. GFI MailArchiver integrates with Exchange in a Microsoft-approved manner via journaling, unlike stubbing-based competitive products which increase the load on Exchange and slow down Outlook access for heavy email users. Exchange archiving Exchange 2010 delivers integrated email archiving functionality including granular multi-mailbox search, item-level retention policies and instant legal hold making it easier to address compliance and discovery issues. Administrators gain centralized control of all archives while users are given direct access to their archived mail, including a familiar archive experience that does not disrupt the way they manage their inboxes every day. GFI MailArchiver vs. Microsoft Exchange 2010 2

Microsoft Exchange 2010 GFI MailArchiver Cost Reliability Business insight reports Integration Organizations need to purchase Exchange Enterprise CALs. Exchange Enterprise CALs cost $35/seat. Since the archive is stored along with the mailbox, if the mail server goes down, so does the archive. No business intelligence features. Exchange will only archive and index Microsoft s own formats. Very cost-effective. GFI MailArchiver pricing starts at $30/seat with volume discounts available. GFI MailArchiver runs separately from the mail server and thus is always available. The MailInsights reporting module helps business owners better understand their organization and its behavior by leveraging the rich data in email through a set of reports which: Help improve productivity by showing what the workforce is using business email for and taking action when issues are identified Measure, report and help you improve support and sales email response times Allow you to monitor email attachments to prevent sensitive or confidential data leakage Give you the ability to perform before-and-after analysis to see how restructuring affects company communications Allow the administrator to produce visually attractive reports that contain business critical information. GFI MailArchiver understands that SMBs want to run the software that best suits their needs and is thus committed to being vendoragnostic in what it will archive. GFI MailArchiver supports 140 file formats (including all the common office formats) out of the box for indexing and searching attachments. GFI MailArchiver vs. Microsoft Exchange 2010 3

Microsoft Exchange 2010 GFI MailArchiver Laptop and other offline users The archive is not available offline. GFI MailArchiver gives users the ability to read archived emails (including attachments) offline by keeping a configurable subset stored locally. The administrator can control the size of the offline cache. Support Exchange 2010 runs only on x64 Server 2008 which may force SMBs to get new hardware. Runs on Windows Server 2000/2003/2008 32-bit and 64-bit so organizations can leverage their existing hardware investments. Also supports Windows 7, Vista and Windows XP for the Outlook Connector. Storage Exchange 2010 does not have single instance storage, so storage needs will grow very quickly and be increasingly hard to manage. Exchange 2010 does not compress archived emails. GFI MailArchiver keeps a single copy of an email and its attachments. GFI MailArchiver compresses both emails and attachments. The compression is smart: it will only compress an email if it detects that the compressed version is smaller than the uncompressed version. By making more efficient use of storage, you get lower costs, faster backup and faster Exchange performance. Access Exchange 2010 archives are accessible via Outlook 2010 and Outlook 2007 as well as the web interface. Users can access their archived emails either via GFI MailArchiver s web interface or else via the GFI MailArchiver Outlook Connector which supports Outlook 2010, Outlook 2010 and Outlook 2003. Users can also access their email archive via any other device via IMAP, including iphone, ipad and Android. If Exchange has archiving why do I need GFI MailArchiver? Exchange archiving is a personal archive intended to replace PSTs and is not suitable for the reliable, robust, scalable, long term storage solutions of an organization. The way Exchange stores the archives makes it prohibitively expensive for organizations in terms of storage costs. If Exchange 2010 solves the PST problem then why do I need GFI MailArchiver to solve my PST problem? GFI MailArchiver provides a central repository for email for long term archiving and searching. Offloading Exchange and solving PSTs are pain points that GFI MailArchiver can help administrators deal with, but they are not the sole, or even the main, reasons for SMBs to implement a business archiving solution.
