Infr EAM Mbility Initiative Overview Charles Cunty utilizes the Infr Enterprise Asset Management (EAM) system t prvide a pwerful, integrated tl t fully manage all aspects f the equipment and wrk rders (WOs) f the Department f Public Wrks. T maximize the pwer f this system, the Cunty synchrnized the EAM with the Cunty s GIS layers, launched a mbile initiative, and implemented a data analytics prgram. The Infr EAM Mbility Initiative prvides staff in the PW, Utilities Divisin (UT) and Facilities Divisin Buildings and Trade (B&T) the ability t remtely cnnect via mbile devices t EAM. Utilizing ipads and Tughbks, maintenance wrkers, technicians and management have accurate, real-time data available frm any lcatin t access, update and manage wrk rders and assets. Prir t the Mbility Initiative, EAM use was hampered by the fact that it culd nly be accessed frm desktp PCs. This was sufficient fr management and sme supervisrs; hwever, mst f the staff members requiring access n a daily basis were the field technicians and maintenance wrkers wh were nrmally ut f the ffice while perfrming their duties. The initiative was launched by IT in cllabratin with B&T and UT, t prvide a cnnectivity slutin t enhance the efficiency and effectiveness f mbile staff members. Implementatin f this initiative has streamlined wrk rder prcessing, increased prductivity, and prvided pertinent data fr effective management analysis tls. Implementatin B&T Implementatin: B&T technicians & custdial staff were ften unreachable while maintaining Cunty public facilities After much research and testing, decisin was made t utilize ipad devices in cnjunctin with the Infr EAM Mbile fr ipad app (Infr mbile app) Charles Cunty was nly the secnd municipality in the U.S. t utilize the Infr mbile app, and was by far the largest installatin Frty (40) ipads were purchased, cnfigured, cnnected t ur MDM system, AirWatch, and deplyed Extensive training was required t familiarize B&T emplyees with basic IT standards and tls, as well as the ipad device itself. Tw classes were develped and cnducted by IT staff: The first class cvered IT plicies, netwrk IDs, the Cunty s email system, the MDM system and itunes accts. ipads were distributed with instructins n basic security, usage and care The secnd class fcused n the Infr mbile app, cvering functinality and prper use in the field Staff was brken int grups by functin (custdians, electricians, etc.) and sessins were cnducted fr each grup
Since the mbile initiative, a typical day fr B&T wrkers nw begins with lgging int the Infr mbile app t determine their cleaning and maintenance tasks fr the day. As they cmplete tasks at varius remte lcatins, they can enter the details int the app, allwing them t track their time r dcument specific issues. At the same time, e-mails are autmatically sent t requestrs letting them knw the status f their wrk rders. Facilities wrkers can als utilize the ipad camera t send pictures f intricate pieces f equipment t ther staff fr assistance. As B&T staff drives frm lcatin t lcatin, they have the use f Apple Maps t prvide turn by turn directins. While ut in the field, real-time access prvides B&T staff with up t the minute infrmatin as the EAM system is cnstantly syncing with the mbile device. In ur rural cunty, emplyees may temprarily lse cnnectivity frm their mbile devices when traveling t remte lcatins. Hwever, the Infr mbile app prvides stre-it-frward functinality, such that as sn as emplyees are within range again, any updates they made t the Infr mbile app while uncnnected are autmatically synced with the system, and cnversely, any updates made t the EAM system are updated n the mbile devices. UT Implementatin: UT persnnel manage a twenty millin-gallns-per-day wastewater treatment plant, six satellite wastewater treatment plants, ver 100 well sites, water twers and pump statins, as well as a substantial amunt f buried infrastructure UT staff has a critical need t pinpint the exact lcatins f assets fr effective management and maintenance Utility assets are gecded GIS synchrnizatin is a critical cmpnent f the EAM sftware that was required in the field IT wrked with UT t find the best mbile device fr UT staff t access EAM and display mapping infrmatin Panasnic Tughbks were chsen fr their rugged reliability and ability t perfrm in all types f wrk envirnments T date fur (4) Panasnic Tughbks have been deplyed fr UT use, with mre expected as funding is btained In the past, searching fr the exact lcatin f an asset such as an undergrund line r valve culd be extremely frustrating and time cnsuming fr UT staff. The Tughbks, cupled with the GIS synchrnizatin, allws users ut in the field t pinpint a specific asset lcatin as well as generate a wrk rder directly frm the asset pint. Prviding Tughbks t key UT persnnel t take advantage f GIS synchrnizatin and mbile access tk apprximately six mnths t accmplish.
Results The Infr EAM Mbility Initiative has prven very beneficial, bringing the pwer f EAM int the hands f staff anytime, anywhere. Nted imprvements t business prcess include: Prviding staff immediate access t wrk rders and asset histry, increasing their ability t crrectly diagnse, repair and perfrm preventive maintenance n Cunty assets Mbilizing staff and eliminating trips back t the ffice fr assignments Prviding field staff with a mechanism t cnnect t the Cunty GrupWise email system, vastly imprving cmmunicatin with supervisrs Allwing staff t bk the number f hurs it takes t cmplete a task in real-time and accurately calculate the cst f maintaining Cunty s equipment, in additin t reducing the wrklad f jb supervisrs wh previusly perfrmed this task Allwing technicians t create field-based wrk rders and retrieve detailed and histrical infrmatin abut assets Leveraging the integratin f EAM with GIS mapping and layers Utilizing mapping t ptimize rute sequencing based n asset lcatins Enhancement f cmmunicatin and cllabratin as a result f access t Cunty e-mail system, built in cameras and FaceTime (ipad users) eliminating the need fr radis The mbility initiative is expected t reduce per wrk rder labr csts and generate substantial savings due t better cmmunicatin regarding service issues and related parts, expedited service delivery, as well as mre effectively managed preventive maintenance Attachment Article frm the Charles Cunty Emplyee Newsletter, the Eagle Eye, highlighting the new Infr EAM Mbility Initiative.
