3 1 Sharing files and folders through SURFdrive 1.1 Introduction Any file and/or folder can be shared in two ways: with other SURFdrive users or with anyone else (through a public link). All files and folders that are shared show 'Shared' next to their filenames. To see with whom a file or folder is shared, you can click the 'Shared' text next to the shared item. To share a file and/or folder, you must use the web interface available at Before you start: security considerations SURF is doing it's very best to protect your data from unwanted access. Authentication and authorisation are strictly regulated by SURFconext (a federative infrastructure based on SAML2.0). All transport to and from SURFdrive is encrypted with HTTPS; however, the data itself is not encrypted. If you feel these measures are not enough to protect your data you should take extra steps to make your files even more secure, for example by encrypting the data yourself with 3rd-party tools. 1.3 Sharing files/folders with other SURFdrive users If you would like to share a file with another SURFdrive users, click the 'Share' text next to the item you want to share. An input field will appear, where you can search for other SURFdrive users. The results will be displayed immediately after you start typing. Note: only users who have logged in at least once to SURFdrive are displayed. Note: currently other SURFdrive users are displayed as Firstname Lastname. If two users have the same name (i.e. John Smith), it's not possible to discern between them. We are working hard to resolve this, by adding an address (i.e. John Smith <[email protected]>). This feature will be available soon. After clicking the name, the files are shared with this user. They will appear in his/her SURFdrive under the folder 'Shared'. By default, the user you have shared files with can also edit your files, which means he/she can replace your file or if it's a directory, upload new files. You can change this to read only by unchecking the checkbox 'can edit'. There are more permissions you can set. Unveil them by clicking the triangle icon after 'can edit'. 3/5

4 Here you can set the following permissions: Create: user(s) you have shared files with can create new files and folders Update: user(s) you have shared files with can modify the shared file(s) Delete: user(s) you have shared files with can delete the shared file(s) Share: user(s) you have shared files can reshare your file(s) with other users If you want to stop sharing a file/folder you can click the 'X' next to the name of the user. 1.4 Sharing files with anyone else (users without a SURFdrive account) Sharing files with somebody who doesn't have a SURFdrive account can be done using the 'Share link' option. This will generate a unique link that you can send to anyone. Clicking this link will open the shared file/folder in the web browser. Note: by default, the link that is being generated is public. This means, if someone accidentally guessed the link to your share, he/she will also be able to access your shared file(s). You can add an extra layer of security by protecting the link with a self-chosen password. To do this, click the checkbox before 'Password protect' and enter a self-chosen password. 4/5

5 When sharing a directory you can enable the option 'Allow Public Upload'. This means user(s) in possession of the link to your share can upload new files through the web browser. Note: allow public upload only works when sharing directories! You can also set an expiration date which means the link will expire after a certain date, such that your share is not available anymore. 5/5
