2 About this guide About this guide This guide is intended to help you configure your Desire2Learn . Common configurations are covered in detail. Important Access to features in the Desire2Learn Learning Environment is dependent on your permissions. You may not have sufficient permissions to access all of the features described in this guide. Some features described in this guide may not be available if you are using Desire2Learn Essentials. Preparing for setup Before you begin setup of your Desire2Learn system you will need to have the following information prepared. The organization s domain Your organization must determine what domain it will use for sending and receiving Desire2Learn . The domain is what appears after in the address. If you are one of many organizations using the same instance of Desire2Learn your domain value must be unique across the organizations that use the same installation. If you attempt to save a domain value that is not unique you will receive an error message. Please consult your Desire2Learn Account Manager if you require guidance by Desire2Learn, Inc. 3 Determining your configuration Servers used for IMAP If your organization is providing access to IMAP , you need to determine the name of the server that users will access for their IMAP . Desire2Learn allows each role to access a different server for IMAP . Storage space allocated for If your organization is providing the capability to receive , the organization must determine how much storage space to allocate each Desire2Learn user. When establishing space allocation you must consider how much space is available on the file server, as well as limits on message and attachment size. The amount of storage space that a user is allocated limits the size of all the messages, sent and received, including attachments that the user can store and drafts the user saves. If a user fills 95% of his storage space, he will no longer be able to compose a message. A message will inform the user that room must be made on the account before messages can be sent. If storing a sent message would exceed a user s allocated space the message will not be sent instead an error will explain why the message cannot be sent. Messages that cause users to exceed their allocated storage space will not be delivered. The sender will be notified that the message cannot be delivered because the mailbox belonging to the intended recipient is full. Note The default value for the DOME storage space variable is 0 Kb. 0 Kb indicates unlimited storage space. The Desire2Learn Postmaster Messages that inform users that could not be sent originate from the Desire2Learn Postmaster address. Once your organization has determined it s domain you can save the address and name that Postmaster messages will be delivered from. Determining your configuration This section contains descriptions of commonly used configurations. Customized configurations are possible by determining if each DOME variable and Security setting should be turned on individually. If your organization chooses Send-Only , everyone within the organization will have Send-Only . Some permissions can be customized by role. If your organization opts for Full , tailored permissions can be given on a role by role basis, including reducing roles to Send-Only capabilities. External Refers to messages sent to or received from an address that exists outside of the Learning Environment (another domain) by Desire2Learn, Inc. All rights reserved 3

4 Determining your configuration Internal Refers to messages that are sent between mail accounts inside the Learning Environment. The sender and receiver both have addresses that are part of your organization s domain. Send-Only Send-Only allows users to send to, compose, and send , but not receive them. Users are provided with an address book containing contacts from the courses they are enrolled in. They may or may not be able to add additional contacts. Users are not given a Learning Environment specific address. Additional disk storage space is not required for Send-Only . Copies of sent messages are not stored in the Learning Environment. Note Encourage users to change their settings through the tool. They can specify an external address to populate in the Reply to field for sent s and the CC field so users can maintain a history of their messages externally. Course Course provides users with an account that they can use to send and receive s from other users in the Learning Environment. Users cannot send s to or receive s from external accounts. The system automatically populates their address books with contacts from the courses they are enrolled in. Users may be allowed to add contacts of their own to the address book. Full Full provides users with an account that they can use to send and receive s to both internal and external contacts. The system automatically populates their address books with contacts from the courses they are enrolled in. Users may be allowed to add contacts of their own to the address book. IMAP When an IMAP server is specified in the configuration variables, users can manage their accounts without downloading messages to their local computers. A different IMAP server can be specified for each role. IMAP can be used in conjunction with any of the configurations mentioned above. Combining configurations Each common configuration is based on a set of individual permissions. Note It is possible to give users the ability to turn off on a per course basis. The course will not be listed in the Filter by drop-down list. Thereby, contacts from the course will not be listed in the address book and they cannot view messages specific to the course by Desire2Learn, Inc. All rights reserved 4

5 1 Save your organization s domain in the DOME configuration variable d2l.tools.mail.d2lmaildomain. 2 Save the Postmaster s Address in the DOME configuration variable d2l.tools.mail.postmasteraddresss. 3 If your organization is using Course or Full , save the per user storage space limit (in Kb) in the DOME configuration variable d2l.tools.mail.storagespace. Storage limits can be set for each role (click the Add Value icon to add additional roles and values). The default value for this variable applies to all roles that don't override it. 4 To use one of the common configurations follow the settings in the Desire2Learn Configuration Options chart. Or To use a specialty configuration use the information in the Desire2Learn Configuration Options chart in conjunction with the full lists of DOME Configuration Variables and User Security Permissions in the guides listed in the Related guides section, p. 2. Desire2Learn configuration options The following chart indicated the settings required for DOME Configuration Variables and User Security Settings for each of the commonly used configurations. DOME variables not listed in the chart below do not need a specific setting. Security Settings not listed in the chart below do not need to be enabled for the configurations listed. For a situation where different configurations are used for different roles set the DOME variables for the most powerful configuration, and then carefully set permissions by role.
