3 Before You Get Started LifeSize Connections Roles LifeSize Connections is a managed, cloud-based HD video collaboration service. It was designed to be easy to deploy, use and administer. The LifeSize Connections infrastructure-as-a-service (IaaS) offering leverages the power of our hosted cloud infrastructure to significantly reduce the complexity and load on IT resources compared to traditional on-premises deployments. Before getting started, it is important to understand the three roles associated with the service: Administrator, People and Rooms. LifeSize Connections is structured to be a centralized service that is set up and managed by an Administrator, who is responsible for creating the company s Connections account and setting up the end users accounts, whether those are desktop seats or meeting room seats. The Administrator needs to know only basic information about the People and Rooms to create their accounts. Administrator The Administrator is the user who has been granted permission to manage and oversee your company s deployment of LifeSize Connections. Among other things, this individual is responsible for creating seats for individual end users and meeting room endpoints within your organization. We call these two kinds of seats People and Rooms, respectively. By default, the Administrator is not assigned a People or Room account. The Administrator does not necessarily need to be an end user of the Connections services, although most Administrators are as a convenient way to communicate with other end users and meeting rooms throughout the organization. account requires knowing the serial number of the endpoint and that it is assigned a name, such as The Boardroom. Automation LifeSize Connections automates most common administrative tasks. Communications LifeSize Connections delivers all service- and account-related communications via , including the sending of Administrator and People user account credentials. It is critical to ensure that you are able to receive s successfully from the lifesizeconnections.com domain. When you provide your Administrator s address during the account creation phase, there is an option to send a test to the address you provided. This is to help you determine whether you can receive from the LifeSize Connections cloud. If you initiate a test and it is not received moments later, please check your spam folder and/or modify your spam settings to allow s from the domain lifesizeconnections.com People People are end users who have been assigned a personal desktop seat within your company by the Administrator. These are currently available for use with either a Mac or a PC. The Administrator need only know the addresses and first and last names of end users in order to create People seats for them. Rooms Rooms are LifeSize endpoints that have been allocated a meeting room seat within your company s deployment of LifeSize Connections. Setting up a room LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 3

4 User Credentials When you create People accounts, the LifeSize Connections service automatically sends an to each user with account credentials and instructions on where to download the software for PCs and Macs. Room Configuration Rooms generally do not have addresses. When the Administrator creates Room accounts, he or she will need to enter the serial number for that endpoint and name the room. Once the Room seat has been assigned to an endpoint, the Administrator or a colleague will need to select Enable Connections on the endpoint. Then, the endpoint will contact the LifeSize cloud service, identify itself by serial number and receive its configuration and directory information automatically. Directory Services All People and Room accounts created will automatically be able to see the directory of all desktop users and rooms in your LifeSize Connections deployment. 5 Terms Administrator The Administrator is the user who has been granted permission to manage an organization s LifeSize Connections account and service. Administrator Portal The Administrator Portal is the secure, web-based console where the Administrator creates and manages the subscription(s) and the People and Rooms seats for his organization s LifeSize Connections account. The Administrator Portal also contains valuable reports on usage and detailed call records. Administrator Portals are accessible at You must have valid Administrator s login credentials to enter the portal. Connections ID The unique identifier for all People and Rooms assigned to LifeSize Connections seats, active or inactive..csv file A comma-separated values (CSV) file stores tabular data (numbers and text) in plain-text form. This file format is editable in commonly available spreadsheet and text editor applications. Endpoints A general term for LifeSize HD video systems hardware. People A seat that grants user access via a soft client (PC or Mac) that is assigned to a specific end user of LifeSize Connections. Purchased Subscription Voucher A flexible method for subscribing to LifeSize Connections that is available exclusively from LifeSize Partners. Rooms A seat that grants user access via a room endpoint that is assigned to a specific serial number. Seats (or Users) The unit of measure for subscribed access to LifeSize Connections. Each seat may be assigned to a single Connections ID at a time. Slider The mechanism for adjusting seat quantity and subscription time in an annual voucher based subscription. Soft Client A general term for software that can access the LifeSize Connections service. Subscription(s) A combined metric of the number of active seats for a specific period of time. Adjusting Seat Quantity LifeSize Connections was built with a variable consumption functionality that enables you to increase or decrease the number of available seats with ease. Depending on how you purchased your LifeSize Connections subscriptions, you can adjust your subscribed seats as follows: Using Subscription Vouchers LifeSize Connections vouchers may be consumed variably from 80% to 1200% of their denominated face value (seats). For instance, with a 10-seat annual voucher, usage may be consumed at rates from 8 seats over 15 months up to 120 seats over 1 month. The consumption rate may be changed as needed, even daily. Multiple changes may also be made within the same day. The intraday peak will be used for calculating subscription consumption for the day. To change seat quantity, navigate to the People tab and click Change Seat Quantity. The slider tool allows you to easily adjust the seat quantity and duration of service within the limits mentioned above. Changes do not take effect until you click Apply. Unredeemed vouchers will automatically expire five years from purchase date. However, once activated, a voucher is subject to the usage rate described earlier. The tables above detail the purchase and use options for a 10-seat and a 25-seat voucher purchased monthly, quarterly, biannually and annually. Again, changes may be made as often as needed. LifeSize Connections will do all the math for you, automatically adjusting the service date accordingly. 20 download the software. Your guest needs only to download and install the soft client and then login using the guest login code. He or she will then be able to call you and receive calls from you. You can easily see the guest code by clicking on the Information (i) associated with the guest in your contacts. To disable a guest, simply remove him or her from your contact list. Making Calls and Other Collaboration Functions Make a Video Call Simply find the person or meeting room in your contact list you wish to call. If their presence button is green, they are available and you simply need to click the Call icon to call. One of the first features you will notice with Connections is the high quality of your video call. Your HD video call is delivered at 720p30. LifeSize Connection s adaptive bitrate control ensures the highest quality video available for your given connection, providing the best frame rate and resolution combination. Make a Voice Call If you prefer to make a voice call, simply click the Voice Call icon to dial. A call window will appear with your outbound video turned off. At any time during the call, you can turn video on by clicking the Webcam icon in the lower right of the call window. Send a Chat Message You can send an instant message to anyone, anytime whether you are in a call or just want to make contact via chat. When you click the Chat icon next to your contact s name, the Chat window opens and you are ready to type your message. Receiving Calls Inbound calls have an audible ring and display a message at the bottom right of your screen. If you are not in a call already, you will be prompted to accept or ignore the inbound call. You can choose to answer with Inbound While In Call video enabled (default setting) or not by checking or unchecking the Video Enabled checkbox before answering the call. If you are already in a call, you will have the choice to Conference, Switch or Ignore the inbound Inbound While Not In Call call. Conferencing an inbound call will join your current call and the inbound call in a multiparty conference. Switch hangs up the current call and answers the new inbound call. Multiparty Calling LifeSize Connections enables you to conference with several people at once in a multiparty call. There are two easy ways to place multiparty calls. First, you can create a conference by adding multiple people and placing the call to everyone at the same time. You simply click the Conference icon and start adding members to your conference list. When you have added all the participants, click Call Now. If you are in a call and want to add additional callers to the call already in progress, you simply click to call additional individuals and they will be conferenced in to your existing call. Callers can leave the call when they wish without interrupting the continuing call. Data Sharing When you are in a call, you can share your screen or a specific application window with everyone on the call. In the lower right of the screen, you will see an icon for data sharing. Click it while in call and you will be prompted to share your desktop or select a window. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 20
