2 HOW TO IMPLEMENT ISO 9001 WITHOUT DOCUMENTATION Here are several ways that you can eliminate the high volume of documentation when implementing ISO 9001 : 2015 version of the quality management system. 01. Create a QMS dashboard for all users Create a virtual dashboard for each employee engaged in QMS activities and include all the requirements falling within the 10 clauses in the ISO 9001 : 2015 international standard in just one screen. 02. Visualize the QMS Make the whole QMS story simple and visible for any employee to understand. Make the application of the P-D-C-A and the 4M methodology, practical to the user. 3 03. Automate Process inputs One of the key aims of the ISO 9001 standard is to achieve consistancy in process output. Therefore the internaitonal standard places much emphasis in 'planning' the process Inputs which is commonly known as the 4 'M' s. Therfore automate the process imputs and create a dashboard for each process owner to see how well their process input are controlled. 04. Automate Process outputs carryout customer satisfaction surveys without engaging employees time and effort. Computer systems can automatically detect and send satisfaction surveys by to customers, suppliers, regulators and employees at planned frequencies as determined by the organization, and the results analyzed and reported automatically. 4 05. Share Procedure manuals Upload standard operating procedure manuals and all other organizational manuals to one central share-point administered by a document controller. Then give access to all organizaitonal procedures to relevant employees and thereby eliminate the neeed to have duplicated copies of procedures In all departments. 06. Share documents Upload the master forms and formats to one central share-point to eliminate duplicated documents being maintained separately by each department. Then you can give access to all employees to the master document control file and eliminate risk of employees using obsolete documents. 5 07. Auto capture quality system data Develop a simple, but powerful system for any employee to take corrective actions when nonconformities are detected within the organization. Whether it is a customer complaint, product NC, supplier nonconformity, internal audit finding report, service failure, hazard observation or any other failure report, keep the 'action button' at the finger tips of the employees, so that they can quickly raise corrective action requests and send pop-up notifications to the people responsible for the action, while visually monitoring the completion of the corrective action Use data analytics Carryout management review meetings on-line by making QMS performance data available real-time. During meetings etrieve live data quickly, drill down to analyse and view data as required to take effective management decisions for improvement of the quality system. Reporting and approvals Create management reports related to the quality system, submit it to the management, obtain management approvals and track approvals to keep the top management of the organization fully informed of the effectiveness of the QMS. 10. Problem solving projects When complex problems arise create projects and give virtual access to cross functional teams to share ideas, information and accumulate knowledge, while keeping auto generated minutes of meetings and decisions taken.
