1 Mini-THON Captain Application Villa Mini-THON Captains must: Be a rising junior or senior (or a rising sophomore who has been a Captain) in good academic standing. Raise a minimum of $150 for the Four Diamonds Fund Dedicate approximately 5 hours each week to Mini-THON responsibilities, before and after school, on weekends and out of school preparations for twelve weeks, totaling 60 hours in preparation time. Be the energy and enthusiasm behind mini-thon, working passionately FTK FOR THE KIDS! Communicate via daily with Captains and Moderators. Be present for the duration of Mini-THON as well as set up and clean up. ***Application must be turned into Campus Ministry by Applicant Directions: Friday, April, 8th at 3:00pm. *** Read the attached committee descriptions carefully. Speak with your coaches, instructors, etc to determine what your weekly schedule should look like for next year; even if you are not positive about days of the week that you will have certain commitments, make a note of it. Fill out the application and attach your typed answers to the essay questions and the completed weekly schedule. Return all paperwork to Campus Ministry by 3:00pm on April 8th. *no exceptions* if you are absent please your application to Mrs. McCarthy smccarthy@vjmhs.org by 3:00pm.
2 Please Note: All applications will be reviewed by a committee of faculty members, administrators, and the Senior Overall Chairs. While there will be many qualified applicants, we have a limited number of mini-thon Captain positions. Interviews will be given on an as-needed basis following Easter break during your lunch period or after school. ALL rising juniors and seniors are eligible to apply for captain positions. Rising sophomores may apply for class rep positions next school year. Captain positions will be announced via in April. Villa s Mini-THON Committee Descriptions PLEASE NOTE: ALL Captains must be willing to work together and share responsibilities. Captains must be present at all large group mini-thon meetings (either on Sunday s or a week day morning) and individual committee meetings (agreed upon by each individual committee according to members schedules), the night before mini-thon for set up and the entire day of mini-thon. If you play a fall or winter sport, your ability to commit to your sport must be taken into account. Mini-THON will be Friday, DECEMEMBER 9, Overall Chairs The Overall Chairs are responsible for organizing the 2016 Villa Mini-THON. The Overall Chairs responsibilities include: directing all 7 committees; supporting all captains; delegating tasks; being in contact with Four Diamonds Fund staff; building relationships with families involved with our event; drafting announcements, s, and thank you letters; planning captains meetings, and managing s to captains, faculty and parent volunteers. Overall Chairs must have TIME, PASSION, ORGANIZATION, and OPTIMISM. Overall Chairs must be able to start preparations during the summer months including at least one summer meeting with the Campus Minister. Overall Chairs must be willing to give 5 hours per week in preparation throughout September, October, November and December. After Mini-THON Overall Chairs must complete thank you letters to all major donors and hold a recap meeting with all the captains in a timely manner. Requirements: Must have at least one year of experience as a Mini-THON Captain, must be a rising junior or senior, must be very responsible, have strong leadership and communication skills, excellent work ethic, and good time management. *rising sophomores can only apply for a class representative position
3 ALL COMMITTEE POINT PEOPLE MUST REGULARLY COMMUNICATE WITH THEIR OVERALL CHAIR AND THE CAMPUS MINISTER Food The Food Committee is responsible for organizing all of the food and beverages that will be needed for the event. Captains must be proactive and approach restaurants and food stores in September and October, offer information about our event and the Four Diamonds Fund, and coordinate donations for both concessions and the dancers. Captains will have several meetings with parent volunteers and check on the concession stand during Mini-THON. Major food donations should be secured at least 1 month prior to Mini-THON. Updated donations list must be sent to the Campus Minister in a timely manner. The Finance and Food Committee must communicate to ensure they are not asking the same business twice. All businesses must be approved by the Director of Institutional Advance/VJM Administration before any requests are made. Family Affairs The Family Affairs Committee is responsible for finding and communicating with families affected by pediatric cancer. Captains line up guest speakers for Family Hour and communicate via and phone with parents of children we are dancing for. Captains are in charge of slideshows and letter writing; they are responsible for keeping our attention focused. FOR THE KIDS. After mini-thon the Family Affairs committee must send out the thank you cards to each family in a timely manner. Written communication with families must be approved by committee moderator. Finance The Finance Committee is responsible for collecting all of the money raised for the Four Diamonds Fund throughout the process from registration, fundraisers such as bake sale, and pledge money. This money must be organized and labeled with extreme precision; Captains need to be extremely organized and responsible. Captains also work closely with local businesses who wish to sponsor our event. Updated donations list must be sent to the Campus Minister in a timely manner. The Finance and Food Committee must communicate to ensure they are not asking the same business twice. All businesses must be approved by the Director of Institutional Advance/VJM Administration before any requests are made. Activities The Activities Committee is responsible for organizing what the dancers are going to be doing throughout Mini-THON. This includes creating a schedule of the games and dancing activities, gathering necessary supplies and equipment, and supervising the flow of the day minute by minute. The Activity Committee members need to work together and have all activities set at least 2 weeks prior to mini-thon. Supplies need to be discussed with moderator and approved by the Campus Ministry prior to purchase. Activities Committee members need to be comfortable speaking on stage at mini-thon. Line Dance The Line Dance is performed by all of the dancers at the beginning of every hour throughout the day of Mini-THON. The Line Dance is designed to keep the dancers motivated. The Line Dance Committee will choose the song, create lyrics, and choreograph the dance to go along with it. Captains are expected to create the slideshow for lyrics and model the dance on stage for students to follow. Line Dance captains must work with their moderator and have lyrics approved 1 month prior to mini-thon. Line Dance Committee members must be comfortable dancing on stage during Mini-THON.
4 Class Reps The Class Reps Committee will be the mini-thon leaders for the student body. Captains are responsible for keeping the Villa community informed about all necessary Mini-THON information. Responsibilities range from coordinating spirit attire, handling paperwork and donations for assigned homerooms, the tee-shirt design contest, figuring out what the captains wear the day of, and ordering class items. Class Reps Captains keep everyone excited about the event and mindful of the Four Diamonds Fund Mission. All items must be approved by your moderator and the Campus Minister. Publicity The Publicity Captains are responsible for keeping the Villa community informed about all necessary Mini- THON information. Responsibilities range from advertising launch week, registration, school wide announcements, advertising pre-mini-thon fundraising, updating posters and media, creating all the posters for Mini-THON including business thank you posters, parking signs for mini-thon, & the number countdown in the cafeteria. Publicity Captains should work with their moderator to create a list of local news stations and newspapers in the beginning of the year, contacting them and following up with them. The day of Mini-THON the Captains must be available to meet and speak with these media outlets. All outgoing communication with these news outlets must be approved by the moderator. Social Media posts must be approved by the Principal. The Publicity Captains should let the Campus Minister and Associate Director of Institutional Advancement know if any media outlets are attending Mini-THON.
