1 Introduction Basic Microsoft PowerPoint 2010 Microsoft PowerPoint is a slideshow presentation program that is part of Microsoft Office. PowerPoint allows users to create slide show presentations. PowerPoint is often used to create business presentations, but it can also be used for informal or educational purposes. Slide show presentations may contain text, images, and other media, such as audio clips and movies. Before you begin creating your PowerPoint, remember these tips: o Always consider your audience. o Don t rely completely on the PowerPoint to convey your message. You will need to speak to your audience and expand on the information in the PowerPoint. o Don t be too wordy or make your slides too busy pictures are better than text. o Check spelling and grammar. o Always save your changes. o Less is more! 2 Creating a Basic PowerPoint Presentation Slides are where you place your content: the words and pictures that make up your presentation. You can have as many slides as you want, so don t make them too crowded or wordy. There are different Slide Layouts you can choose. Creating New Slides To create a new slide, click the New Slide picture button on the ribbon. It will appear under the default slide on the left side of your screen. 1 2 If you click on each slide separately, a larger version will appear in the main screen area. You will notice that the two slides look different. Exercise 2: 1. Click the New Slide button to create a new slide. 2. 3 Slide Layouts The slides are different because they have different Slide Layouts. The first slide is a Title Slide, where you generally put the name of your overall presentation and also your name and title. The second is a Title and Content slide. By clicking in the boxes indicated, you can add text. Exercise 3: Click in the boxes to add text to both slides. Creating a New Slide with a Different Layout There are many different Slide Layouts. You can choose a slide s layout when you first create it or you can change a slide s layout once it is created. When you go to create a new slide, instead of clicking the picture, click the words New Slide with the down arrow. This will open a selection of nine choices: 1 Clicking on any of these will create a new slide. Exercise 4: Create a new slide with a different layout. 2 Basic Microsoft PowerPoint 2010 Page 3 of 16
4 You can also change the layout of existing slides. To do that, click on the slide you want to change (it will become highlighted), then click Layout at the top, then you can pick the new layout you want from the drop-down menu Exercise 5: Change the layout of one of your existing slides. 5 Manipulating Slides In the menu on the left-hand side of the screen, you can see previews of all your existing slides. You can move them around, duplicate them, and delete them from this menu. Each slide is numbered. Rearranging Slides To rearrange a slide, simply click one slide and drag it where you want it to go. Duplicating Slides Exercise 6: 1. Rearrange your slide show so that the first slide is now the third slide. 2. Now move them back to their original positions. Right-click the slide and click Duplicate Slide. This creates two identical slides. Deleting Slides To delete a slide, right-click the slide and click Delete Slide. Alternately, you could click on the slide and hit the Backspace or Delete key on your keyboard. Exercise 7: 1. Duplicate your second slide. 2. 6 Blank Slides Creating a Blank Slide If you want more flexibility, you do not have to use Slide Templates at all. You can start from a Blank Slide and insert content yourself. Exercise 8: Create a new Blank Slide. To create a new blank slide: 1 1. Click the words New Slide with the down arrow. 2. Choose Blank from the dropdown menu. 3. Now you will have a completely empty slide. 2 Basic Microsoft PowerPoint 2010 Page 6 of 16
7 Slide Themes Adding a Theme allows you to change slides from black and white to a background colour more pleasing to the eye. Themes can be found in the Design tab on the ribbon. To preview the default themes, either click on them or hover your mouse over them. Basic Microsoft PowerPoint 2010 Page 7 of 16
8 To see more themes, click on the down arrow on the right side of this menu. Exercise 9: Click on different themes to preview what they look like for your presentation. This will open a drop-down menu with many different themes. Pick one that matches the content of your presentation. Basic Microsoft PowerPoint 2010 Page 8 of 16
9 Saving Your Presentation Don t forget to periodically save your work! You can do this by clicking the File tab and then clicking Save. PowerPoint Slide Content Inserting Slide Content into Blank Slides Using the Ribbon To add content, use the Insert tab on the ribbon. Common elements to add to your slides are pictures or text boxes. 10 Inserting a Picture from a File To add a picture saved on your computer: 1. Use the Insert tab 2. Click the Picture icon 3. Navigate to the folder where the picture is saved (for example, the Desktop) 4. Double-click on the picture. It will appear on your slide. Exercise 10: Find a picture on the internet and add it to a new blank slide. 1. Go to and type a search term into the box (for example, lighthouses ). Hit Enter. 2. Change the search parameters at the top of the page from Web to Images. 3. When you find a suitable image, click on it to enlarge it. 4. Once it is enlarged, right-click on it to either Copy it (and Paste it to your slide) or Save Image As, rename the image, and choose a folder or the Desktop. Then you can follow the above instructions to insert the picture.* *Note: For actual presentations, you will need permission to use images. Sources should be properly identified with a text box. 11 Inserting a Clip Art Picture Clip Art is a collection of pre-made graphics built into the PowerPoint program. To add clip art to your PowerPoint, click the Insert tab and click the Clip Art icon. You may have to wait while the clip art database loads. A new window will open on the right side of the screen. Once the database has loaded, you can search for pictures by entering your search term(s). Once the pictures compile, clicking on them will automatically add them to your slide The pictures can be moved around or resized by using one of the sizing handles at the corners of the pictures. Click and drag the handles at the corners to keep the image in proportion. To reposition the image, click it, and the mouse will become a. Then you can move the image to a different position on the slide. Exercise 11: Create a new blank slide and insert clip art. Resize the picture using the handles. 12 Inserting a Text Box To add a text box, click the Insert tab, then click the Text Box icon. The mouse pointer will change to a thin down arrow. Click anywhere on the slide, then drag to draw the text box the size that you want. Click inside the box to begin typing. The text box will automatically expand as you fill it with text, and the font will match that of the Slide Theme you have chosen. To re-position the text box, click inside the box (but not on the letters you have typed). When the pointer becomes a, drag the text box to a new location. Creating a Link To make a word or image into a link, simply highlight it, right-click, and scroll to Hyperlink. Put the web link in the Address box. You can then edit the Text to Display box and click OK. Now there will be a clickable link embedded into your presentation. Exercise 12: Create a new blank slide and insert a text box. Type Lighthouses into the box. Then move the text box to a new position on the slide. Finally, make the word Lighthouses a link to Preview your changes in the Slide Show tab From Beginning. 13 Editing Slide Content Formatting Text Once you have typed your content into text boxes on your slides, you can edit it through the Home tab. All of the standard features are available in the Font and Paragraph sections. Exercise 13: 1. Highlight some text in your presentation, and make some of the words Bold, Italicized, or Underlined. 2. Now undo the changes. Tip: Once you have chosen a Slide Theme, it is best to not change the font, so that your text looks standardized. You can change the size of the font. Spell-Check Tool To spell-check the text on your slides, click on the Review tab, then click the Spelling button. 2 1 Exercise 14: Use the Spell-Check tool on your presentation. 14 Fun Additions to Slides Transitions Slide transitions are animation effects that occur when moving from one slide to another in the Slide Show view. You can customize the animation, the timing, and the sound (if any) that plays during the transition. To add a transition, click on the slide you want to apply the transition to and then click the Transition tab. A variety of animation options are available (such as Cut, Fade, Push, etc.). Clicking the down arrow will show more options. Exercise 15: 1. Pick a slide transition for your first slide. 2. Click the SlideShow tab From Beginning to preview the transition. 3. Apply to All, change the Duration, and add a Sound. To apply the transition to every slide, click Apply to All. Creating an Automatic Presentation The Transition tab can make a slide show automatic or self-running. Under Advance Slide, the duration of each slide can be adjusted by clicking the check mark to the left of After: 00: The time is in seconds, which you can adjust with the arrows. Exercise 16: 1. Experiment with having different times for each slide. Note that you do not have to click to go to the next slide. 2. Click the Slide Show tab From Beginning to preview the transition. 3. 15 Slide Animations To animate individual parts of your slides, select the Animation tab. Click the content on the slide that you want to animate (i.e. the text, title, or picture). Then, click on the animation you want to use. Clicking the down arrow will show you more animation options. Exercise 17: 1. Animate all the elements on one slide. 2. Click the Slide Show tab From Beginning to preview the animations. Like the slide transitions, you can use the options on the right of the tab to customize the animation or set up the animations to run automatically (unattended). An important customization is the ability to Reorder the Animation, making one animation run before another. Usually, the best order is the Slide Title first, then any pictures, then text. A Reminder: Less is More Exercise 18: 1. Reorder the animations on your slide. 2. Click the SlideShow tab From Beginning to preview the animations. Although it can be fun to add different animations, transitions, and sounds to every slide, too many effects can be distracting and make your presentation seem less professional than one that uses effects sparingly. An empty slide design with no pre-formatted template. Artwork that you can insert into a slide presentation. All of the information (text and graphics) added to slides to give the presentation its meaning. The arrangement of items that make up a slide (titles, text, and graphics). A set of slides that contains information you want to convey to an audience. The strip of buttons and tabs across the top of the main window. Tabs include Home, Insert, Design, Transitions, Animations, Slide Show, Review, and View. A page of a PowerPoint presentation. A presentation already formatted with a slide design that includes sample text to guide you in completing your presentation. A blank box where users can input text. Formatting that applies backgrounds, colours, and fonts to slides in a presentation. A slide layout designed to introduce the presentation. Visual movements from one slide to another.
