3 1 Phone Lay out [Type Features on a Polycom SoundPoint IP550 are: 1. Message Waiting Indicator Alerts you to voice messages 2. Display Control Keys Use,,, and (arrow keys) to scroll through menu s, missed, received and placed calls. Use Use 3. Feature Keys to display an item. to remove typed characters (backspace). Directories Applications Conference Transfer Redial Menu Messages Access to contact directories and phone books Access to installed applications Use to set up a conference call Transferring a call Redial last dialed number Access to the menu Access to the Voice Mail messages Manual NDI Advanced Phone Page 3
4 Do Not Disturb Transfer incoming calls to Overflow 4. Microphone Mute Switch the microphone on or off 5. Headset Switch a headset on or off 6. Speaker phone The speaker phone button for hands-free use 7. Speaker Switch handsfree dialing on or off 8. Volume Volume control 9. Dial Pad The key board of the phone 10. Soft Keys These keys are automatically labeled to identify their contextsensitive applications 11. Hold Put a caller on hold or to resume a conversation 12. Speaker For hands-free calling 13. Phone Hook To end calls 14. Speed dial and Busy Lamp Field buttons These buttons can be used as speed dial keys and availability buttons (Busy Lamp Field) Manual NDI Advanced Phone Page 4
5 2 Basic features 2.1 Redial Redial A redial can be done by pressing the button. With the (arrow button) you can open a list of last dialed numbers and choose one of the last dial numbers by scrolling through the list with the and buttons. 2.2 Waiting line You can hold or resume a call by pressing the button or the soft keys hold or resume. When you have more than 1 call on hold you can switch between calls by using the arrow keys: and. 2.3 Set up a conference call Start a conference call: Start a call from your phone. When one call is active you can press the Conference button or the soft key Conf. The active call is put on hold. Dial the number of the person you would like to add and press the soft key Dial. When this second call is active, you can press the Conference button again and the conference call is active with 3 parties. To end a conference call, but not hang up the callers, press the soft key Split. Both calls are put on hold and can be resumed separately. To end a conference call, hang up or press the soft key End call. 2.4 Transfer To transfer a call: Transfer Press the button or the soft key Trnsfer during an active call Press the number you would like to call (internal or external) and finish with the Dial soft key. After talking to the second party press the transfer button to complete the transfer. Manual NDI Advanced Phone Page 5
6 2.5 Forward 3 different forwarding options are available: Always, Now answer and Busy. To set up a forward press the soft key Forward Press the soft key select or the button to select the correct option: Always, all incoming calls will be directly forwarded to the configured number: o To enter a number, edit the contact field o With the you can erase an existing number and then enter a new number o Press the soft key Enable to enable this function. o Note: When a forward is already set to enabled and you want to change the number, you first need to disable, then change the number and enable again. No answer: This is often set by NDI for all phones, but it is possible to adjust it per phone. To adjust, follow the steps as mentioned above. Also set the number of rings in the Forward After Rings field. Busy: This is often set by NDI for all phones, but it is possible to adjust it per phone. To adjust, follow the steps as mentioned above. 2.6 Do Not Disturb You can activate the Do not Disturb option by pressing the calls will now be handled as if the phone would be busy. Do Not Disturb button. All 2.7 Call History With the control keys you can see the call history of your phones: Received calls: Press to see the list and press to scroll down.
