3 The aim of this guide is to support the Erasmus for study reason incoming students with the Application Process to give a practical help during their stay at Trento University informing them about the documents to be collected returned to the offices engaged with the Erasmus Programme and the procedures to be followed. 1. Application Process 1.1. How to apply Once selected by the Home University students may apply for the Erasmus Programme at Trento University.To apply for the LLP/Erasmus at Trento University, students should fill out the online application form available on our website at making sure to carefully read the Decalogue for a correct Erasmus Online Application Form and to attach the documents requested before submitting it by the deadlines which is: 31 st May 2012 for Fall/Winter term and full academic year 9 th November 2012 for Spring/Summer term only The documents to be attached to the online Application form are: the declaration of the Home University issuing that the student has been selected as Erasmus student; a provisional ECTS Learning Agreement; the Transcript of Academic Records/study plan; the language certificate testifying the students knowledge of Italian and/or English if requested; a copy of the student Identity Card or Passport; a copy of the European Health Insurance Card (for EU students) or equivalent insurance/health policy(for non EU students). Regarding the Application Form, please note that: the Italian Tax Code is not a compulsory field and thus you do not have to fill the record; the documents data requested are the ones of your Identity Card or Passport; the application form cannot be submitted if one of the compulsory field has not been filled out or a compulsory attachment has not been upload; an notification is sent to the student after the application submit. Students who need accommodation should reported it on the application form online and will be contacted by the University reference office for the procedures to be followed for the official request Italian Language Course Most of the academic courses and exams organised by the University of Trento are in Italian. Students are therefore required to have an adequate knowledge of the Italian language before they attend the academic courses. Any initial Italian language course undertaken by the Erasmus students at Trento University (at whichever level) will be offered free of charge. Students interested in being pre-enrolled to one of the Italian language courses offered by Trento University Language Centre (C.I.A.L.) have to report it on the online application form after having looked at the calendar available on the website site We 3

4 recommend students to pay attention to the enrolment period also before selecting the course of interest in the Application form online. The Online Placement Test, available in the online Application Form, has been created for giving the students an idea of their Italian knowledge in order to choose the more suitable course. The test is mandatory for all the students. Students are recommended to enroll to the Italian language course personally at C.I.A.L. Secretary s Office during the enrolment dates. Please note that the enrolment is mandatory for being admitted to the Italian language courses and thus we recommend students to take into account that you need to be in Trento before the beginning of the course Home University declaration Students are requested to upload to the application form a declaration of the Home University, which testify that the student has been selected for the LLP/Erasmus Programme. The exactperiod of student s permanence at Trento University as well as the Teaching area of the Erasmus Agreement through which the students mobility is scheduled has to be reported in the declaration which has to be signed and stamped by the student s Sending Institution. A fac-simile is available in the online Application form Provisional Learning Agreement Students have to fill a provisional Learning Agreement reporting the courses they would like to attend during the Erasmus studying period at Trento University. Information on the courses are available on Please note that the number of credits students should achieve at end ofthe Erasmus studying period depends on the Sending Institution. For further information students should contact their Home University Admission Requirements Students interested in the courses offered by the School of International Studies and by the Master in International Management should produce some extra documentation. Information will be given directly to the students interested in these courses Language Requirements Students have to prove their level of Italian and/or English and to upload a certificate testifying the language level requested by Trento University Faculties to the online application form. Please note that even if the language requirements are optional, the Faculties warmly recommend them. For details on the language requirements requested by each Faculty, please look at the table reported here below. Admission Admission at Trento University is sent through an notice of acceptance by the LLP- Erasmus Office by June, 30 th 2012 for application for the 1 st term and full academic year and by 30 th November for application for the 2 nd term. Students who ask for the Opera Universitaria accommodation will get information on the assignation by the University reference office. Information on the stay and documents such as the official enrolment and the personal student number will be given to the students during the check-in desks organized by the LLP-Erasmus Office and scheduled in September (the exact dates will be communicated later on to the admitted students). 5

6 2. Before the arrival Before their arrival to Trento students are reminded to check the contacts of the offices they have to visit at their arrival as well as their opening hours (see Attachment 1 ). Please note that during the weekend and outside the opening hours, the offices are not open to the public. In case of need please contact LLP-Erasmus Office by , telephone for general information or communication on your Erasmus studying period, the Faculty Erasmus Offices for information and requests on the didactical aspects of your Erasmus University Guild/Opera Universitaria Accommodation The accommodation is one of the more problematic topic related to the Erasmus studying period, we suggest all the students to make accommodation arrangements prior to their arrival in Trento or through the University Guild service or private lodgings. The University Guild/Opera Universitaria has available a series of halls of residence situated throughout Trento and located no more than 15 minutes by bus from the city centre. The accommodation is in shared flat for five or six people in double rooms (only) with equipped kitchens and bathrooms (electricity, water, heating, washing machine are included). Towels, sheets, blankets, pillows, pillowcases, telephone, TV and internet connection are excluded. Single rooms are not available for Erasmus students. All rooms are furnished with a bed, a wardrobe, a small chest of drawers and a desk with a chair for each student. Price per person/month, charges included, is 250,00 and students will be requested to pay a deposit at the arrival of 300,00 which will be returned through a money transfer within 60 days after the accommodation contract termination. Students who have been allocated accommodation with the Opera Universitaria have to go to the Opera Universitaria Offices in via della Malpensada n.140 at their arrival (respecting the opening hours)where they will receive: the accommodation keys; the rental agreement; a bank payment form (required for the rent, as well as for the deposit). Opera Universitaria guarantees the reservation of the room for two days after the assigned arrival date, after that date the room will be assigned to another student. In case of arrival after the predicted date students will be asked to pay from the arrival date reported on this . Opera Universitaria will communicate the address of the accommodation at the arrival in Trento, NOT BEFORE. Students who arrive outside opening hours (or during weekends) have to spent first night/s in a temporary accommodation (See below for further information) Temporary accommodation Students need temporary accommodation can spent first night/s at the Trento Youth Hostel (see below for address). The following website could be useful for finding accommodation: Phosphoro website ( and in particular the section for Erasmus students which gives some practical advice; ESN website( in the section "An Erasmus under your Roof" or try getting in touch with the Trento ESN Students association. It might be useful to try contacting other students attending the same Home University, currently residing in Trento, for advice. If they are vacating their current accommodation, the visiting student may be able to take over their room. Otherwise, they can introduce the visiting student to someone who is willing to share. In the Faculties and Libraries you can find notice boards with adds of contacts providing private accommodations throughout the city. 7

8 3. Arrival in Trento At the arrival in Trento students have the impression to get lost among documents and academic stuff. In the following sections we report all the information students may need for helping us to make the procedures run as smoothly as possible. On arrival in Trento students have to: attend the mandatory check-in desk; go to the Agenzia delle Entrate for getting the tax code; go to the Welcome Office for the request of the Permit of Stay (only for non EU citizens); go to the Central Bus Station for the bus pass. Students are warmly recommended to respect the deadlines with the LLP-Erasmus Office, this will make things easier for both the office and the students (see attachment 2). Students have to return personally to the LLP-Erasmus Office: the tax code issued by the Agenzia delle Entrate; an Italian mobile telephone number; a copy of the housing contract for students allocated into a Opera Universitaria residence or the private address in Trento/Rovereto, if the student is not staying at; a copy of the postal receipt certifying submission of the documentation necessary for issue of a stay permit only for students from non-eu countries Check-in desk Students applying for first term and full academic year have to attend the mandatory check-in desks scheduled in September, while students applying for second term have to attend the one scheduled in February. Further detail will be sent to the students via Personal tax code The Tax Code (codice fiscale) is a code based on the personal data of the students, who need it for any payment, to open a bank account, and to enroll in the National Health Service. All Erasmus students have to apply for this tax code and then return a copy of it to the LLP- Erasmus Office within the deadline communicated by the office. In order to obtain the tax code you have to bring the following documents to the Agenzia delle Entrate (Tax office): identity document; signed form for the request of the tax code (available at the Agenzia delle Entrate). The tax code issued by the Agenzia delle Entrate is the only one with legal validity Stay permit (only for Non-EU citizens and Non- EU citizens coming from EU University) The stay permit is the document issued by the police headquarters (Questura) which entitles non- EU citizens to temporarily live in Italy and to travel up to 90 days/semester in any other Schengen countries. The student cannot request a new Stay Permit autonomously as the backing of the relevant offices at UNITN is required, thus at your arrival to Trento you ll be addressed by the LLP-Erasmus Office to the Welcome Office. The first request for a Stay Permit must be submitted at an authorised post office within 8 days of the student s arrival in Italy. In order to request a Stay Permit students must: 8

9 collect the so called kit permesso di soggiorno (envelope with a yellow band containing forms and instructions), available at one of the authorized Post offices; fill in Form 1 ("Modulo 1") in capital letters and with a black pen (we suggest you to ask for assistance at the Welcome Office), sign it and put a 14,62 euros stamp duty on it (marca da bollo); pay 27,50 euros at any Post office with the specific postal payment slip available at one of the authorized Post offices; put forms inside the envelope you will find inside your kit along with a copy of all the documents needed (Form 1, a copy of the student s passport, a copy of the invitation letter signed by the Italian Embassy or Consulate and a copy any private health insurance translated into English or Italian) and the 27,50 euros payment receipt. Do not close the envelope! The documents should be handed in personally, in the open envelop, at a desk in an authorised post office. An identity document must be presented and a postal tax of 30,00 euros must be paid so that the kit can be sent to the Police Headquarters (Questura). A receipt will be issued which must be kept together with the receipt for the 27,50 euros and with the passport and to be shown if requested. Do not loose it, you will need them to pick up the stay permit when ready. Appointment with Questura You must respect the appointment given by the Post Office with the Questura so that your finger prints can be taken. You can ask the Welcome Office for assistance during your appointment at the Questura with 3 working days' notice. Before going to Questura make a copy of all the documents listed below: your passport in all its parts (original is needed also); the appointment letter; the postal receipts given to you when you sent the stay permit application; 4 passport-sized photographs with light background; tax code issued by Agenzia delle Entrate; updated original (and copy) of all documents you had put in the envelope for the request. Please take into account that the Questura wants to see a folder containing the copies of the documentation needed so please, make ALL copies of needed documentation before going to Questura! If a document is missing or if you miss the appointment the stay permit application will be rejected! Should you miss the appointment for health reason you need to apply to Questura for a new appointment. You have to go to Questura during opening times (Monday to Friday from to 12.30, and Thursday also from to 18.00), get a number at the entrance and show it to the information desk together with the letter of the missed appointment and the medical certificate. They will give a new date for the appointment, usually scheduled within the following 3-4 months. Check the status of your Permit of Stay In order to check if your stay permit is ready, before going to the Questura, see the link You will have to use the userid and password that are indicated on the postal receipt. Pick up the Permit of Stay In order to pick up the stay permit you have to go to Desk 6 at Immigration office, Questura, from Monday to Friday from 8.30 to and on Thursdays also from 3.10 to 6.00 by showing the passport in original and all receipts in your possession (both the postal one and the Questura receipt). For further information and support to obtain your Permit of Stay, students can ask to the Welcome Office. EU citizens do not have to request a stay permit, however if they intend to stay for a period longer than 3 months they will have to register themselves at Trento's town hall registry office. 9

10 3.4. Bus travel card Trentino trasporti is the local company for public transport. It is possible to travel by bus in the urban area of Trento or Rovereto, buying a single bus ticket or applying for a monthly/yearly bus pass. In order to get a bus pass students need to submit to the Bus Station the application form along with: a copy of passport/id; a passport-size photograph; [for non EU citizens] the stay permit or the postal receipt of the stay permit application. In the following table are listed the prices for Trento urban area. Students that cannot attend the check-in desk or students of second term can obtain the student card from the Opera Universitaria Student card Office. The student's card is needed to access the university canteens and restaurants. A full meal costs 4,40, a small meal costs 3,90 and a snack costs The University restaurants run by the Opera Universitaria in Trento are the following: XXIV Maggio (via XXIV Maggio, 13); Tomaso Gar (via Tomaso Gar, 18); Zanella (via Zanella, 1/a); 10

11 Santa Margherita (via S. Margherita); Mesiano (Faculty of Engineering); Povo (Faculty of Sciences). A list of University restaurant is on the map available at the following link: In Rovereto students with a student card can have lunch and have dinner at the Ristorante Tandem, at the old folk's home (casa di soggiorno per anziani), which is open all the year round from Monday to Sunday from to and from till Students can always have lunch at the Ristorante Gilda (via Matteo del Ben) from Monday to Friday in the restaurant's opening hours and in the bar-cafeteria Le Arti del MART (corso Bettini) where a full meal costs 4,00 euros. Further information on the University restaurants please visit Opera Universitaria website at Rent-a-bike service: Trento is a small and lovely city. If you want a functional and ecological means of transport for moving around the city, you can rent a bike. There are bikes of the Opera Universitaria at students disposal. Bicycles will be given for three months (although rent can be renewed) to students who have an Opera Universitaria accommodation. Moreover, Opera Universitaria has established an agreement with a local company to rent to students with student card a bicycle on concessional terms. 12 4. Stay in Trento During the first few weeks of the student s stay in Trento, several important University and government procedures need to be performed/initiated. Please note that all the updated documents are available at in the Stay in Trento download box. Please note that you have to refer to two University offices according to their competences: the LLP Erasmus Office and the Faculty/School Erasmus Office The LLP-Erasmus Office deals with: check in desk; administrative matter; enrolment; certificates (Certificate of attendance, of Permanence and Transcript of records); information on the services offered by Trento University; Italian Language courses; use of Online didactics services; extension/reduction of the Erasmus period; check-out. The Faculty/School Erasmus Office deals with: academic aspects of the LLP/Erasmus: advice on the choice of courses; examinations to be taken; learning opportunities; academic timetables; assistance and information on how to fill in the original LA and possible changes; information on how to collect the signature required for LA and changes. In particular, during the stay you have to: change of the informatics system profile to access to IT services; check on the courses reported on the Learning Agreement in the ESSE3 online record book; check the calendar of Italian C.I.A.L. Courses; pay attention to the length of the Erasmus period (in case ask for an extension or a reduction); check the health cover and health services; go to the Central library to get a library card; check the opportunities offered by Uni.Sport and Erasmus student Network Change of the profile in the Informatics system We advice students to change their informatics system profile from "Guest" to "Student". This adjustment will be possible to effect one working day after the Check-In. The student will have to enter the University of Trento website: click "MyUnitn" icon which is found above on the right, select the option "Guest" and enter UserId and Password. Once logged in the student will be provided with a "Student" account and will have to type a password and re-confirm it. Thereafter the student is considered effectively a regular student of the University of Trento and can benefit from the Univerity's services for students. Students can change their profiles only accessing to the web site through University s computers. 12

Information technology systems and Online Services for Teaching Activities The day after your check-in at the LLP-Erasmus Office you can change your profile from Guest to Student. Please look at the Esse3 - Basic Guide soon available online at Once your profile has been changed you can access to Internet and to the Online Didactics Services system (which handles the academic studies of students enrolled at the University of Trento) through which you can enrol for examinations, monitor academic progress (credits acquired/to be acquired) and record the results of your examinations. Access to the University s computers Each Faculty has its own computer room, equipped with hardware and software for all students needs. Students have the access only to the computer room of the Faculty in which they are registered. For the access, students have simply to enter their login and then can use the University s computers for 3 hours each day, whether for research on the internet or for word processing or any other activity. In exceptional cases students may request an extension of the time for up to six hours, for a limited period. The authorization must be drawn up and signed by a teacher who must justify the reasons for the extension. The computer technicians at the student s faculty will enable the extension. Access to free PCs In each Faculty, there are several free PCs, which are available to all users. They are normally situated in the main entrance hall. Using these PCs it is ONLY possible to access the University s website ( and not the rest of the internet. No password is required for their use. These PCs are the only ones that can be used for changing the profile at the arrival in Trento. Access from the fixed University library system PC In the University library rooms, there is the chance to use computers connected to the University net and to Internet. The use of these workspaces is regulated by specific rules issued by the director of the University library system and ratified by the Library council. In order to be able to use the workspaces mentioned above, one must be registered in the Trentino library system- Sistema Bibliotecario Trentino (and have a CBT card). It is possible to register at any library after having received credentials for access at the loan service of the library centers. How to access the wireless net It is possible to access the University s wireless net, Unitn SSID, with a laptop by using a wireless card (802.11b or g wi-fi) that has been correctly configured. We advise students to use safe protocols (HTTPS, POP3S, IMAPS, SMTPS). In order to access the service students must provide their university credentials, username and password. All connections are registered. The University wireless allows students to access resources from the University net and from internet through proxy system. Those who use the University wireless system must respect the rules in the rules and regulations policy. The access has no limit. Areas of coverage The University wireless service can be used only in the Faculty in which the students are registered, the covered areas can be recognized by the presence of specific indications. Wireless connection through a student s own portable computer has no time restrictions. 13

14 4.3. Learning Agreement The Learning Agreement is the document on which the students have to report all the didactic activities, offered by the University of Trento that they intend to do during the Erasmus studying period. Students have to take into account that they have to report on it courses offered by the Faculty in which they are enrolled; only a 30% of the total amount of courses reported can be of other Faculties of Trento University (the so called 30% rule). We remind you that you have to address the Faculty Office and your Department Coordinator to receive all of the information regarding your Learning Agreement and to obtain the requested signatures. Information on the courses are available on The Learning Agreement has to be approved by the Receiving Institution (Trento University) as well as by the Sending Institution (students Home University). Once students returned it duly filled out and signed by Trento University Representatives to the LLP-Erasmus Office, the office enters the courses into the informatics system allowing the students to take the exams. We remind all the students that examinations whose courses have not been reported on the Learning Agreement cannot be certified by Trento University. Changes to the original Learning Agreement Students who have to change their Learning Agreement have to use the proper form (downloadable from the incoming LLP/Erasmus web page or available in the LLP-Erasmus Office and in the Faculty Erasmus Office) returning it duly filled out and signed by the student and by Trento University Representatives within the deadlines (see attachment 2). Exam procedure Please look at the Esse3 - Basic Guide for all the information related to the exam procedure. Here below we reported only few extremely important notes. Important notes on the exams: The Erasmus students cannot take examinations outside their Erasmus studying period. The Erasmus students can take exams only after having returned the Learning Agreement or the changes (in case there are) to the LLP-Erasmus Office duly signed. Failed examination cannot be reported into the Transcript of Records, in case the student needs this type of certificate s/he has to request it to the Professor of the course directly before the departure. Examination not recorded cannot be reported into the Transcript of Records. The correct entering of the exams results into the Informatics system is the exclusive responsibility of the Faculties and not of the LLP-Erasmus Office. The exams have to be done on the official examination dates. Course grading system The European Credit Transfer System (ECTS) was introduced by the European Commission in order to facilitate academic recognition of studies abroad. It provides a method to measure and compare learning achievements, and to transfer them from one University to another. ECTS is based on student workload. ECTS credits therefore reflect the quantity of work each course requires in relation to the total quantity of work necessary to complete a full year of academic study at Trento. The workload includes not only the time a student is present at University but also individual work in the library or at home. According to the guidelines of the European Commission, 60 credits represent the workload of a year of study, 30 credits are given for a semester. ECTS are allocated to courses, practical 14

15 training, research thesis, exams, etc. It is up to each department to subdivide the credits for the different courses. Exchanging Transcript of Records between universities facilitates academic recognition of gained credits. The Transcript of Records documents the performance of a student by showing the list of courses taken, the credits gained, as well as the local grades. University of Trento Transcript of Records reports only the local grades (the Italian grading system ranges on a scale from 18 to 30). In case the students need the ECTS grades also, this has to be request at the delivery of the Learning Agreement Italian language courses at C.I.A.L. In order to take part in an Italian Language Course the student is required to enrol at the C.I.A.L. Secretary s Office (Centro Interfacoltà per l Apprendimento delle Lingue) at 1 st floor. C.I.A.L. Italian courses are structured in the following manner: intensive courses and extensive courses. Please note that any Italian Language Course undertaken by the student (one per level) will be offered free of charge by Trento University. The LLP-Erasmus Office will give the student a certificate to be returned to the C.I.A.L. Secretary s Office during the enrolment period for being enrolled into the Italian course chosen. Each C.I.A.L. course gives 3 ECTS credits recognized by our University and reported on the Transcript of Records if included in the Learning Agreement. A certificate of course attendance can be released and a declaration attesting the workload of the course added. The students Home University has the faculty of deciding whether to assign credits or not for C.I.A.L. courses. For further information visit the C.I.A.L. website or contact the LLP- Erasmus Office Extension/reduction of Erasmus period Extending the stay Students interested in extending their stay have to return to the LLP-Erasmus Office the extension form duly signed and stamped by the student and the Sending Institution. Students allocated into Opera Universitaria accommodation can have the extension of the housing contract only upon request made at least 30 days before the contract expiration and in case of availability. The Eramus period can be extended a maximum of 12 months since the date of arrival and not further the 30 of September. Reducing the stay Students who need to reduce their stay have to return to the LLP-Erasmus Office the reduction form duly signed and stamped by the student and the Sending Institution with one month in advance notice. Students allocated into Opera Universitaria accommodation do not have to pay any penalty only in case of reduction for didactical reason Health insurance Medical coverage is mandatory for all students in Italy but the procedures are different for EU citizens and Non EU citizens. EU citizens 15

16 The European Health Insurance Card (EHIC) is mandatory for students from European Union, Iceland, Liechtenstein, Norway and Switzerland students should have with them. This card allows students to receive treatments under the same conditions and at the same cost as people insured in that country. To obtain the EHIC students have to contact health authorities in home country. If you are in possession of the EHIC (which must be requested from the health services in your own country) you will automatically be provided with free medical coverage in all the member states of the EU. Please carefully read the information regarding medical coverage for EU citizens at healthcard/index_en.htm. If medical advice is required, the student needs to visit a public general medical practitioner. The office hours and locations can be obtained online at the following webpage and clicking on Medici ON LINE. For a list of English speaking doctors, please ask to the LLP-Erasmus Office. You will have to ask for a VISITA OCCASIONALE costing 15,00 euro if you go to the doctor s, and 25,00 if you ask the doctor to come to your home. Remember to bring the European Health Insurance Card with you any time you need some medical treatment. Non-EU citizens Students coming from non-eu member countries must be in possession of an insurance policy in Italian or English certified by the Italian diplomatic representative abroad. The health insurance must at least satisfy the following requirements: it must cover expenses in the event of emergency treatment and/or urgent hospitalization (admission via the hospital casualty ward); it must cover the entire duration of the stay in Italy and specify the starting and expiring date; it must guarantee the policy-holder s return to his/her own country in case of serious illness; it must be translated into Italian and legalized by the Italian Embassy. Please, notice that it is your responsibility to check with the Italian Embassy/Consulate and Health Institutions in your country whether you have the right to free health coverage while you are in Italy. When you arrive to Trento you can enroll to the National Health System at the cost of 149,77 euros/calendar year (valid from January until December regardless the month you pay for it) through a postal bulletin available at the Welcome Office. After having paid for it you need to to activate it going to the Health Board. Being enrolled to the National Health system you have the same services as Italian citizens: you will be allocated for free a general practitioner (family doctor) and your costs for medical examinations, treatments and analyses will be cheaper and hospitalization and surgery are free. If you have a private insurance bought in your home country no need to go to the local Health Board but please be aware of the differences between a coverage of a private insurance and the National Health System Insurance on Medici ON LINE. The Emergency Medical Service guarantees Health Care Assistance for emergencies occurring during the night time, holidays or pre-holidays which are not covered by the family or local physician. In urgent situations the physician can provide outpatient services, prescribe medicines, illness certificates, but for a maximum of 3 days. The working hours are: On Monday to Friday from 20:00-08:00 of the next day. On Saturday from 8:00 continuously till Monday 8:00 hours. On public holidays from 10:00 till 8:00 of the following day. 16

17 This service is free for every citizen under the European Health Care System and foreigners with a convection or in the possession of a valid document proving their right of Medical Health Care (European Health Card). Ph.: Web.: Libraries In order to use the University Library Service (consultation and book loans), it is necessary to have a card, which can be obtained at the Central Library. When applying for the card you will have to show an identity document and the application form filled in. The University Library has established an inter-library loans network with Italian and foreign libraries which enables it to obtain - usually within two to four weeks - books and journals not available in Trento. A 4,00 euro fee is charged for this service. The Reference service The reference service offers users bibliographic consultancy, instructions for computer resources and research tools in the library; it also offers assistance for bibliographic consultation, repertories and offers help as regards the correct quotation modalities and bibliography writing. This service is addressed to all library users who apply for it at the Reference/Information offices of all university libraries. Internet access People associated with the University of Trento may have access to Internet from computers in the Library rooms, according to the specific regulations and opening hours. Teaching staff, doctoral students and final year students may connect their own notebooks to the University network from the stacks rooms. The University Library is connected with the Catalogo Bibliografico Trentino (CBT), which provides a computer link with the approximately one hundred and fifty public and private libraries located in the Province. The card gives right to the access to all Libraries in Trento and in the Region. For further information about libraries please visit the following website E.S.N. (Erasmus Student Network) ESN (Erasmus Student Network) is an international student association, which promotes European integration and mobility at a university level. Trento team support Erasmus students encouraging social interaction of students spending part of their study period at Trento University, providing help and advice. 18 5. Before the re-entry Please note that all the documents are available at in the Before the re-entry download box. Before leaving Trento, students are required to perform the following tasks: check exams record on ESSE3 system; fill out and submit the on-line questionnaire availble at the following page check-out at the LLP-Erasmus Office by filling out and sign the Check out self-certification form; return the apartment keys to the Opera Universitaria and settle accounts (if allocated); return the student card to the Opera Universitaria student office; return any books may have out on loan to the university library. Please note that failure to submit the necessary documentation will mean that refectory services will be suspended or result in a delay in the issue of an examination certificate. The check out at the LLP-Erasmus Office is mandatory to complete the Erasmus period. Students once checked out are no longer Erasmus students and cannot then take any exams after the check-out date. Transcript of Records Within a month of the students departure, the LLP-Erasmus Office releases a Transcript of Records, the document that lists the examinations taken, passed and registered in the Online Didactics Services system by the student during his/her stay at Trento. This document is necessary for the students own university to recognise the examinations taken. For the issue of the Transcript of Records, it is essential that the examination procedure is carried out correctly. If the procedure has not been carried out correctly, the delay in the issue of the Transcript may be relevant. In no way is it possible to certify, in the Transcript of Records, examinations not passed or simple attendance at courses without taking the relative examination. The LLP-Erasmus Office will send to the students Home University the following documents by mail: Transcript of Records; Italian Language courses Certificate and enclosed declaration (on case students attend Italian Language courses with success); original copies of the student s Learning Agreement; original Student s Certificate of Permanence. An original copy of the student s Transcript of Records will be sent to the student s home address by mail, too. 18
