3 Several files will scroll by until it reaches the end. Wait for the menu to re-appear. Select X to exit back one menu. Continue selecting X to exit all the way out. When completed, remove the USB drive and place it on top of the PC. Log in to the system. 5 Reset Subscriber Password NOTE: If too many attempts with an incorrect password are done, the mailbox will be locked out. Use this procedure to unlock a mailbox and reset the passcode. Select M for Mailbox Maintenance. COMMAND (M/R/S/X): M (M) Modify mailboxes (N) Trace Utility Report (O) Trace Utility Delete (P) Set passcode/tutorial (R) Rotational mailboxes (S) Search for mailboxes MAILBOX MAINTENANCE Select P to Set Passcode/Tutoral. Type the mailbox, type the new passcode, (1111), then select NO for the tutorial, YES for the clear bad passcode count. Set passcode for mailbox: 8045 New passcode: 1111 Tutorial (y/n): n Clear bad passcode count (y/n): y Reset Name and Greeting fields (y/n): n Passcode for mailbox 8045 set. Select X to exit back to the previous menu. Continue selecting X, when it asks if you want to exit select YES. At the last menu type EXIT to log out of the voic . 7 Type the new mailbox number, the user s name, then continue pressing the enter key to accept the default values. Do this slowly so you do not pass the MWI #01 option. If you pass it then you will have to start over when you reach the end. You cannot go backward in the settings. When you get to the MWI #01 option, input 3 for DTMF to PBX. Continue to press the enter key until done. Select X to exit. Select M for mailbox maintenance. COMMAND (M/R/S/X): M Deleting a Subscriber MAILBOX MAINTENANCE (B) Mailbox block inquiry (C) Create new mailboxes (D) Delete mailboxes (E) Mailbox dump (I) Inquire about mailboxes (K) Copy/delete/enable mailbox greetings (L) List maintenance Select D for Delete mailboxes. Type in the mailbox number you wish to delete. Follow the on screen prompts to delete the mailbox. Record a Company Greeting Through the Phone This procedure describes how to record a company day greeting and night greeting. Refer to the flow charts for the mailbox numbers and passcodes for the respective sites. 1. Log into the mailbox that has the greeting you wish to record or change. a. Dial the VM pilot number. b. Press the asterisk (*) then enter the mailbox number. c. Enter the passcode. 2. Record the greeting. a. Press the 8 button or press U for User Options. b. Press the 4 button or press G for Greetings. The server prompts, "Press D to record the day greeting; N to record the night greeting." c. Press D or N, then, record the appropriate greeting. d. After you have recorded the greeting, press the 7 button or press R to review it. To add information to it, press the 2 button or press A. To discard it and record a new one, press the 3 button or press D. Page 7

8 To abandon the task, press the 3 button then press the 9 button before the recording prompt plays. e. When you are satisfied with the greeting that you have recorded, press the 9 button to save the recording and return to the Main Menu. 3. To record a greeting for the other period, repeat the process just described in step 2. If only a day greeting or a night greeting is recorded, the following prompt plays during the period for which no greeting was recorded: "Welcome to the message center. Please enter a mailbox number or wait." 4. If you have additional mailboxes defined for other groups and you want a greeting to play in those line groups: a. Log into the mailbox for the next desired group. b. Record the greeting for the other period. Record an Alternate Company Greeting Through the Phone This procedure describes how to record an alternate greeting that, when enabled, plays instead of the company greeting. 1. Log into the administrator s mailbox. a. Dial the VM pilot number. b. Press the asterisk (*) button then enter the administrator s mailbox number. c. Enter the administrator s passcode. 2. Record the alternate greeting. a. Press the 8 button for User Options. b. Press the 4 button for Greetings. For an alternate day greeting, press the 3 button followed by the 7 button. For an alternate night greeting, press the 6 button followed by the 7 button. For an alternate day and night greetings, press the 2 button followed by the 7 button. 3. After you have recorded the greeting, press the 7 button to review it. To add information to it, press the 3 button. To discard it and record a new one, press the 3 button. To abandon the task, press the 3 button then press the 9 button before the recording prompt plays. 4. When you are satisfied with the greeting that you have recorded, press the 9 button to save the recording and return to the Main Menu. 5. If you have administrator s mailboxes defined for other line groups and you want an alternate greeting to play in those line groups: a. Log into the administrator s mailbox for the next desired line group. b. Record the alternate greeting for that administrator s mailbox. Page 8

9 Enable an Alternate Company Greeting Through the Phone This procedure describes how to enable an alternate greeting at a server maintenance console or by phone, once an alternate greeting has been recorded. 1. Reach the Main Menu, then, go to the Mailbox Maintenance Menu. Prompt: Response: Prompt: Response: Prompt: Response: Prompt: Response: Select: (K) Copy/Delete/Enable Mailbox Greetings COMMAND (Copy, Delete, or Enable?): E for enable. Enter mailbox to enable greeting: The administrator s mailbox number. COMMAND (Enter type of greeting to enable (a/d/p) [p]): A for the alternate greeting. COMMAND (Copy, Delete, or Enable?): Press Enter. 2. Exit to the Main Menu to make the recorded alternate greeting take effect. The alternate greeting plays instead of the company day greeting and night greeting. By Phone 1. Dial the server extension number. 2. Log into the mailbox where the alternate message exists. a. Press the asterisk (*) button then enter the mailbox number. b. Enter the passcode. c. Press the 8 button or press U for User Options. 3. Press the 4 button or press G for Greetings. 4. Specify an alternate for the company day greeting or night greeting, or both, as follows: For an alternate to the day greeting, press the 3 button followed by the 3 button. For an alternate to the night greeting, press the 6 button followed by the 3 button. For an alternate to both greetings, press the 2 button. 5. Press the 9 button to exit to the Main Menu and make the alternate greeting take effect. The alternate greeting will play instead of the company greeting(s) specified in the preceding step. Page 9

10 Record Company Greetings Through the Phone This procedure describes how to record a company day greeting and night greeting. 1. Log into the mailbox where the greeting resides. a. Dial the VM pilot number. b. Press the asterisk (*) then enter the mailbox number. c. Enter the passcode. 2. Record the company greeting. a. Press the 8 button or press U for User Options. b. Press the 4 button or press G for Greetings. The server prompts, "Press D to record the day greeting; N to record the night greeting." c. Press D or N, then, record the appropriate greeting. d. After you have recorded the greeting, press the 7 button or press R to review it. To add information to it, press the 2 button or press A. To discard it and record a new one, press the 3 button or press D. To abandon the task, press the 3 button then press the 9 button before the recording prompt plays. e. When you are satisfied with the greeting that you have recorded, press the 9 button to save the recording and return to the Main Menu. 3. Copy a Mailbox Greeting From the Server This procedure describes how to copy a mailbox greeting, name, or fax cover page from one mailbox to another. You must perform this procedure at a server maintenance console, after a greeting has been recorded for the source mailbox. 1. From the Main Menu, select M for the Mailbox Maintenance Menu. Page 10

11 2. Choose to copy a mailbox greeting. Select: K for Copy/Delete/Enable Mailbox Greetings COMMAND (Copy, Delete, or Enable?): Select C for copy. 3. Identify the source and destination mailboxes. Enter mailbox to copy name/greeting from: Enter mailbox to copy name/greeting to: You can copy the greeting to more than one mailbox by using any of the formats shown below: A single mailbox number, for example 3788 A continuous range of mailbox numbers, for example A series of mailbox numbers, for example 3781,3782,3786,3788 You can mix formats of mailbox number entries, so you can specify all the mailbox numbers necessary in one attempt. For example, this entry is valid: 208, ,333,334, Identify what is to be copied. Prompt: 1-4 Greeting Name 5 Fax Cover Sheet COMMAND (Enter source name/greeting number (0-5) [1]): For a user s mailbox: Enter 1 for the Personal greeting. For an administrator s mailbox: Enter 1 for the Day company greeting, Enter 2 for the Night company greeting, Enter 4 for the Alternate greeting. For an attendant s mailbox: Enter 1 for the Message of the Day, Enter 2 for the Site tutorial, Enter 4 for the Alternate greeting. For all mailboxes: Enter 0 for the Name, Enter 5 for the Fax Cover Sheet. Page 11

12 COMMAND (Enter destination name/greeting number (0-5) [1]): 1 5. The server confirms that the greeting/name has been copied. You can choose to copy more greetings, or press Enter to exit to the Mailbox Maintenance Menu. Troubleshooting Voic Not Answering Check the call forward setting in the PBX (command ACFS). Page 12

13 Voic speed dial button not working Re-program the speed dial button on the terminal. To Store Numbers using One-Touch Keys, with the phone idle: Press Feature button. Press an available One-Touch (VM button) Speed Calling key. Enter VM pilot number. Press Feature button. To Access, press desired One-Touch Speed calling key or press Speaker and One- Touch Speed Calling key to call. No message waiting light Verify in the voic that MWI #01 is set to DTMF to PBX option 3 in the specific users mailbox. Some Ports Not Answering Call each voic port to determine which ones may not be answering. If all of the ports are on the same PIMG unit, then cycle power [unplug the power cord then plug it back in] (reset) the PIMG unit. Re-test all ports. If only one port does not answer temporarily busy out that VM extension in the local PBX. Page 13

14 Use command MBST (make busy station). Type MBST, then, click on the Execute button. Page 14

15 Type 1 for the TN field, type the VM port extension that is not answering in the STN field. Type 1 in the MB field then press enter. Type Y to execute the make busy. To unbusy, type 0 in the MB field then press enter. Then type Y to execute the un-busy. Page 15
