5 Welcome! Dear PhD student, welcome to the PhD program Clinical & Experimental Neuroscience. This program is part of the PhD curriculum of the Utrecht Graduate School of Life Sciences and carried out by the scientific staff of the UMC Utrecht Brain Center Rudolf Magnus. Approximately 160 PhD students are enrolled in this program. This booklet summarizes the essentials of the program for students who have enrolled between September 2014 and September It contains practical information on procedural steps, the overall lay-out of the PhD program, the individual courses, mentors and important websites. The various components of our PhD program are meant to improve skills, broaden your scope in Neuroscience and get more in-depth information on a number of subjects of interest to you. Towards the end, the program can also support you in making choices on your future career. We hope that you will indeed experience the program as helpful in expanding your skills and insights. 6 Brain Center Rudolf Magnus In 2010, the University Medical Center (UMC) Utrecht initiated a new strategic plan which designated Brain as one of its six priority areas. This led to the launch of the UMC Utrecht Hersencentrum, a Center which encompasses all UMC Utrecht patient care, research and education in the fields of psychiatry, neurology, neurosurgery, rehabilitation and basic neuroscience. For our internationally oriented research and educational activities including the PhD program- we use the name: Brain Center Rudolf Magnus (BCRM). The Brain Center Rudolf Magnus aims to be a scientific center of excellence in Clinical and Experimental Neuroscience, with a special focus on five areas of disease: stroke, epilepsy, neuromuscular disorders, psychotic disorders, and neurodevelopmental disorders. The research in these fields is united by five research approaches. Stroke Epilepsy Neuromuscular disorders Psychotic disorders Developmental disorders Genetic Risks Environmental risks Structure and connections Translational research From research to care Neuroscience and Cognition in Utrecht The overall field of Neuroscience and Cognition research in Utrecht is organized in an umbrella organization: Neuroscience & Cognition (NC) Utrecht. This encompasses research conducted in the Brain Center Rudolf Magnus, The Helmholtz Institute, The Utrecht Institute of Linguistics and several other research units not belonging to these 3 large institutes. Research on Clinical and Experimental Neuroscience is carried out in the Brain Center Rudolf Magnus. 6 Brain Center Rudolf Magnus

7 Procedural steps From the start until the end of the program there are some necessary steps to be made. It starts with registration as PhD student, soon followed by completion of the Training and Supervision Agreement (TSA). Each year there is an Annual Interview. Towards the end you will have to apply for the defense. Detailed information can be found on The table below summarizes the crucial steps. 8 Overall lay-out of PhD program Each student taking part in the PhD curriculum of the Graduate School of Life Sciences (including the program Clinical & Experimental Neuroscience) needs to obtain 20 EC (European Credits) to fulfill the criteria of the School. Of these, 4 EC are dedicated to general skill courses. The overall lay-out is shown below. The various components are explained in brief on the following pages and in more detail in separate sections. 10 Broad orientation on Neuroscience & Cognition The Utrecht research environment harbors a large Neuroscience & Cognition community. Students are encouraged to participate in events organized in the Utrecht environment, to broaden their view. Events in this category comprise (details on p. 16): The BCRM Summerschool, i.e. the part not dedicated to general skill workshops Interdisciplinary courses provided by NC Utrecht The annual PhD Retreat organized by the graduate school ONWAR Annual BCRM symposium BCRM X-talks In-depth disciplinary courses in Clinical & Experimental Neuroscience These courses are organized in collaboration with the Amsterdam/Rotterdam graduate school ONWAR. 11 General skill courses / workshops As part of the PhD education, a series of general skill workshops are offered by BCRM, at no cost for the students. In addition, students can enroll in courses offered by others; the latter usually involve substantial fees. (N.B. The departments receive 1600 per PhD student for their education. You can request to use this money for generic courses, but be aware that each department uses slightly different rules). Participation in general skill courses (at least 4 EC) is one of the requirements set by the Graduate School of Life Sciences. Each workshop will be provided at least once per year, most of them during the BCRM Summerschool in mid-april. Several workshops may also be provided a second time early September (see scheme on next page), but only if at least 10 students have applied. The series of workshops follow the progression through the various stages of a PhD period. The leading principle is that education occurs in close connection with daily practice of a PhD student. In general, a workshop consists of half a day of plenary education; some preparation might be required. As a follow-up, all participants can make use of personal feedback by the tutor. For instance, the workshop on How to present your work allows all participants to submit to the tutor the first Powerpoint presentation they make after the workshop and receive feedback how to improve their product. Below are brief descriptions of all workshops. 12 The flirt company This workshops aims to help students interacting with their peers and people that might be of interest for their future career. The workshop illustrates techniques you can use to communicate in an effective way, so that you broaden your business network in a relaxed manner. Techniques / methods in Neuroscience This workshop provides students with an overview of new research-techniques and approaches used in neuroscience / psychiatry / neurology. During the workshop three senior researchers will explain the technique/method they have most experience with. They will show how they approach research questions in the field of neuroscience and cognition using these techniques / methods. After each presentation there is ample opportunity to ask questions about the techniques and methods. Time management How can you do experiments, write papers, go to conferences, do clinical work, teach, supervise students etc. in an effective way? What are priorities when you have to manage your time? This workshop gives examples from the daily life of a PhD student and practical solutions. Students will be asked to keep track of all their obligations during one week before the workshop. This is used as input to give tips and tricks during the workshop. Statistics These workshops will give students specific knowledge on statistical problems they encounter when analyzing their data. Staff members of Brain Center Rudolf Magnus who are experts in statistical analysis of one kind or another will give workshops dedicated to a specific statistical topic. The students need to bring their own datasets which will form the basis of the (computer assisted) workshops. N.B. These workshops will not give an in-depth overview of statistical analysis in general! How to present your work? During this workshop students will obtain the basics of giving a good scientific presentation. The workshop will start with the do s and don ts of a good ppt presentation. Students are all asked to prepare a ppt presentation of 2 slides in advance about their current project and may be asked to present these during the workshop. Moreover, each student who has participated in the workshop has the opportunity to send their next ppt presentation to the workshop leader and get comments and advise. 12 Brain Center Rudolf Magnus

13 Scientific writing This workshop will teach students the main principles of how to write a scientific paper. During the workshop the general outline of a scientific paper will be discussed. Students will get tips and suggestions on the use of English. After the workshop all students will be offered the chance to receive stylistic comments and advise on their next paper (Introduction or Discussion). This workshop is provided by Ed Hull of the organization Professional Science Communication. Tutoring Master students Many PhD students supervise Master students. But which criteria should be taken into account when defining the subject of the Master project? When do you need to help Master students and when should they learn to sort out things by themselves? How many times do you have to give feedback on their written report? What is actually the main competence that you would like to convey to your student? These and other questions will be discussed during this workshop in an interactive manner. Women in Neuroscience Women increasingly participate in Clinical and Experimental Neuroscience, also in high profile jobs. How did they get there? How do you choose your priorities, particularly when you want to combine a career with a family life? Are there special support programs in the UMC Utrecht, NWO and elsewhere? Information on these issues will be provided during the course. The course will also give you the opportunity to discuss your own situation with an experienced mentor. Approximately one month after the plenary part, a workshop is held in which tips are given by a professional and advises on how to act in an assertive and effective manner. Career orientation Some PhD students know exactly what they want to do after obtaining their degree, but for many the choice is not so easy. A future in the clinic? In science? In industry? To be able to make a balanced decision on your future it is important to understand where your interests lay, to see your strong points and weaknesses and to understand what you can do to reach your goals. For students who have difficulties in determining these issues, each year a workshop on career orientation is organized by external professionals. Brain Center Rudolf Magnus 13

14 Building your CV Once you have an idea about your career orientation, it is important to get a competitive CV, so that you are an interesting candidate for future employers. Already during your PhD period you have choices that are important for your future. Where should you send your manuscripts? Is it important to have international experience? Should you spend time on teaching? Is it a good idea to become a board-member of the Promovendi Netwerk Nederland? In this course we will ask future employers (clinicians, researchers, people from industry, educators etc) what were the determining steps in their own career, how they select their personnel and which elements in a CV are important in this choice. Each participant can ask feedback afterwards on his / her CV from one of the tutors. Grant writing This workshop aims to give the students a first orientation on how to write a project proposal with the highest chance on success. During the workshop the main granting resources directly after the PhD period will be discussed and explained. The students get tips and suggestions on how to write a proposal and will receive insight in the reviewing process of a grant. Students are asked to write a pre-project proposal before the workshop. Five of these are picked by the tutor and the students that have written these proposals are asked to give a 5 minutes presentation, similar to the defense of a proposal for a VENI committee; all the other participants read the 5 selected proposals and prepare questions and act as a review committee. These 5 proposals and presentations will be used by the tutor as input for the discussion on tips and tricks in writing and defending a research proposal. All students will receive personal feedback on their proposal from the tutor after the workshop. 14 Brain Center Rudolf Magnus

15 Other general skill courses (not provided by BCRM) BROK course: this course is obligatory for all researchers within the UMC Utrecht who do research involving patients and / or patient material. The course is offered at least twice a year for three days by the UMC Utrecht and involves an exam (1 EC). For more information: Time management course: this course gives PhD students insight in the way they could manage their PhD project. The course is much more extensive than the workshop of the BCRM and provided by the NIBI (Dutch Institute for Biology) twice yearly, only in Dutch (1 EC). For those students for whom the BCRM workshop was not sufficient to handle their work situation. Costs: 750, for NIBI members 600. For more information: Course on statistics: In addition to the workshops on statistics which are provided by BCRM, students can also choose to enrol in more extensive statistical training. A large variety of courses is provided by the Free University The Utrecht Centrum voor Leren offers some specific courses for PhD students, like developing a research proposal, presenting at a conference, research planning and time management. NL/col/Pages/welkom.aspx That thing called science a short course in science studies: in this course, several aspects sociological, historical, ethical and philosophical - of biomedical science will be discussed. During each session two speakers, experts in their field, will set the scene for a highly interactive session (1 EC). N.B. The BCRM PhD program in principle only awards credit-points for courses at the PhD level. Students can of course follow courses at the BSc or MSc level, but these will be regarded as means to repair deficiencies in the background of the student, not as integral part of the PhD training. In some cases exceptions can be made; individual cases need to be discussed with Mariken de Krom. Standard exception is: the animal welfare course (3 EC). Brain Center Rudolf Magnus 15

16 Broad orientation in Neuroscience & Cognition An essential element of this PhD program is to broaden one s view in the field of Neuroscience & Cognition (2.5 EC), especially in the Utrecht area. Participating in the following events provides credit points: BCRM Summerschool. During the BCRM Summerschool several high profile researchers give keynote lectures; PhD students in their last year give a presentation on their project. Students receive 0.5 EC when they attend all scientific lectures of the Summerschool. (N.B. During the Summerschool, several workshops discussed in the previous section will be provided. The credit points for these courses are administered separately from the rest). The BCRM Summerschool is organized every year in mid April. Interdisciplinary courses organized by NC Utrecht. Every summer 1-2 interdisciplinary courses (each of 1-2 weeks duration) are organized via NC Utrecht. The number of credit points depends on the duration. Annual PhD retreat with the ONWAR. This retreat is mostly organized by the Amsterdam / Rotterdam Neuroscience graduate school ONWAR. During 2 days PhD students give oral presentations or present a poster on their project. There are several excellent keynote speakers and there is a social program. The PhD retreat is organized each year in November (1EC, provided a poster is presented or an oral presentation is given). BCRM symposium and evening. Organized by the Brain Center Rudolf Magnus each year in October / November. At the end of the day there is a poster session in which research conducted within the institute is highlighted (0.5 EC, provided a poster is presented). X-talks. Each month, BCRM hosts a so-called X-talk. These X-talks and their topics are always announced well in advance. Themes that alternate are: Genetics Risk Factors; Environmental Risk Factors; Structure & Connections; Translational Approaches; From Research to Care. During a X-talk meeting there are presentations and discussions on research topics across the entire BCRM, along these shared interests. Attending the X-talks on a regular basis during your PhD period (8 in total) provides 1 EC. 16 Brain Center Rudolf Magnus

17 Disciplinary courses To enhance your knowledge in your own field of expertise, disciplinary courses are organized (overall at least 3 EC are required). Of course, if a student likes to attend more disciplinary courses this will be encouraged; EC s will be awarded for these extra courses. Students can make a free choice from the courses collectively offered by the BCRM and the graduate school ONWAR. All courses will be announced as soon as registration for specific courses opens. There may be a limited capacity, so make sure you register in time. Unless mentioned otherwise, courses run appr. once every two years. Below is a brief inventory, with the name of the graduate school primarily responsible for the organization. In principle, all schools have an agreement that participation is free for students belonging to one of the Dutch schools, but for specific (expensive) courses they may ask a registration fee. Also, if there is limited capacity, they might give priority to their own students. An overview of all courses can be found at the websites of the different graduate schools. 18 Other events for which ECs are awarded PhD students in training to become medical specialist, receive 6 EC for the courses they attend as part of their clinical training. The attendance and participation of (bi) weekly journal clubs in the department (max. 2 EC). The attendance of scientific meetings and symposia (max 5 EC, based on 0.3 EC per day). Scientific training abroad, this training should concern the acquirement of a technique or method, not a collaboration project (max 1.5 EC). The attendance of other scientific courses, for example courses provided by the other PhD-programs of the Utrecht Graduate School of Life Sciences (EC as stated for the particular course). 18 Brain Center Rudolf Magnus

19 Spending time abroad PhD students sometimes perform part of their work in an institute outside of The Netherlands. This international experience in itself is awarded with 1.5 EC. Moreover, if students participate in courses or journal clubs of that institution, they can obtain credit points along the same lines as applied for courses and journal clubs in Utrecht. The PhD program coordinator can help you with the transfer of credits. Preferably this is done before you are going abroad, so that it is clear beforehand how many credit points you can expect to earn. BCRM has a standing collaboration with the Institute of Psychiatry in London and Edinburgh Neuroscience. Furthermore BCRM is part of the IRSES collaboration with UCLA, Institute of Psychiatry in London, Peking University Institute of Mental Health and the Bio-X Institute in Shanghai. Internships that form part of an existing collaborative project can be subsidized. A request for financial support should be applied to the PhD program coordinator Mariken de Krom. 20 Your future! Many PhD students find it difficult to decide what they want to do after finishing their PhD thesis. To help you deal with these uncertainties there is attention for career planning, coaching and information regarding the possibilities of a career inside or outside of academia. Workshop career orientation. For students who have difficulties to make a balanced decision on their future, each year a workshop career orientation is organized by external professionals (p.13). Career possibilities. An alumni database is present, which provides current PhD students with information on the careers of the alumni. Students can contact the alumni for more information. Career planning. Students can always turn to senior scientists for advice on career planning. Don t hesitate to contact scientists either from your own or other departments. They have experienced very similar choices as the ones you are facing now. Mariken de Krom can also advice you on people with the right background to help you. 20 Brain Center Rudolf Magnus

21 Alumni of the program On exiting the program, PhD students are asked to fill out a small questionnaire, which helps us to evaluate the program. In this questionnaire students are also asked for i) the address on which they can be contacted and ii) some details of their new job. This information is used to keep an alumni database. One day we will also ask you to fill out this form! To keep all information updated, former students are asked to inform us when they change occupation and/or addresses. It is very important for our graduate school to keep in touch with the alumni, since they can confer their experiences in training and career planning with the current generation of students. Some parts of the program critically depend on their input. Conversely, it is also of interest for alumni to keep in touch with the BCRM. In some years, alumni will be invited to attend the annual BCRM symposium. Brain Center Rudolf Magnus 21

22 Mentors The Training and Supervision Agreement form asks for the name of an independent supervisor as part of the mandatory supervisory committee. This person, one of four senior scientists of the institute, is appointed via the coordinator of the PhD program, and will be present at the first and third annual interview. However, sometimes students may wish to talk to a completely independent person, outside their own research unit, especially when problems arise. For this reason we have listed names of people who can be supportive and helpful at critical times. They can also try to help you in case of conflicts. 23 PhD student platform The director and coordinator of the program value the input of the PhD students. Therefore we have a student platform, which is composed of one PhD student from each department of BCRM. These students represent all PhD students of their respective department and discuss with the coordinator at regular intervals what is going on in the departments, what are the new developments within the program and the Graduate School of Life Sciences, upcoming events within the program etcetera. You can contact your representative if you think that something needs to be discussed in the platform or if you have questions regarding the program. 24 Quality check All courses of the PhD program are evaluated by the students. Once per year the results are discussed by the program committee who can decide to adjust elements of the program, if necessary. The program committee is composed of PhD students as well as staff members, representing the various departments of the BCRM. In addition, at the end of the 1 st and 3 rd year (or 1 year before the end of the project in case the project lasts less or more than 4 years), an independent senior scientist from the BCRM is present during the Annual Interview. This independent scientist will monitor the progress in a constructive way and advice on steps to be taken to ensure a successful completion of the thesis. The name of the independent scientists will be communicated to the PhD student and his/her promotor at the start of the project, and mentioned on the TSA.
